2 INCO 3739 Third year´s reporting Reports due after the end of the 3rd project year (30th April, 2008): 1. Third annual report (scientific and financial, due 15th June 2008). 2. Final report covering 3 years project duration (scientific and financial – with audit certificate, due 15th June 2008). 3 INCO 3739 To be submitted by each WP leader before 30th April, 2008 (deadline): -WP contribution to the 3rd periodic activity report. To be submitted by each contractor before 15th May, 2008 (deadline): -Contribution to the management report for the 3rd project year; -form C for the 3rd project year. Third annual report due 15th June 2008

4 INCO 3739 Final report due 15th June 2008 To be submitted by each WP leader before 30th April, 2008 (deadline): -Short (max.1/2 page) and pointed description (could also be a picture, graph, etc.) of the main outcome (highlight) of your WP. To be submitted by each contractor before 15th May, 2008 (deadline): -Contribution to the management report for the full duration of the project; -form C for the full duration of the project; -an audit certificate attached to form C; - final on-line workforce statistics questionnaire; -final on-line socio-economic reporting questionnaire.

5 INCO 3739 Audit certificate 1 audit certificate is requested by the European Commission for each contractor in INCOFISH. This audit certificate has to be provided at the end of the project together with the final cost statement covering the entire project duration. Note: All EC monies are advances until the audit certificates at the end of the project are provided and approved by the Commission.

6 INCO 3739 What is an „audit certificate“? A document provided by an external or internal auditor certifying that the costs claimed during the 3 years of INCOFISH meet the requirements established by the contract with the European Commission.

7 INCO 3739 Where to find guidelines on the preparation of an audit certificate? In „Audit Certificate Guidance Notes 6th Framework Programme Working Notes for Contractors and Certifying Entities“ Available for download at www.incofish.org (About us – INCOFISH documents)

8 INCO 3739 Recommendations Provide the auditor with a copy of the „Audit Certificate Guidance Notes“. The auditor should use the „Model for an audit certificate“ provided in Annex 2 of the guidance notes. The audit certificate should be submitted in English.

9 INCO 3739 How to claim costs for an audit certificate? Costs to be covered by the coordinating institution (IfM- GEOMAR). Will be paid directly to the auditor or to your institution upon submission of an original invoice to IfM-GEOMAR. Note: Your audit costs have to be indicated in YOUR FINAL Form C under „costs for audit certificates“.

10 INCO 3739 Final payment only after submitting a valid final form C and a valid audit certificate. Final payment (= last 20% of accepted costs) a few months after the end of the project.
