Access to French PhD ABES - France July, 2014

Who are we? ABES (Agence Bibliographique de l’Enseignement Supérieur) = institution for higher education and research libraries One of the public institutions in charge of libraries A public organ of the French Ministry for Higher Education and Research, located in Montpellier (France) 1

2 Where are we?

Main actors operating on French ETD International framework NDLTD European framework Each country gets its own organisation + European actions (Delos, DRIVER…) French framework (TEL, STAR, Theses.fr, ANRT) National research institutes : Universities, and their national organisations 3

Overview 1.ETD : the French legal context 2.The nationals frameworks : ‘STEP’ and ‘STAR’ workflow software and TEF metadata 3.Software functionnalities : theses.fr 4.Bibliography and credits 4

1.ETD : the French legal context 2.The nationals frameworks : ‘STAR’ and ‘STEP’ workflow software and TEF metadata 3.Software functionnalities : theses.fr 4.Bibliography and credits 5

French context : distinctive features The life-cycle of theses is fully controlled by academic institutions The French administrative organisation is particularly complex because of the multiplicity of complementary administrative frameworks. Inside each organisations, several professions : Administrative staff, Engineers, Librarians, and of course PhD students 1. ETD : the French legal context6

A complex object 1. ETD : the French legal context7 Thesis Original work (copyright) Administrative document (administrative law) Result of the study for an organisation (patent, trade secrets … ) Document including abstracts from others documents (copyright) Diploma (education law) Scientific research (research deontology and validation rules)

1. ETD : the French legal context8 Legislation in 1985 Paper copies filing obligatory several copies for preservation, ILL and consultation Once upon a time…

Referencing in 1985 in the Theses Union catalogue (Téléthèses - DocThèses) 1. ETD : the French legal context9 French « minitel » Once upon a time… CD-ROM became Sudoc in 2001

1. ETD : the French legal context10 Since 2006, either paper or electronic copies must be collected. Each institution chooses its way of legal deposit : either print thesis or ETD: If the legal deposit is electronic, a complete digital version of the dissertation must be registred in STAR and it is described in Theses.fr several copies for preservation, ILL, consultation and microfiches. Description in the Theses Union catalogue (Sudoc) Nowadays… PAPERELECTRONIC

Life cycle of an ETD Compulsory for PhD student to get graduation. Deposit is made by the institution through the application Since 2013, there is more thesis entered directly in STAR than in SUDOC 1. ETD : the French legal context11

Referencing of thesis in progress Optional for PhD student to get graduation. Each institution, no matter if deposit is electronic or printed, chooses if they register in STEP 1. ETD : the French legal context12

Human network (Star & Step) universities joint the ‘STAR’ network since 2006 (99 for STEP)

RESUME Electronic thesis supported application Thesis in progress application Interface consultation Research engine for all french thesis Offline / Professional toolOnline / Public tool

For all french thesis, one access: 1. ETD : the French legal context15

1.ETD : the French legal context 2.The nationals frameworks : ‘STAR’ and ‘STEP’ workflow software and TEF metadata 3.Software functionnalities : theses.fr 4.Bibliography and credits 16

STEP and STAR STEP (signalement des thèses en préparation) = reporting theses in preparation A workflow software tool developed by ABES Aim : Promoting the visibility of French research works  It doesn’t guarantee the protection of the thesis subject  It is up to the student and the thesis supervisor to ensure that the chosen subject is not similar to a topic that has been already recorded The nationals frameworks17 STAR (signalement des thèses archivage et recherche)=reporting theses supported Also a workflow software tool developed by ABES Aim :  To ensure that the deposit document is true to the original which has been validated by the jury  Take into account the life-cycle of electronic thesis  Manage the document and add it some metadata for increasing its online visibility

A specific set of metadata : TEF TEF = ‘Thèses Electroniques Françaises’, AFNOR standard (French member of ISO) A set of metadata based on Dublin Core Qualified With several ETD adaptations (jury…) Taking into account needs for Preservation Legal status of thesis : METS Rights Using Schematron TEF is not a single XML schema, but a set of schemas gathered by an XML wrapping. Encapsulated in METS vocabulary The nationals frameworks18

The nationals frameworks19 METS wrapping Bibliographic metadata (DC) Administrative metadata (DC qualified + ETD-MS) Rights metadata (METS Rights) Preservation metadata (specific)  Sets of metadata are to be distinguished, despite of their partial overlapping.

Importation (web service, ) and/ or Metadata and file PDF and/or XML Inputs Metadata and file PDF and/or XML Web forms ETD local repository

Preservation * Dissemination Outputs Description and referencing Description * OAI-PMH server
