Case Study -1 Collaborative Connected Workplace Environment- Cisco Objective: Innovative workplace design to create a more effective workplace for Cisco employees. Goals: Raise productivity Enhance collaboration Increase employee satisfaction Reduce real estate and technology costs

Case Study -1 Collaborative Connected Workplace Environment- Cisco Scenario: Employees work during non traditional hours such as 6.00 am to 10.pm. Business and technology issues needed more collaboration with team members in the same building or at various world wide sites. Employees are often away from their desks, in meeting or workgroup discussions. On an average of 65% of the time the meeting rooms were in short supply, while offices and cubicles remained vacant.

Case Study -1 Collaborative Connected Workplace Environment- Cisco Preplanning Four categories of workers- engineering, sales, call center and general administration. These categories has a distinct set of needs for space, services, technology, support and procedures. Flexible and collaborative workspace improved productivity and employee satisfaction.

Case Study -1 Collaborative Connected Workplace Environment- Cisco Concept: Collaborated Connected Workplace Environment. Objectives: Assigning resources based on utilization to reduce real estate costs. Building work environment based not on titles, but rather on the needs of individuals, by giving all employees a broad choice of workspaces and technology tools to do their jobs.

Case Study -1 Collaborative Connected Workplace Environment- Cisco Assessment of employee workspace needs Focus group discussions Employee interviews Surveys Observations Employee requirements: Quite areas to be used for short periods. Personal lockers for belongings. Large filing cabinets for storage of records. Non- private meetings can be done in open areas instead of enclosed conference room.

Case Study -1 Collaborative Connected Workplace Environment- Cisco Successful designs with shared workspaces. The new environment enable the employee to choose any workspace based on the requirements of their current task. The floor plan provides spaces for both planned and spontaneous meetings in small and large groups. Video telephony, audio- video conferencing, interactive white boards etc were some of the solutions.

Case Study -1 Collaborative Connected Workplace Environment- Cisco Wireless environment that require less cabling. Workspace with variety of seating options instead of a single assigned seat for each employee. Environment that facilitate meeting in a group, conference calls or working alone.

Case Study -1 Collaborative Connected Workplace Environment- Cisco Design Central design principle was a complete wireless environment to enable mobility. Only administrative assistants were assigned permanent workspaces. Other employees had individual lockers. Absence of cubicle walls let in more natural light and creates a more open and spacious atmosphere.

Case Study -1 Collaborative Connected Workplace Environment- Cisco Individual work stations were equipped with Docking stations, Communicators, phones and LCD display monitors. It had flexible work table hieghts. Formal meeting spaces have closed doors for privacy, have tables, speaker phones and video conferencing stations. Two of the largest meeting rooms can be quickly reconfigured into smaller rooms using a movable wall. Informal spaces have soft seating on wheels, mobile tables and movable privacy screens to enable the participants to spontaneously create a collaborative meeting space.

Case Study -1 Collaborative Connected Workplace Environment- Cisco Result Employees like the choice of work environments, cutting edge technologies, light, openness and opportunity for inter organizational collaboration. Future steps Designing optimum work environments for different types of workers requires in depth understanding of the movement of people within these environments. Installing a virtual building receptionist- an interactive screen lobby that can answer basic questions, page employees to come out for visitors and connect visitors to a live receptionist.
