MERIL: On-Site Accessibility Assessments Research Conducted By: Jenny Stanhope and Todd Ries

Business Problem Paul Bergonzoni uses a clipboard and note pad to do accessibility assessments. Sometimes he travels far from his office to conduct the assessment. Is there a way that we can incorporate modern tools to help him do this more efficiently, effectively, and in a way that works for him.

The Interview An Interview was conducted with Mr. Paul Bergonzoni at MERIL on November 5, During the interview, Mr. Bergonzoni communicated: – How on-site assessments were conducted – What preparation was need pre-assessment – How the data was documented and packaged after the assessment. – What in-depth knowledge or skills were needed to perform the assessment – What he hoped would be accomplished by this research This information was used to produce several task analyses to better illustrate the task requirements, procedures, materials, and decisions that are required for an on-site assessment.

User Requirements User should be able to: – Open, view, edit, and save changes to required digital forms on a mobile device. – Navigate between different required forms. – Navigate within required forms. – Copy required forms. – Upload completed forms to laptop. – Continue editing forms from laptop. – Take pictures. – Import pictures into forms. – Print and/or the completed forms. – Make adjusts to forms when new ADA requirements are released.

Functional Requirements The new technology solution should allow for: – Access to all digital forms online and offline from a mobile device. – Navigation between different digital forms. – Navigation within a digital form. – Editing of digital forms from mobile device and laptop. – Changes to digital forms to be saved online and offline. – Changes to digital forms to sync to mobile device and laptop. – Pictures to be taken using mobile device. – Pictures should sync to mobile device and laptop. – Forms to be deleted or replaced when needed. – Forms to be copied and renamed for additional assessments.

The New Technology Solution: Devices Devices Required – Samsung Galaxy Tab 4 with a 10.1 inch screen and pen. – HP Windows 7 Laptop Computer with a 17” screen.

The New Technology Solution: Applications Applications Required – Microsoft Word (Tablet and PC) – Dropbox (Tablet and PC) – Camera (Tablet)

The New Technology Solution: Applications Microsoft Word – Used to open, view, edit, save, and print forms. – It is downloaded on the Tablet and the PC. Dropbox – Is a cloud type storage application downloaded on the Tablet and the PC. – It allows files to be synced across several devices. – It functions both on-line and off-line. – It automatically uploads documents and pictures to the cloud storage and can be accessed from any device. Camera – Used to take pictures with the tablet. – Pictures taken from the tablet will automatically sync with Dropbox.

The New Technology Solution: Process Pre-Assessment – No decision making, printing, or packing of forms is required because they are saved in the Dropbox and can be accessed on-line or off-line. – Remember to pack the tablet, pen, and changer. – The tablet should be fully charged before leaving for an on-sight assessment.

The New Technology Solution: Process On-Site Assessment – Open Dropbox, select the form, and open it in Microsoft Word. – Microsoft Word will prompt you to save the form under a different name. Save the new file in Dropbox after renaming it. – Make any necessary edits/modifications to the form as the assessment is conducted. – Save changes when you have completed the assessment. – Pictures can be taken using the Tablet and will be automatically uploaded to the Dropbox.

The New Technology Solution: Process Post-Assessment – Upon returning to the office and ensuring that both the tablet and PC have access to the internet, the files should be automatically synced. – The files can be opened, edited, printed, or shared on the PC. – In addition, the pictures taken during the assessment are automatically uploaded to the Dropbox and can be imported into the form.

But does it work? Efficiency? Effectiveness? Satisfaction?

Efficiency Measured by calculating errors – Both participants experienced one error – Both participants had similar errors regarding the process for saving the document to the dropbox

Effectiveness Measured by whether or not the participants could complete the task using the new software. – Both participants were able to complete the task
