Presenters: Susan Dawson Principal Strategist, FosterKnowledge Co-Presenter: Michael Büsges Project Director, UMBC Training Faculty and Students in Student Administration Using Camtasia and Captivate

Using full suite of PeopleSoft – HR 9.0 – SA 9.0 – FIN 8.9 – Tools 8.48 UMBC and PeopleSoft

Introduction Student Administration (SA) Implementation began July 2007 Training for end-users of Student Administration began Fall of 2008 Training Plan incorporated elements of: – ILT Hands-on training – Lunch & Learn Demonstrations, – Road Shows – Quick Reference Guides, – Self-paced Training

Decisions: Audience and Their Needs 1200+ Faculty/Advisors ---------------------------------------- Many new to PeopleSoft (except administrators using Finance and HR applications) Ability to access training remotely Introducing new ways of accomplishing tasks “Just in time”/ “On Demand” Learning – Only need to perform some tasks twice a year. Low enrollment in ILT classes

Decisions: Audience and Their Needs 14,000 + Students ---------------------------------------- Remote access to training material “Just in time”/ “On Demand” Learning – Only need to perform some tasks twice a year.

Faculty don’t have time to attend training classes Students won’t attend training classes Audience with Short attention spans – learning events had to be short 10 minutes or less ID specific tasks for each audience and chunk information accordingly Training Contraints

Chunking Faculty Data Instructors View Class Rosters Advisors Provide Advising Authorization Faculty Access Administrative Reports Grant Class Permissions & Exceptions Enter Grades View Student Academic Information Enter Advising Notes

Chunking Student Data Research View Class Schedule Registration Enroll into a Class Swap a ClassDrop a Class Viewing Enrollment Dates Advising Degree Audit Transfer Credit Report Students

Training Plan Faculty/Advisors: – ILT Hands-on training – Lunch & Learn Demonstrations – Self-paced Training – Quick Reference Guides – Road Shows Students: – Demo Booths – Self-paced Training – Quick Reference Guides

Decisions: Driving Software Choices Audience uses PC and MAC Audience needs to access material remotely Inexpensive & easy to use Provide video, audio, and simulated environment UMBC was already using Camtasia

Software Choices TechSmith CamtasiaAdobe Captivate Demonstration OnlyDemonstration & Interactive Learning Simulations One long streaming video with audio Multiple frames with audio linked to each frame – appears as a single streaming video Ability to zoom and to do “callouts”Allows for “branching” and “hot buttons” Easy to Use Easy to Publish for variety of formats Easy to Publish for a variety of formats, including training guides Not as easy to editEasy to add and edit single frames Example: Advising CenterExample: Online Grading

Camtasia

Captivate

BEFORE: Remember to mask sensitive data. Wait until the “final build” to record. PREPARE! Have a script - prep your data – Do dry runs Have only the applications open you need to use to record the task. Find a very quiet location to record Captivate required less planning because of the ability to edit per frame. Lessons Learned/Best Practices

DURING: When you make an audio mistake…PAUSE at least 3 seconds….Say your steps or information again. Follow your script! Speak slowly and clearly. Make your directions clear and concise. Be aware of your mouse & rollovers Lessons Learned/Best Practices

AFTER: EDIT! The “pauses” recorded in the audio make it easy to recognize where you need to edit. Ask others, including the intended audience, to view the recording and provide feedback. Publish! Lessons Learned/Best Practices

Training & Support SA Website: myUMBC:

How was the training? SurveyMonkey Says…. More than half the faculty Agree that the training topics available were appropriate for their role at UMBC. The majority of the faculty Agree that training was available when they needed it. More than half of the faculty Agree that the training they received adequately prepared them to use the SA features required for their role at UMBC. Almost all of the Faculty selected to learn SA from sources other than instructor-led events (including hands-on classroom events and demonstrations.) The majority of the Faculty prefer to learn via self-paced learning videos and quick reference guides.
