2 HR Information System Upgrade – Online Adhoc Claims 2 Welcome to today’s session on ONLINE ADHOC CLAIMS Your Presenter is Leanne Cornwell (Team Leader Payroll Services) Session Objective By the end of the session you will have the ability to enter in your Adhoc timesheet. Session Outline In this session we will cover:  Log into the Staff Portal  Enter into timesheet for adhoc claims: I.Overtime/Additional Hours II.Motor Vehicle Allowance III.Penalty/Shift Loadings IV.On Call Allowances

3 HR Information System Upgrade – Online Adhoc Claims 3  Online Adhoc Approval Workflow process  NEW: Workflow Approval now has only one approval step which is the supervisor only.

4 HR Information System Upgrade – Online Adhoc claims  Where to find your Timesheet to enter Adhoc Claims?  Log into the Staff Portal and click on My Staff Page (Fluid Interface) either via Employment or Key Services

5 HR Information System Upgrade – Online Adhoc claims My Staff Page:  A series of ‘tiles’ will appear on your Home Page once you have logged in to My Staff Page. (for use on Mobile Phones, Tablets, and PCs)  Function / Activity Based “Tiles” to select from each Menu Option  Click on the ‘Time and Absence’ tile and then click on the ‘My Timesheet/Adhoc Claim’ tile

6 HR Information System Upgrade – Online Adhoc claims  Open Timesheet  Enter in Full day hours worked as time is calculated by rules attached to the work schedule. NOTE: Meal Allowance is not required to be selected as will be determined by rules.  Enter in Units and no hours for the following:

7 HR Information System Upgrade – Online Adhoc claims  Enter hours into Timesheet and Save for Later or Submit  Can select Previous Period or Next Period or change the date in the calendar period (click refresh to move to new calendar period)

8 HR Information System Upgrade – Online Adhoc claims  You can update the timesheet in any status of the process. NOTE: If amending a fully approved timesheet, this will automatically recover any payments made for that time.  Click on the on the line on the timesheet, the TRC and hours disappear.  Click on Submit and the whole entry will change from Approved to New.

9 HR Information System Upgrade – Online Adhoc claims Timesheet approval from Supervisor:  A series of ‘tiles’ will appear on your Home Page once you have logged in to My Staff Page.  Click on the ‘Time and Absence’ tile and then click on the ‘Worklist’ tile. (note: you can still use the link within the Staff Portal or email notifications.

10 HR Information System Upgrade – Online Adhoc claims  Supervisor has the option to Approve or Deny timesheet.  Supervisor has access to override the GL costing on the timesheet.  Supervisor can amend the timesheet and submit.

11 HR Information System Upgrade – Online Adhoc claims  Supervisor has access to amend/delete timesheets even if fully approved. NOTE: This will automatically recover any payments which have already been paid.  If claims are denied from the supervisor, the employee will be required to delete the row, save and re-enter time and submit.

12 HR Information System Upgrade – Online Adhoc claims TRANSITION:  Electronic timesheet is only available from the Go-Live date Monday 11 th January 2016.  Any claims prior to Go-Live will still require paper based timesheets.  Paper claims will be required for times prior to the Go-Live date and will only be accepted up until the end of January 2016.  Ensure all claims are submitted within a reasonable time as claims should be paid and not held up for more than 6 months.
