3 + Awareness: Introduction to Accessibility Accessibility means having equal access to web-based information regardless of physical or developmental abilities. 3

4 + Many students with disabilities are unable to read or use educational materials, because of –Blindness of visual impairments –Physical impairments –Learning disabilities –Hard of hearing Or other disabilities that impact the ability to read standard print, use or listen to standard materials 4

5 + Faculty Guide for Accessible Instructional Materials Use iLearn to post and share Instructional Materials Provide syllabi in electronic format & include statement to students to discuss individual learning needs. Use Heading Styles in Word & PowerPoint for easier navigation. Use Alternate text on images/charts to describe. Use Text-based scans vs. scanned/copies to allow listening & viewing electronic documents Identify textbooks &course readers, by deadline. Use Captioned and transcribed video's & media 5

Then students can listen to as well as view documents. Show you how to create an accessible syllabus with Headings and Table of contents. Identify inaccessible material in your iLearn course. Show you how to create YouTube video’s and add captions by uploading your transcript. 6

7 + BASIC Accessibility Principles Reading Order, Text should make sense if every line is read from left to right Ensure that font size is sufficient, around 12 points. Provide sufficient contrast. Don’t use color as the only way to convey content. Provide a table of contents, especially for long documents. Use simple language. Use accessible digital PDFs not copied scans 7

9 + PDF document Is My Document Accessible? A Two-Minute Quick Check for a digital PDF document Open the PDF document with Adobe Reader Can you highlight the text? Can you have the text read it back to you by selecting the Read Out Loud feature from Adobe Reader’s View menu? If you are scanning a document, have you gone through Optical Character Recognition (OCR) process and test if your document can be read? If you are scanning an image or photo, have you provided alternative text or captions to describe your image/photo?” (If answers from (2) to (5) are “yes”, then the document is accessible.) 9

11 + WORD Headings HOW TO: Adding and Editing Headings Create a uniform heading structure through use of styles in Word. This allows screen readers to navigate a document, and improves accessibility for everyone. Headings can be created using the Styles toolbar. Select the text and click on the appropriate style.(E.g. “Heading 1”) 11

14 + WORD Alternative Text for Images Right-click on the image and select Format Picture. A dialog box will appear. Select the Alt Text tab on the sidebar. Enter appropriate alt text to the Description field, not the Title field. 14

16 + WORD Columns Creating Columns Select Page Layout on the Ribbon. Select Columns in the Page Setup group. 16

17 + WORD Data Tables Use the Tables ribbon to create tables. The first row can be identified as table headers in PDF. To do this, Right click on the first row in the table and select Table Properties > Row> Repeat as header row at the top of each page. 17

19 + PPT Slide Layouts Using slide layouts provided within PowerPoint will ensure that files have correctly structured headings and lists, and proper reading order. 19

20 + PPT Creating Slide Layouts Select Home> New Slide, or New Slide button from tool bar. Choose from the slide options menu the desired layout. 20

21 + PPT Notes Panel The Notes panel allows the speaker to add notes and information that will not appear on the slides. This information may not be accessed by a screen reader, so do not put important information in this area. 21

22 + WORD PPT Excel Running the Accessibility Checker Select File> Info> Check for Issues> Check Accessibility. The checker presents accessibility errors, warnings, and tips on how to repair the errors. 22

23 + Syllabus example Template Sample Syllabus You can use this syllabus to as a guide to create your own with heading styles. HCOM Syllabus This is a syllabus that you can use to practice adding heading styles and, alt text (descriptive text) to images, and add a table of contents. 23
