6/10/2016 Cataloging ETDs in RDA USETDA Conference September 24-26, 2014 Sevim McCutcheon Catalog Librarian; Associate Professor Kent State University, Ohio with thanks to Joan Milligan, University of Dayton

6/10/2016 Explaining some terms OhioLINK: a consortium of Ohio academic libraries and the State Library of Ohio. Has a shared central catalog, and hosts the OhioLINK ETD Center OCLC: Online Computer Library Center. Known for its huge international database of bibliographic records, OCLC WorldCat. Great for shared cataloging and ILL MARC: machine readable cataloging. What makes online catalogs possible. Used in WorldCat and local catalogs worldwide Bib Formats and Standards: a guide to MARC coding

6/10/2016 Background Early to mid 2000s: transition from print to electronic theses and dissertations 2007: OhioLINK task force created standards for cataloging ETDs in AACR2

6/10/2016 Background, continued : transition in cataloging rules, from AACR2 to RDA : OhioLINK task force created standards for cataloging ETDs in RDA

6/10/2016 OhioLINK Cataloging Standards on OhioLINK and NDLTD websites tstandards.htm#standardshttps://platinum.ohiolink.edu/dms/DMSdocs/erca tstandards.htm#standards –Electronic Monographs –Electronic Serials –ETDs (RDA, 2014) –ETDs (AACR2, 2007) –Streaming Audio –Streaming Video

6/10/2016 FRBR (google images)

6/10/2016 Tiny bit of theory RDA based on FRBR principles: Functional Requirements for Bibliographic Records Good intro: What is FRBR? by Barbara Tillett FRBR entities: Work, Expression, Manifestation, Item (WEMI)

6/10/2016 We usually catalog Manifestations (image from Joan Milligan’s OETDA presentation, March 2014; link to original no longer works:

6/10/2016 Principles of RDA Transcribe what you see Accept what you get –Fewer abbreviations, more words –Misspellings are transcribed as written, then explained in a note or an alternate title (246 field) Where there are options, many libraries follow LC-PCC PS (policy statements)

6/10/2016 MARC changes in response to RDA More granularity: information that used to be all together in one subfield is often separated into multiple subfields Different or new fields for familiar information New fields for RDA-specific information

6/10/2016 What indicates that a record is RDA?

6/10/2016 To create RDA records in OCLC Connexion, Tools menu  Options  RDA

6/10/2016 Format information No more GMD embedded within the title for non- print resources –Bliss $h [videorecording] –Journal of archeology $h [electronic resource] Instead, three fields in combination bring out aspects of format: content, medium, and carrier type, or, 336, 337, and 338 fields

6/10/ for ETDs (also for ebooks and ejournals) AACR Cultural competence ‡h [electronic resource] : ǂb an issue for education 300 __ ‡a1 online resource (85 p.) : ‡b ill. (some col.), digital, PDF file RDA Cultural competence : ǂb an issue for education 300 __ ‡a1 online resource (85 pages) : ‡b illustrations (some color) 336 __ ‡a text ǂb txt ǂ2 rdacontent 337 __ ‡a computer ǂb c ǂ2 rdamedia 338 __ ‡a online resource ǂb cr ǂ2 rdacarrier

6/10/2016 KSU’s 338 in public view

6/10/2016 Field 264 replaces 260 and is repeatable 264: Production, Publication, Distribution, Manufacture, and Copyright Statements Second indicator: function of entity 0 = Production 1 = Publication 2 = Distribution 3 = Manufacture 4 = Copyright Notice Date

6/10/ s in an ETD record Publication date available: 264 _1 [Kent, Ohio] : $b Kent State University, $c Only copyright date available: 264 _1 [Kent, Ohio] : $b Kent State University, $c [2013] 264 _4 $c ©2013 (no space between symbol and date; no period) If there is both an inferred date of publication and a date of copyright, fixed field element DtSt will be “t” instead of “s”

6/10/ field AACR2: 300 __ ‡a1 online resource (85 p.) : ‡b ill. (some col.), digital, PDF file RDA: 300 __ ‡a1 online resource (85 pages) : ‡b illustrations (some color)

6/10/ Dissertation note New option for more granularity Was: 502 _ _ Thesis (M.A.) – Kent State University, New way: 502 _ _$b M.A. $c Kent State University $d 2013

6/10/2016 OhioLINK preference: access to department, etc. Add a note about the department, school, or college the author is affiliated with Then you can add a searchable access point for that department, school, or college

6/10/2016 OhioLINK preference: access to department, etc. 500 _ _ "2014, PHD, Kent State University, College of Arts and Sciences / Department of Physics"--Website of ETD _ Kent State University. ǂ b Department of Physics.

6/10/2016 Relationship designators Thesis advisors called degree supervisors Degree granting institution As currently written, OCLC Bib Formats only allows in local fields (790s), not in WorldCat master records (700s and 710s) Letter to OCLC and reply –They’ll change Bib Formats

6/10/2016 A couple more changes Digital File Characteristics 347 _ _ text file $b PDF $c KB ǂ 2 rda a = file type b = encoding format (formerly in MARC 538) c = file size (formerly in MARC 516) Note, “Available online via the OhioLINK ETD Center.” moved from 538 to 500

6/10/2016 Examples of relationship designators 100 1_ Ubaid-Kassis, Sara, ǂ e author _ Schroeder, Almut, ǂ e degree supervisor _ Kent State University, ǂ e degree granting institution.

6/10/2016 ETDs from state institutions as state government publications? Bib Formats says two apparently contradictory things: Gov Pub section: “Theses and dissertations from state universities are not considered state government publications” Ch. 3.1, Theses and dissertations, ““Electronic theses and dissertations that are remotely accessible via the Web should be treated as published items and cataloged as original electronic publications…” Clarification from Jay Weitz, OCLC, Yes, “considered to be state government publications.”

6/10/2016 Recent MARC changes that aren’t specifically RDA-related Source of title proper now 588, not 500 –588 Title from PDF title page (viewed on …) No more 538 note, “Mode of access: World Wide Web.”

6/10/2016 Advisable additions Subject headings –Library of Congress Subject Headings –Medical Subject Headings, when applicable Library of Congress Classification Number Name Authority Records –When necessary to differentiate or pull together –If not authorized to create, strive for consistency
