2 AIMS OF THE SESSION  To gain clarity on the nature and complexity of your project  To understand your role as project manager  To identify areas needing clarity and improvement in your project idea  To begin a feasible action plan

3 What is a Project?  A temporary organisation with a structure to manage it  Predefined outcome  Predefined timescales  Predefined resources

4 What does a Project Manager do?  Runs the project on a day to day basis  Responsible for ensuring the project delivers what it said it would on time and in budget

5 How do they do this?  Plan the project  Monitor progress  Manage risks and issues as they are identified  Produce reports  Direct and motivate the project team

6 What is your project idea?

7 What makes a project work well?  The cards all say things that you need in place to make a project work  Can you put them into an order of importance?  Most important at the top of the diamond.  Least important at the bottom.

8 Activities and Dependencies  You are planning the PCO training workshops at Butabika Hospital in Year 2  Think of all the things you need to have in place (what foods, drinks, the venue, any equipment, people)  Break each thing down into it’s component parts  Put them into a flow diagram and put them into groups as you go  Are there any things you need that you are reliant on being supplied by an external party – if so, highlight these somehow (e.g. different post it)  End Product at the top. BBQ Party

9 How to create a plan  Define your aims  Identify activities and dependencies between them  Estimate timescales  Create a schedule for the work  Identify responsibilities – who is going to what  Identify risks to the plan

11 To Summarise  Spend time planning before you start.  Have clearly defined and measurable objectives  Have clearly defined roles and responsibilities for all involved in the project.  Stay in control of the work – know who is doing what, when and why  Keep an eye on the plan!
