Agenda What is Streamlyne, why and how was it selected for Pre-Award Services? How are we preparing for transition? What will be changing, and how does this impact you? Feedback Session: What is currently working in Pre-Award Services that you don’t want to change? What improvements would you like to see? What are the best ways for us to share information? What are the best ways for us to provide training?

Streamlyne Research Electronic research administration software; Proposal Development, including Budget Development; Contract negotiation module; System-to-system submission to federal sponsors; Proposal routing and approval workflow; Document storage; Potential for integration with compliance, post-award, and KU financial systems; Mid-October go live to correspond with FITC go live

Benefits Efficiency Single system for budget development, proposal submission, routing and storage means less duplicate data entry for pre-award staff Accuracy Less manual data entry and data transfer between systems means fewer errors Transparency Role based permissions using single sign-on Access to proposal status during proposal development Access to submitted proposal documents

What are we doing to prepare? Early warning of any changes that will impact the research community; Focusing on minimizing administrative burden as much as possible; Providing training on any new processes; Communicating in a variety of venues; Backup systems for proposal submissions; Coordination with FITC Implementation

What will stay the same? Our goal: Proposal assistance contacts; Pre-Award staff provide the same services; Recommended timelines: Minimum of 3 weeks for proposal preparation Minimum of 5 days for proposal review Our goal: To enhance your proposal’s competitiveness for funding by ensuring that it is submitted on time and meets the requirements to be reviewed by the sponsor

What changes are being proposed? Minimize changes that impact investigators; PIs will be asked to certify the proposal in Streamlyne BEFORE the proposal is routed; The proposal will be routed to Chairs, Center Directors, and Deans for approval BEFORE submission to the sponsor

Why are we doing this? Best practice; Inform stakeholders about commitment of institutional resources and compliance risks; Avoid having to decline an award because we were not able to make good on commitments; Reduce bottlenecks at time of award Streamlyne workflow can make this manageable

Routing and Approval Process Current Proposed PI completes checklist webform; PI completes checklist in Streamlyne; Compliance info summarized in PeopleSoft Review Sheet; PI completes certification questions to signal that proposal is ready for submission; Review Sheet and proposal routed through HawkDrive to PIs, Co-PIs, Key Personnel, Chairs, Deans Directors AFTER submission to sponsor; Certified proposal routed to Chairs, Center Directors for Approval; Chair/Director approved proposal routed to Deans for Approval; Absence of response is deemed Pre-Award Services provides final approval for submission to sponsor to be approval

How can you help? Spread the word; Stay informed; Streamlyne Project Communications Website http://research.ku.edu/streamlyne_implementation Funding Opportunities Bulletin http://research.ku.edu/research_grant_funding_opportunities Volunteer as a beta tester; Participate in training; Let us know how we’re doing

How are we doing? What is currently working in Pre-Award Services that you don’t want to change? What improvements would you like to see? What are the best ways for us to share information? What are the best ways for us to provide training? Do you have any questions for us?
