1 Fall 2012 Reading & Mathematics Retake Training Materials

Test Administrator Before, During, and After Testing 2

Test Administrator Before Testing  Read the test administration manual.  Read the Test Administration Policies and Procedures and sign the FCAT/FCAT 2.0 Test Administration and Security Agreement.  Read and sign the Test Administrator Prohibited Activities Agreement.  Establish an appropriate setting for test administration.  Prepare and receive all materials needed for test administration.  Ensure that your students and parents understand the testing policies prior to the first day of testing.  If you are administering tests to students who require accommodations, become familiar with the accommodations and discuss how accommodations will be provided with your school coordinator.  Ensure that you know how to open TestNav or TestHear to the login screen for each student computer prior to testing. 3

Test Administrator Before Testing Sign and return an FCAT/FCAT 2.0 Test Administration and Security Agreement, which indicates that the test administrator:  Has received training  Has read the Test Security Statute and State Board Rule  Has read all applicable portions of the Test Administration Manual  Understands and agrees to adhere to all test security and administration policies and procedures Sign and return a Test Administrator Prohibited Activities Form 4

Test Administrator Before Testing Establish an Appropriate Setting Tests should be administered in a room that has comfortable seating, good lighting, adequate ventilation, and sufficient workspace. Students must not be able to easily view other students’ computer screens or test materials. During the practice test, check the configuration of your testing room to make sure you will be able to provide a secure environment during testing. If necessary, use visual blocks. Discuss any concerns with your school assessment coordinator. Post the sign that reads TESTING—Please Do Not Disturb and display starting and stopping times as soon as testing begins. Remove or cover all visual aids in the room. 5

Test Administrator Before Testing Establish an Appropriate Setting When you arrive on the day of testing, open each student workstation in the testing room to the student login screen, but do not log in for students. Display the student comment form URL, or create shortcuts on student workstations to ensure each student is able to complete a form after testing. (www.FLAssessments.com/RetakeStudentCommentForm)www.FLAssessments.com/RetakeStudentCommentForm Ensure that you have a way to contact the technology coordinator or the school assessment coordinator without leaving the room unattended. 6

Test Administrator Before Testing Test Administration Manual You will need the Fall 2012 Reading & Mathematics Retake Test Administration Manual to read the test administration scripts to students. When testing students with accommodations, you may need to modify the scripts. Review the scripts BEFORE testing begins to determine the necessary modifications. Do not interpret this as permission to paraphrase test items. Scripts and instructions for the administration of accommodated computer-based test forms (large print, color contrast, zoom, screen reader, assistive devices) are provided in Appendix A. 8

Test Administrator Before Testing Test Administration Manual (cont.) Appendix D on page 201 is the CBT Test Administrator Quick Reference Guide. This guide lists possible error messages students may encounter, explanations for each message, and possible solutions. This guide is a helpful resource for test administrators during testing. 9

Test Administrator Before Testing Session Roster School assessment coordinators will provide a Session Roster, which is a list of all students scheduled in a test session and includes the following information:  Test Administration  Session Name  Test to be Administered  Test Code (password)  Student Name  Student ID Numbers  Student Birth Dates  Class information  Login ID 10

Test Administrator Before Testing Session Roster (cont.) The School Assessment Coordinator sections of the Fall 2012 Retake Manual provide instructions for creating and printing Session Rosters. Session Rosters must be handled in a secure manner and returned to the school assessment coordinator immediately after each test session is completed. 11

Test Administrator Before Testing 12

Test Administrator Before Testing Required Administration Information The Session Roster may be used to verify or record most required administration information, including: Students assigned to the room Attendance information Accommodations provided Test group code Unique security number of secure documents assigned to each student Signatures of test administrator and school assessment coordinator and dates for when secure materials are received and returned 13

Test Administrator Before Testing Student Authorization Tickets The School Assessment Coordinator sections of the manual provide instructions for scheduling students into test sessions and printing Student Authorization Tickets. For each test, each student needs a Login ID and a test code (password), which are printed on the Student Authorization Tickets. Students will need a pen or pencil during testing to sign their tickets. Students taking the FCAT 2.0 Reading tests will log in using the same Student Authorization Tickets for both sessions. 14

Test Administrator Before Testing Student Authorization Tickets (cont.) The test administrator will give each student a ticket only AFTER all students have entered the testing room, as instructed in the script, and all tickets must be collected BEFORE students leave the testing room. Student Authorization Tickets must be handled in a secure manner and returned to the school assessment coordinator immediately after each day of testing is completed. 15

Test Administrator Before Testing 16 Student Authorization Tickets (cont.)

Test Administrator Before Testing Seating Chart An accurate seating chart must be maintained for each testing room for each test session. Seating charts must record the following information:  The room name/number  Student names and the location of students in the room during testing  The front and back of the room  Direction students are facing  Date  Session starting time  Test administrator name  Names of proctors (if applicable)  Test group code  Session name in PearsonAccess (CBT) If students change seating or are moved to a different location during a test session, a new seating chart must be created. 17

Test Administrator Before Testing Test Group Code A test group code is a unique four-digit number used to identify a group of students testing together. Each group of tested students in a testing room should receive a unique test group code. District assessment coordinators will either create and distribute test group codes to all school assessment coordinators or will instruct them to create their own unique four-digit codes. Students will enter the test group code before beginning the test, as indicated in the scripts. 18

Test Administrator Before Testing Test CodeTest Group Code A six-character code created by PearsonAccess and printed on Student Authorization Tickets and Session Rosters. The Login ID and the test code are required to log in to TestNav. A unique four-digit number created by district assessment coordinators or by school assessment coordinators used to identify groups of students tested together. The test group code is entered after the Welcome screen in TestNav and before students see the first question. 19

Test Administrator Before Testing Seal Code A seal code is a unique four-digit number used to allow students to access Session 2 of the computer-based FCAT 2.0 Reading test after they have completed Session 1. TestNav and TestHear require a seal code to proceed to Session 2 on Day 2. Seal codes will be provided in PearsonAccess, and all students in a test session will use the same seal code. Seal codes should not be given to students until Day 2 when the Session 2 administration script is read to students. Students are not able to return to Session 1 once they have logged in to Session 2. Students will log in using the same Student Authorization Tickets for both test sessions. 20

Test Administrator Before Testing 21 Seal Code (cont.)

Test Administrator Before Testing Seal Code (cont.) 22 Students enter the seal code here on Day 2. Students will exit on this screen on Day 1.

Test Administrator Before Testing Security Log 23 A Security Log must be maintained for each testing room. Anyone who enters a room for the purpose of monitoring a test MUST sign the log for that testing room.

Test Administrator Before Testing Mathematics Reference Sheet The computer-based test has a pop-up window that includes the FCAT Mathematics Retake Reference Sheet. Paper copies of the FCAT Mathematics Retake Reference Sheet are provided for ALL students taking the FCAT Mathematics Retake. (Last CBT administration where paper copies are provided by FDOE.) The reference sheet is also available at www.FLAssessments.com/FallRetake and as a perforated sheet in Appendix E of the manual and may be photocopied if necessary. www.FLAssessments.com/FallRetake 24

Test Administrator Before Testing Mathematics Reference Sheet (cont.) Once students complete the test, the test administrator should collect all reference sheets, and the school assessment coordinator should destroy them by recycling, or return them, as directed by the district assessment coordinator. Used reference sheets are secure materials. 25

Test Administrator Before Testing Computer-Based Test Work Folders The Florida Computer-Based Testing Work Folder is a piece of yellow 11x17 paper folded in half with graph paper printed on the back cover. Work folders arrived in your shipment of test administration manuals. For the Mathematics test, students are provided with work folders to work the problems. One work folder should be sufficient for each student; however, students may request additional folders. Work folders are to be distributed to students at the beginning of Mathematics test sessions. Test administrators must ensure that students have enough desk space to use their folders. 26

Test Administrator Before Testing Computer-Based Test Work Folders (cont.) Once students complete the Mathematics test, the test administrator must collect all work folders. The school assessment coordinator should package the used folders in the District Assessment Coordinator ONLY box. Used work folders are secure materials. 27

Test Administrator Before Testing Reading Passage Booklets Reading Passage Booklets will be provided for eligible students taking computer-based Reading tests who have this accommodation identified in their IEPs or Section 504 plans. Districts were required to specify the number of Reading Passage Booklets needed for students during the enrollment/participation count window. The booklets contain reading passages but do not contain test items. Students will respond to test items on the computer. 28

Test Administrator Before Testing Reading Passage Booklets (cont.) Sessions 1 and 2 of the Reading Passage Booklets are sealed separately. Students should break the appropriate seal at the beginning of each session, according to the instructions in the administration script. Reading Passage Booklets are secure materials and must be stored in a secure location before and after testing. Please see the Fall 2012 Retake Manual for passage booklet return instructions. 29

Test Administrator Before Testing Calculators Your district should have an adequate supply of approved four- function calculators provided by the FDOE. Districts are responsible for establishing policies for the storage, use, and retention of calculators. Students with visual impairments may use the approved large key/large display or talking four-function calculators supplied by the FDOE. Schools that have not yet accumulated an adequate supply of approved large key/large display or talking four-function calculators to accommodate all students with visual impairments may use comparable calculators that are regularly used in their classrooms. Such calculators must be basic four-function models and must not have functions that are unavailable on approved calculators. No other calculators may be used. 30

Test Administrator Before Testing Calculators – TestNav TestNav has a built-in, four-function calculator in the FCAT Mathematics Retake. Once a student has participated in a practice test, he or she may request to use an approved handheld four-function calculator. Test administrators should provide handheld calculators at the beginning of a test session to all students who request one, as indicated in the test administration script. 31

Test Administrator Before Testing Calculators – TestHear TestHear does NOT have a built-in four-function calculator. Students taking an accommodated CBT form of the FCAT Mathematics Retake should be provided an approved handheld four-function calculator at the beginning of the test session, as indicated in the test administration script. 32

Test Administrator Before Testing Additional items: Pens and/or pencils Clock or watch Signs  Do Not Disturb Sign  Electronic Devices Sign  Session Signs (FCAT 2.0 Reading Tests) Cover Sheets  TO BE SCORED Cover Sheet  NOT TO BE SCORED Cover Sheet 33

Test Administrator Before Testing Missing Materials and Test Irregularities/Security Breaches Test administrators should report any test irregularities (e.g., disruptive students, loss of Internet connectivity) and possible security breaches to the school assessment coordinator immediately. If a secure document, such as a test and answer book, a Reading Passage Booklet, a Student Authorization Ticket, a used Work Folder, a used reference sheet, or a Session Roster, is not found or a test irregularity or security breach is identified, the school assessment coordinator must contact the district assessment coordinator. Forms to report missing materials form and test irregularities/security breaches form can be found online at www.FLAssessments.com/Fall Retake. www.FLAssessments.com/Fall Retake 34

Test Administrator Before Testing Communicate Testing Policies to Parents and Students  Electronic Devices Policy—If students are found with ANY electronic devices, including, but not limited to, cell phones and smartphones, during testing OR during breaks, their tests will be invalidated. The best practice would be for students to leave devices at home or in their lockers on the day of testing.  Leaving Campus—If students leave campus before completing the test (for lunch, an appointment, or illness, etc.), they WILL NOT be allowed to complete the test. Students and parents should be aware of this policy. If a student does not feel well on the day of testing, it may be best for the student to wait and be tested on a make-up day.  Student Honor Statement—Prior to testing, students will be asked to acknowledge a Student Honor Statement that reads, “I understand that giving or receiving unauthorized help during the test is cheating and if I give or receive such help during this test, it will result in the invalidation of my test results.” Students taking CBT Retakes may show they have read the statement by clicking a checkbox; in paper-based Retakes, a signature line appears below the statement. 35

Test Administrator Before Testing Administration Accommodations Appendix A of the Fall 2012 Retake Manual contains detailed information regarding administration accommodations for students with disabilities and ELLs. All personnel involved in administering tests to students with allowable accommodations must familiarize themselves with the information in Appendix A. 36
