3 3 Searching POs Objective: By the end of this lesson, you will know how to search for a PO from the Card Data Tab in CAR.

4 4 Background CAR derives a PO number from a transaction and matches it back to the PO. There are several reasons that this process may fail. Here are just two examples. Since the PO number can be manually entered into the transaction by the vendor, it can come across with manual errors. If there is an error on the PO number within the transaction, it will not automatically match to a PO. Another example why a transaction remains unmatched, is if there is an overage on the transaction, however the PO set up is not set to allow any overages. For those cases, you would need to manually match the POs to the unmatched transactions. This new search function makes it easier for you to match the transaction to the PO. This presentation will outline how to use this new search functionality.

5 5 Lesson 1: Searching for a PO from the Card Data Tab Match to PO Sub Tab When you have unmatched transactions, you can now manually match them to a PO from the Card Data Tab. To do this, first, select one or several transactions and then click on the new “Match to PO” sub tab.

6 6 A Search Box pops up on top of the “Match to PO” sub tab. The default search is called “Vendor ID Search”, which includes a Vendor match, Order Date, Amount and PO status. You can use this as is, or edit to suit your needs. In addition, there’s a new check box at the bottom of the screen which narrows your search to the 5 most recent POs. 7 7 Lesson 1: Searching for a PO from the Card Data Tab Match/Match LID As your search is returned, all the POs that match your criteria are displayed. You can select one of the POs from the list or click on the search button to search again. You may need to uncheck the box at the bottom of the search pop up to see more results. Once you find the PO that you want to match the transaction to, click on either “Match to LID” or just “Match”. This depends on whether or not the transaction has LID. Once you have matched your transaction a Purchase Order Detail Sub Tab will appear under the Card Data main Tab..

8 8 “Match LID” to match the PO to the transaction/s and reallocate at the same time. The screen below will appear, select each PO line and the corresponding transaction line item and click “Match”. After matching all lines, either check or uncheck the box at the bottom to reallocate using PO information. Finally, click submit to save your changes. 9 9 Lesson 1: Searching for a PO from the Card Data Tab View PO Detail In some cases, you may need to search for a PO, just to copy the Accounting over to another transaction/s. You can even export the accounting from a PO. As your search is returned, all the POs that match your criteria are displayed. You can select one of the POs from the list or click on the search button to search again. You may need to uncheck the box at the bottom of the search pop up to see more results. You can click on “View PO Details” to see the accounting that will be applied to the transaction/s, before you click Match, Apply or Export Accounting.

10 10 Lesson 1: Searching for a PO from the Card Data Tab Apply Accounting Once you find the PO that you were looking for, click on “Apply Accounting”. “Apply Accounting” uses the PO’s accounting to automatically override any accounting in the transaction/s.

11 11. Lesson 1: Searching for a PO from the Card Data Tab Export Accounting “Export Accounting” is a new export feature similar to the export button on your reallocation screen today. Click “Export Accounting” to upload your accounting from your PO into a file which you can then import back into other transactions. The “Export Accounting” feature can be found on both the Card Data Tab, and the Purchase Orders Tab, under the Purchase Order Detail Sub Tab.
