2 2 Diffusion of information - Schedule will be very tight and again apologies not to have been able to give more details information before today’s meeting. - Hope today’s documents are enough for discussion. In principle (please check) you should have access to any document on AIDA WEBpage : https://espace.cern.ch/aida/default.aspxhttps://espace.cern.ch/aida/default.aspx If not let us know (myself and Kate Kahle) - Check that at least all institutes involved in DetDet are aware of AIDA (should be) and help groups to enter in contact with relevant WP conveners with concrete proposal - If your country contributes to many tasks, and if they are some with higher priorities than other please let us know. if not same reduction will be applied to all when will have to fit within the total budget. Maybe concentrate efforts one only a few WP.

3 3 Number of partners & consortium Experience with other EU projects shows than above 25-30 full partners, project is difficulty manageable : -In DevDet already use of consortium (INFN for all Italian groups, CNRS grouping all French Univ/labs) and 50 full partners - Consortium if already exists can be used for other countries. Please check the status and let us know (Germany : Hemlhotz association ?, Great Britain : RAL ?, Spain ? …)

4 4 Overhead table First column contains overhead rate (indirect costs) for personnel), Second column contains overhead rate for other direct costs

5 5 Overhead table Please let us know if they are some modifications / DevDet and rates for new participants

6 6 Threshold for partnership Below a given amount of fund received from EU, being partner might have little interest : large administrative work for little gain.  Suggest to agree on a threshold partner to receive funds from EU : -Above xx kE expected to be received from EU : Institute is full partner or third party and will receive funds directly or trough consortium - Below xx kE expected to be received from EU, ask Institute to be only associate partners (Institute specified in the proposal). Will receive money to attend meetings though Work Package (need to be provisioned) and money to come for beam test (within TA). Threshold to be defined : 50 kE ?

7 7 Reimbursement rate Can be different in each activities as shown by Mar (MGT, COORD, TA, RTD) Suggest to keep something quite similar to DevDet Activity Rate MGT (WP1) < 50 % NA/COORD (WP 2,3,4) 30 % TA (WP 5,6,7) ≥ 75 % JRA(RTD) (WP 8,9,10) 30 % These numbers have to be considered in average but can accept some discrepancies within a WP if justified (for instance cost of FTE very different from one country to another). To be discussed between WP leaders and coordinators. 30 % might be increase in a WP if many associate partners

8 8 Consortium / Institutes description Was already done in DevDet. Need your help to provide description of participant, check of the tasks where you participate in AIDA + short CV of a few key peoples (could be one per lab in a consortium) Will provide templates soon.  Expect texts before Nov 9 th An example from DevDet for Italy in next slides.
