2 Overview These training materials are designed to highlight important information for computer-based test administrations. Not all information from the test administration manual is included in this presentation, so it is imperative that district and school staff read and familiarize themselves with all information in the manual in addition to using these training materials. 2

3 Overview These training materials are based on the Spring 2013 Computer-Based Reading and Mathematics Test Administration Manual (Spring 2013 CBT Manual). There are separate training materials for FCAT 2.0 Writing and the paper-based Spring 2013 Reading, Mathematics, and Science Tests. Training materials are available in PearsonAccess under the Support tab. 3

4 Overview These training materials should be used in conjunction with the Spring 2013 Reading, Mathematics, and Science training materials for paper-based tests to ensure that all general information regarding test administration policies and procedures is covered. 4

5 Glossary of Terms PearsonAccess www.pearsonaccess.com/fl www.pearsonaccess.com/fl A website used for almost all test preparation (e.g., PreID), setup, administration, and reporting tasks. Requires a username and password. Verify that you are working in the correct test administration each time you log in. 7 Proctor Caching Proctor Caching is a process of loading or “caching” test content locally on a computer at the school level. Does not require a separate caching server and can run on any workstation on the network that meets minimum requirements. Proctor Caching software is provided by Pearson. Reduces test delays due to network congestion. Provides students with a more seamless testing experience. Required for all FCAT/FCAT 2.0/EOC computer-based testing in Florida. ****Proctor Caching is done differently than in the manual (for noncharter Broward schools) than ETS has set it up. 3 area proctor caching servers**** 7

8 Glossary of Terms TestNav 6.9 (TestNav) Platform for Florida’s high-stakes computer-based statewide assessments. Software application installed either on a file server or on each computer that will be used for testing. 8 Note: This is the URL used for testing this Spring; it is different from the URL used for the Infrastructure Trial.

9 Glossary of Terms TestHear 2.1.0.7 (TestHear) Platform used to deliver accommodated forms (e.g., large print, zoom, color contrast, screen reader, assistive devices) for Florida’s high- stakes computer-based statewide assessments. Software application installed on each computer that will be used to test students who require computer-based accommodations. TestHear will operate on Windows PC workstations and on Macintosh workstations that have Mac OS 10.5 or later installed and are running Windows (e.g., via Boot Camp). TestHear will not work on Mac OS X 10.4 or on Macs that cannot also run Windows. 9

10 Glossary of Terms ePAT Electronic Practice Assessment Tool Provides students an opportunity to practice using the computer- based platform prior to testing. Available for download at www.FLAssessments.com/ePATs.www.FLAssessments.com/ePATs Download ePAT launcher separately from practice test content. Accommodated ePATs are also available. Launcher is bundled with the practice test content for accommodated forms. Scripts and instructions for downloading ePATs are under the Resources tab. 10

13 CBT Daily Administration Schedule Retakes (April 8-19): FCAT 2.0 Reading and FCAT Mathematics FCAT 2.0 Reading Retake and FCAT Mathematics Retake are computer-based tests. FCAT 2.0 Reading Retake—administered in two sessions over two days. Students may have up to half the length of a typical school day to complete each session. FCAT Mathematics Retake—administered in a single test session. Students may have up to the length of a typical school day to complete the test. CBT sessions AND paper-based tests (accommodations only) may be scheduled during the entire Retake window; however, schools within a district must adhere to the same testing schedule. 13

14 CBT Daily Administration Schedule Week 1 (April 15-19): Grades 7 and 10 Reading Grades 7 and 10 Reading are computer-based tests and will be administered in two 70-minute sessions over two days. Week 1 make-up testing may continue through April 24, as needed. 14

15 CBT Daily Administration Schedule Week 2 (April 22-26): Grade 5 Mathematics, Grades 6 and 9 Reading Grade 5 Mathematics and Grades 6 and 9 Reading are computer-based tests and will be administered in two 70 minute sessions over two days. Week 2 make-up testing may continue through April 30, as needed. 15

16 What’s New Electronic Devices School personnel must ensure that students do not have access to their cell phones or other electronic devices at any time during testing, including breaks (restroom breaks, etc.). If a student is found to be in possession of ANY electronic devices during testing or during a break within a session, his or her test must be invalidated. Students and parents/guardians must be made aware of this policy prior to testing. 16

17 What’s New Testing Rules Acknowledgment Prior to testing, students must listen to the testing rules read by the test administrator and then click a checkbox (TestNav) or circle (TestHear) next to a Testing Rules Acknowledgment that reads: “I understand the testing rules that were just read to me. If I do not follow these rules, my test score may be invalidated.” If a student does not click the box at the beginning of Session 1 of a test, the test administrator should contact the school assessment coordinator. 17

18 What’s New Test Materials Chain of Custody Form Schools are required to maintain a Test Materials Chain of Custody Form (available in PearsonAccess and in Appendix E of the Spring 2013 CBT Manual). –Record accurate information on the form, including the dates activities are completed, the names of the persons performing activities involving the materials, and information about the locked storage room. –Retain electronic or hard copies of completed forms after materials are packaged for pickup, and email or return the originals to the district assessment coordinator. 18

19 What’s New Reference Sheets Mathematics reference sheets are provided in an online format only for the Grade 5 FCAT 2.0 Mathematics test and the FCAT Mathematics Retake. Schools may provide hardcopy reference sheets to students. Any hardcopy reference sheets must be photocopies of the reference sheet in Appendix E of the Spring 2013 CBT Manual (also available at www.FLAssessments.com/SpringRMS). www.FLAssessments.com/SpringRMS Each photocopied reference sheet must be carefully checked against the original to ensure all content is copied and that it is clear and easy to read. 19

20 What’s New CBT Worksheets For each FCAT 2.0 Reading computer-based test session, CBT Worksheets may be provided for students if they prefer to make handwritten notes instead of using the notepad tool in the CBT platform. The worksheet is an 8 ½ × 11 page (located in Appendix E and posted to PearsonAccess) that may be copied and distributed to students at the beginning of a test session. Students will receive a new worksheet for Session 2. 20

21 What’s New Handheld Calculators After participating in an FCAT Mathematics Retake practice test, a student may request an approved four-function calculator for use on the day of testing. Test administrators should have a supply of handheld four-function calculators for these students. TestHear does not include a four-function calculator tool in the CBT platform. Students taking an accommodated CBT form of the FCAT Mathematics Retake MUST be provided with a handheld four-function calculator to use during the test, as indicated in the administration script. Students taking the Grade 5 Mathematics test may not use a calculator. 21

22 What’s New Technology Coordinator Guide Information and instructions for technology coordinators are now provided in a separate online Spring 2013 Technology Coordinator Guide. Technology coordinators went to a training with District ETS on February 20 th and must familiarize themselves with all information in this guide prior to the test administration. The Technology Coordinator Guide is available at www.FLAssessments.com/SpringRMS. www.FLAssessments.com/SpringRMS Technology coordinators need to follow test security the same as Test Administrators or other staff involved in testing. That means no “testing out” an authorization ticket etc. 22

23 What’s New CBT Training Resources A new website has been created to compile several resources for computer-based testing. The site includes information about test setup, best practices, and training resources. 24 What’s New Accommodations Paper-based large print test materials are available as a unique accommodation for students who have a documented inability access large print accommodations on computer-based tests. Other paper-based test materials (regular print, braille, Reading Passage Booklets) are available to eligible students who have such accommodations indicated on an IEP or Section 504 plan. Although Reading Passage Booklets are included in the category of paper-based accommodations, eligible students who require them will test on the computer. 24

25 What’s New TestHear 2.1.0.7 Make sure you have this version of TestHear installed on the PCs at your school. If you need to download the newest version of TestHear is available at www.FLAssessments.com/Downloads.www.FLAssessments.com/Downloads 25

26 What’s New ePATS The computer-based practice tests, also called ePATs, and scripts for administering ePATs are posted at www.FLAssessments.com/ePATs for school staff, as well as students and their parents/guardians, to access at their convenience. www.FLAssessments.com/ePATs Students should be made aware that they can access ePATs on their own at this location. The ePAT scripts are no longer included in the test administration manual. Schools must administer the appropriate practice test(s) to all students to be tested using the ePAT scripts; however, if a student has previously participated in an ePAT for the grade level and subject test he or she will take, the student is not required to participate in an ePAT session. 26

27 What’s New Updates to Student Information A new process has been established to allow incorrect student profiles added to PearsonAccess via the Create New Student Wizard to be updated before or after testing. 27

28 What’s New Seal Codes Students participating in Reading Retakes, Grade 5 Mathematics, Grade 6, 7, 9 & 10 Reading, must enter a seal code to open Session 2 on Day 2 of testing. Students are not able to return to Session 1 once they have accessed Session 2. Students will log in using the same Student Authorization Ticket for both test sessions. Seal codes are secure information and must not be provided to students prior to the beginning of Session 2, as indicated in the administration script. BE CAREFUL WITH THE SEAL CODES! Test Administrators could potentially allow students into Session 2 of testing if provided on Day 1 28

29 What’s New Test Group Code Schools must use one unique four-digit test group code for both sessions of each subject test for students in each testing room. For instance, the group of students taking Grade 7 Reading in Mrs. Smith’s computer lab will use the same test group code for Session 1 and Session 2. If students are absent for a test session, a different unique code must be used for each make-up session. 29

30 Reminders Test Administrator Policies ALL test administrators must be certified educators. In addition to signing a security agreement, test administrators are required to sign a Test Administrator Prohibited Activities Agreement. Test administrators must NOT administer the FCAT/FCAT 2.0 to their family members. Students related to their assigned test administrator should be reassigned to an alternate test administrator. Under NO circumstances may a student’s parent/guardian be present in that student’s testing room. 30

31 Reminders Seating Charts Test administrators are required to maintain an accurate seating chart for each group of students in their rooms during testing. All seating charts must indicate the front and back of the room, as well as the direction the students are facing. If the seating configuration changes during testing, a new seating chart must be created. 31

32 Reminders Leaving Campus If a student begins a session and leaves campus without finishing (due to an appointment, illness, etc.), he or she will NOT be allowed to complete that session. No exceptions will be made once the student leaves the school’s campus, so parents/guardians and students must be made aware of this policy. 32

33 Reminders Marking Tests Complete Student tests should only be Marked Complete in one of the following circumstances: A student had to leave the test (e.g., cheating, illness) and will not finish the test. (After being marked complete, school personnel will invalidate the test.) A student finished the test but exited instead of submitting the test and the test should be scored. A student completed Session 1 and never started Session 2. As otherwise directed by FDOE or Pearson after a technical difficulty or other extenuating circumstance. * FOR FCAT 2.0 TESTS, DO NOT MARK TESTS COMPLETE OR STOP THE SESSION IN PEARSONACCESS AFTER DAY 1. 33

35 Reminders Test Security Policies and Procedures Per Florida State Board of Education Rule 6A-10.042, FAC, and Test Security Statute, s. 1008.24, F.S. (see Appendix B), district and school personnel are required to maintain test security before, during, and after testing. Please remember that inappropriate actions can result in student or classroom invalidation and/or loss of teaching certification. All school personnel, including itinerant teachers,proctors, School Administrators and Technology Coordinators must receive thorough training in test administration and security policies and procedures, familiarize themselves with all relevant content of the test administration manual(s), read the Statute and Rule in Appendix B, and then sign an FCAT/FCAT 2.0 Test Administration and Security Agreement. All test administrators must be certified educators and must sign the Test Administrator Prohibited Activities Agreement. School assessment coordinators must maintain an accurate Test Materials Chain of Custody Form. 35

36 Students to be Tested In general, all Florida public school students enrolled in tested grade levels (Grades 3–10) participate in the FCAT/FCAT 2.0, per Section 1008.22(3)(c)8, Florida Statutes (F.S.). Students must take the test(s) appropriate for the grade level in which they are enrolled. 36

37 Students to be Tested FCAT 2.0 Reading Retake For students who entered Grade 9 in the 2009-2010 school year or after and are pursuing a standard Florida high school diploma, earning a passing score on the Grade 10 FCAT 2.0 Reading test is a graduation requirement. The following students are eligible to participate in this administration of the FCAT 2.0 Reading Retake: –Retained Grade 10 or Grades 11-12 regular high school students who have not yet earned a passing score. –Students who enrolled in Grade 9 prior to the 2009-2010 school year but have not yet passed the Grade 10 FCAT Reading. (Because the FCAT Reading Retake is no longer offered, these students will participate in the FCAT 2.0 Reading Retake.) 37

38 Students to Be Tested FCAT Mathematics Retake For students who entered Grade 9 in the 2009-2010 school year or earlier and are pursuing a standard Florida high school diploma, earning a passing score on the Grade 10 FCAT Mathematics test is a graduation requirement. Regular high school and adult students who have not yet earned a passing score on the Grade 10 FCAT Mathematics are eligible to participate in this administration of the FCAT Mathematics Retake. Students who entered Grade 9 in the 2010-2011 school year or after do NOT take an FCAT/FCAT 2.0 Mathematics test. 38

39 Students to Be Tested Retakes Students participating in Retake administrations should only take the subject test(s) they have not yet passed. Students who have received a GED diploma are not eligible to participate in FCAT/FCAT 2.0 administrations. Students enrolled in grade levels below Grade 10 MAY NOT participate in Retake administrations. 39

40 Students to be Tested Special Program Students Make arrangements to test special program students (Home Education, Virtual School, McKay Scholarship, FTC Scholarship). Ensure that these students are tested under the correct school number, according to the chart on page 6 of the manual. 40

41 Students to be Tested English Language Learners (ELLs) Per the Department’s Bureau of Student Achievement through Language Acquisition, all ELLs are expected to participate in statewide assessments. If an ELL has been receiving services in an English for Speakers of Other Languages (ESOL) program operated in accordance with an approved ELL plan for one year or less AND a majority of the student’s ELL committee determines that it is appropriate, the ELL may be exempt from this FCAT 2.0 Reading administration. Exempt ELLs must participate in the English proficiency assessment or they will be counted as “not assessed” and this will impact the participation rate calculation. All ELLs are expected to participate in the FCAT 2.0 Mathematics and Science tests no matter how long these students have been receiving services. 41

42 Students to be Tested Students With Disabilities All students with disabilities participate in the statewide assessment program by taking one of the following:  FCAT/FCAT 2.0 without accommodations,  FCAT/FCAT 2.0 with accommodations, or  Florida Alternate Assessment. All determinations regarding participation in the statewide assessment program must be documented in the student’s IEP or Section 504 plan. See Appendix A of the manual for information regarding accommodations. 42

43 Proctors When testing a large group of students, proctors must be assigned to the room. Refer to the table below for the required number of proctors. *It is strongly recommended that a proctor be assigned to rooms with 25 or fewer students whenever possible. 43 1-25 studentsTest Administrator* 26-50 studentsTest Administrator and 1 Proctor 51-75 studentsTest Administrator and 2 Proctors

44 Test Irregularities/ Security Breaches/ Missing Materials Test administrators should report any test irregularities (e.g., a whole classroom of disruptive students) missing materials or possible security breaches to the school assessment coordinator immediately. The school assessment coordinator should communicate with Student Assessment and Research regarding possible test invalidations. Within 2 calendar days of the incident, a written report must be submitted to the Dr Desmond Blackburn and Paul Houchens. The report must include: –The nature of the situation –The time and place of the occurrence –The names of the persons involved –A description of the communication between the district assessment coordinator’s office and school personnel –How the incident was resolved –What steps are being taken to avoid future test irregularities or security breaches A form to report test irregularities and security breaches can be found at www.FLAssessments.com/SpringRMS. www.FLAssessments.com/SpringRMS 44

45 Test Invalidation If there are any question as to whether a student needs to be invalidated you should contact Student Assessment and Research. Remember that the purpose of invalidation is to identify when the validity of test results has been compromised. If a situation listed in the “Test Invalidation” section on pages 18-19 of the manual occurs, test administrators should discuss the situation with the school assessment coordinator, and the situation should be investigated immediately. 45

46 Test Administrator Before Testing Read the test administration manual. Read the Test Security Policies and Procedures and sign the FCAT/FCAT 2.0 CBT Administration and Security Agreement. Read and sign the Test Administrator Prohibited Activities Agreement. Establish an appropriate setting for test administration and remove or cover any unauthorized aids in the testing room. Prepare and receive all materials needed for test administration. Ensure that your students and their parents/guardians understand the testing policies prior to the first day of testing. If you are administering tests to students who require special accommodations, become familiar with the accommodations and discuss with your school coordinator how accommodations will be provided. Ensure that you are familiar with how to open TestNav or TestHear to the login screen for each student computer prior to testing. 46

47 Test Administrator Before Testing Testing Location Tests should be administered in a room that has comfortable seating, good lighting, adequate ventilation, and sufficient workspace. Students must not be able to easily view other students’ computer screens or test materials. Use the privacy boards provided by Student Assessment to avoid cheating. During the practice test, check the configuration of your testing room to make sure you will be able to provide a secure environment during testing. If necessary, use visual blocks. Post the sign that reads TESTING—Please Do Not Disturb and display starting and stopping times as soon as testing begins. Students must not have access to any unauthorized aids. Discuss any concerns with your school assessment coordinator. 47

48 Test Administrator Before Testing Testing Location (cont.) When you arrive on the day of testing, open each student workstation in the testing room to the student login screen as indicated in the script, but do not log in for students. Display the student comment form URL, or create shortcuts on student workstations to ensure each student is able to complete the form after testing. Ensure that you have a way to contact the technology coordinator or the school assessment coordinator without leaving the room unattended. 48

49 Test Administrator Before Testing Spring 2013 CBT Manual You will need the Spring 2013 Computer-Based Reading and Mathematics Test Administration Manual to read the test administration scripts to students. When testing students who are allowed certain accommodations, you may need to modify the scripts. It is especially important that you review the scripts BEFORE testing begins to determine the necessary modifications. Do not interpret this as permission to paraphrase test items. Scripts and instructions for administration of accommodated computer-based test forms (large print, color contrast, zoom, screen reader, assistive devices) are provided in Appendix A. 49

50 Test Administrator Before Testing Spring 2013 CBT Manual (cont.) Appendix D on page 310 is the CBT Test Administrator Quick Reference Guide. This guide lists possible error messages students may encounter, explanations for each message, and possible solutions. 50

51 Test Administrator Before Testing Student Authorization Tickets For each test session, each student needs a Login ID and a 6-digit test code (password), which are printed on the Student Authorization Tickets. Students will need a pen or pencil during testing to sign their tickets. Students taking will log in using the same Student Authorization Ticket for each session. Provide each student a ticket only AFTER all students have entered the testing room, as instructed in the script, and all tickets must be collected BEFORE students leave the testing room. Student Authorization Tickets must be handled in a secure manner and returned to the school assessment coordinator immediately after each day of testing is completed. 51

53 Test Administrator Before Testing Session Roster A Session Roster is a list of all students scheduled in a test session that displays important information including:  Test Administration  Session Name  Test to be Administered  Test Code (password)  Student Name  Student ID  Student Date of Birth  Class Information  Login ID  Blank space to record attendance information and accommodations used The Session Roster may be used to record required administration information. Session Rosters must be handled in a secure manner and returned to the school assessment coordinator immediately after each test session is completed. 53

55 Test Administrator Before Testing Test Group Code A test group code is a unique four-digit number used to identify a group of students testing together. Each group of tested students, initial and make-up, in a testing room should receive a unique test group code. Schools must use one test group code for both sessions of each subject test for students in each testing room. Students will enter the test group code before beginning each session, as indicated in the scripts. 55

56 Test Administrator Before Testing Test CodeTest Group Code A six-digit code created by PearsonAccess and printed on Student Authorization Tickets and Session Rosters. The Login ID and the test code are required to log in to TestNav. A unique four-digit number created by district assessment coordinators or by school assessment coordinators used to identify groups of students tested together. The test group code is entered after the Welcome screen and Testing Rules Acknowledgment and before students see the first question. 56

57 Test Administrator Before Testing Seal Code A seal code is a unique four-digit number used to allow students to access Session 2 of the computer-based FCAT 2.0 tests (FCAT 2.0 Reading Retake, Grades 6, 7, 9, and 10 Reading tests, and Grade 5 Mathematics in TestNav) after they have completed Session 1. Seal codes are provided in PearsonAccess, and all students in a test session will use the same seal code. Seal codes should not be given to students until Day 2 when Session 2 is administered. BE CAREFUL do not provide a Seal Code on Day 1 of testing. 57

60 Test Administrator Before Testing Mathematics Reference Sheets The FCAT Mathematics Retake Reference Sheet and the Grade 5 FCAT 2.0 Mathematics Reference Sheet are provided in an online format only for computer-based testing. The computer-based test has a pop-up window that includes the applicable reference sheet. The reference sheets are also available at www.FLAssessments.com/SpringRMS and as perforated sheets in Appendix E of the manual. Schools may provide hardcopy reference sheets to students taking computer-based assessments. www.FLAssessments.com/SpringRMS Students will use the same reference sheet for both sessions of the Grade 5 Mathematics test. Once students complete the test, the test administrator should collect all reference sheets and return them to the school assessment coordinator. Used reference sheets are secure materials. 60

61 Test Administrator Before Testing Calculators The TestNav computer-based FCAT Mathematics Retake has a built-in, four-function calculator. Students taking the Grade 5 Mathematics test may not use a calculator. Students taking the FCAT Mathematics Retake using TestHear accommadated forms must be provided with a handheld four-function calculator to use during testing. Students with visual impairments may use the approved large key/large display calculators or approved talking calculators supplied by the FDOE. Schools that have not yet accumulated an adequate supply of approved large key/large display or talking calculators to accommodate all students with visual impairments may use comparable calculators that are regularly used in their classrooms. Such calculators must be basic four-function models and must not have functions that are unavailable on approved calculators. 61

62 Test Administrator Before Testing Work Folders The Florida Computer-Based Testing Work Folder is a blank piece of yellow 11x17 paper folded in half with grid paper on the back page. Work folders arrived in your shipment of test administration manuals. For the Mathematics test sessions, students are provided with work folders to work the problems. One work folder per person should be sufficient for each student; however, students may request additional folders. Two work folders will be provided for each student taking Grade 5 Mathematics (one for Session 1 and one for Session 2). Distribute work folders to students at the beginning of each Mathematics test session. Ensure that students have enough desk space to use their folders. Once students complete the Mathematics test, collect all work folders and return them to the school assessment coordinator. Used work folders are secure materials. 62

63 Test Administrator Before Testing CBT Worksheets The CBT Worksheet is an 8 1/2x11 page (located in Appendix E) that may be copied and distributed to students at the beginning of a test session. If your school is providing hard copies of the CBT Worksheet, a sufficient number of copies should be available for all students taking the assessment. Students must be provided new worksheets for Session 2. Students must have enough desk space to use their worksheets. Once students complete a test session, collect all worksheets and return them to the school assessment coordinator. Used worksheets are secure materials. 63

64 Test Administrator Before Testing Reading Passage Booklets Reading Passage Booklets will be provided for eligible students taking computer-based Reading tests who have this accommodation identified in their IEPs or Section 504 plans. The booklets contain reading passages but do not contain test items. Students will respond to test items on the computer. On the day of testing, ensure that students with this accommodation receive the correct booklet for the assessment they are taking. Reading Passage Booklets are secure materials and must be stored in a secure location before and after testing. 64

65 Test Administrator Before Testing Security Log 65 A Security Log must be maintained for each testing room. Anyone who enters a room for the purpose of monitoring a test MUST sign the log for that testing room.

66 Test Administrator Before Testing Seating Chart An accurate seating chart must be maintained for each testing room for each test session. Seating charts must capture the following information:  Room name/number  Grade level/subject  Student names and locations in the room during testing  Date  Session starting time  Test administrator’s name  Names of proctors (if applicable)  Test group code  Session name in PearsonAccess All seating charts must indicate the front and back of the room, as well as the direction the students are facing. If the seating configuration changes during testing, a new seating chart must be created 66

67 Test Administrator Before Testing Communicate Testing Policies to Parents/Guardians and Students Electronic Devices Policy—If students are found with ANY electronic devices during testing OR during breaks, their tests will be invalidated. The best practice would be for students to leave devices at home or in their lockers on the day of testing. Leaving Campus—If students leave campus before completing a test session (for an appointment, illness, etc.), they WILL NOT be allowed to complete that session. Testing Rules Acknowledgment—Students will click a checkbox (TestNav) or circle (TestHear) next to a Testing Rules Acknowledgment that reads: “I understand the testing rules that were just read to me. If I do not follow these rules, my test score may be invalidated.” 67

68 Test Administrator Before Testing Administration Accommodations Appendix A of the Spring 2013 CBT Manual contains detailed information regarding administration accommodations for students with disabilities and English Language Learners. All personnel involved in administering tests to students with allowable accommodations must familiarize themselves with the information in Appendix A. 68

69 Test Administrator During Testing Maintain the seating chart, Security Log, and form to collect required administration information for your room. Ensure that each student has a pen or pencil and distribute testing materials as indicated in the scripts. Read the appropriate administration scripts VERBATIM to students. Please read the important information and adhere to the instructions between the SAY boxes. Keep accurate time for each test session and display times for students. Maintain test security at all times and report violations or concerns to your school assessment coordinator immediately. 69

70 Test Administrator During Testing Supervise test administration and ensure the following:  Students have cleared the area around their workstations of all materials except for Student Authorization Tickets, pens or pencils, and the following materials, as applicable: work folders, CBT worksheets, calculators, Reading Passage Booklets, and reference sheets.  Students check the Testing Rules Acknowledgment box and enter the correct test group code.  Students do not talk or make any disturbance.  Students are working independently.  Students are working in the correct test. 70

71 Test Administrator During Testing It is not appropriate to use cell or classroom phones, grade papers, or work on the computer during testing. While you may encourage students to continue working, you may not talk with them about test items or help them with their answers. If a student’s computer is disconnected from the test, contact the technology coordinator to help diagnose any technical issues, or contact the school assessment coordinator to resume that student’s test in Pearson Access. If a student has continual difficulty logging in or gets kicked out of the test more than once, do not have the student continue attempting to log in until the issue is diagnosed and resolved. If students finish the test before the allotted time for the session has elapsed, you may encourage them to go back and check their work. 72 Test Administrator After Testing Verify that you have collected all required administration information, including accommodations actually used by each student. Verify that your seating chart and Security Log have been completed correctly, and make copies for your files. Report any missing materials and/or test irregularities to your school assessment coordinator. Organize materials and return them to your school assessment coordinator. 73 School Coordinator Before Testing Read the test administration manual. Read the Florida Test Security Statute, the State Board of Education Test Security Rule, and all applicable information in the CBT manual and sign the FCAT/FCAT 2.0 CBT Administration and Security Agreement. Ensure that test administrators sign the Test Administrator Prohibited Activities Agreement. Train your test administers and proctors, including non-school-based instructors (e.g., itinerant teachers). You must train several employees to act as possible alternates. Receive test materials from Student Assessment. Inventory the materials within 24 hours of receipt and report missing materials or request additional materials immediately. 73

74 School Coordinator Before Testing Communicate the process for collecting required administration information to your test administrators. Distribute test group codes to test administrators. Assign proctors, as needed. Arrange practice test sessions. Ensure that appropriate test settings are available for all test sessions. Verify student information and create test sessions. Distribute Session Rosters and Student Authorization Tickets on the day of test administration. Distribute Seal Codes to test administrators on the second day of testing, prior to students beginning Session 2. 74

75 School Coordinator Before Testing Make arrangements to test any special program students (district virtual instruction programs, Home Education Program, etc.) who may be testing at your school. If any students who require special accommodations are testing at your school, discuss with test administrators how accommodations will be provided (see Appendix A). Complete the March 7 th Infrastructure Trial. Detailed instructions will be sent early next week. 75

76 School Coordinator Before Testing Receive Test Materials Your district assessment coordinator will provide you with the following materials, as appropriate for your school:  Work folders  FCAT 2.0 Reading Retake and Grade 6, 7, 9, and 10 FCAT 2.0 Reading Passage Booklets  Other materials, as indicated in the Spring 2012 RMS Manual (as applicable) If your school is providing hard copies of the CBT Worksheet or reference sheets, make a sufficient number of copies for all students taking the assessment. Each copy must be carefully checked against the original. 76

77 School Coordinator Before Testing Arrange ePATs Schedule and arrange ePAT practice test sessions as described in the Spring 2013 CBT Manual. Before a student can participate in this computer-based administration, the student must complete the correct ePAT to become familiar with the computer- based system. To access instructions for downloading and installing the ePAT Launcher and practice test content, go to www.FLAssessments.com/ePATs. The technology coordinator will need to download and install the software.www.FLAssessments.com/ePATs Students who require accommodated CBT forms (e.g., large print, color contrast, zoom, screen reader, assistive devices) must complete a practice test for the specific accommodated form or form combination that they will use during testing. 78 School Coordinator Before Testing Create Test Sessions Your district may have created test sessions automatically via the PreID upload. If your district created test sessions through the PreID upload, you will see these sessions when you log in to PearsonAccess. During Preid one “FL” session was created for your school. You can use this session to verify student data. Once you have verified your student data you should create “classroom” test sessions to be used for test day. Detailed instructions on how to create a test session and verify student information are on pages 128-130 of the CBT manual. 78

79 School Coordinator Before Testing Computer-Based Assessment Certification The Computer-Based Assessments Certification process must be completed and submitted as directed by the FDOE. The information is very similar to the “mock” certification tool completed in December. Schools are responsible for providing information about the number and types of computers to be used for computer- based testing and the number of students to be tested on each day of the administration window. Schools must also respond to questions about whether readiness activities have been completed. The DOE certification tool opened on February 18 th. 79

80 School Coordinator During Testing Supervise Test Administration Ensure the test sessions have been started in PearsonAccess. Provide test administrators with additional materials during testing, as necessary. Monitor each testing room to ensure that test administration and test security policies and procedures are followed. Be available during testing to answer questions from test administrators. Make sure that security logs, seating charts, and records of required administration information are being maintained in each testing room. In PearsonAccess, monitor session status and resume students’ tests, if necessary. Arrange for and supervise make-up administrations. 80

81 School Coordinator After Testing Verify that all distributed secure materials have been returned. Report any missing materials to your Student Assessment and Research and conduct the necessary investigation. In PearsonAccess, stop test sessions and invalidate student tests, if necessary. In PearsonAccess, record accommodations actually used by students. Organize materials and return them to Student Assessment and Research (refer to the Spring 2013 RMS Manual for return instructions). Store your handheld four-function calculators. Store Student Authorization Tickets until results are reported for this administration and then destroy them securely. File the FCAT/FCAT 2.0 CBT Administration and Security Agreements and the Test Administrator Prohibited Activities Agreements. 81

82 School Coordinator After Testing Copy the seating charts, required administration information (or session rosters), Chain of Custody forms, and Security Logs, file the copies, and return the originals in the District Assessment Coordinator ONLY boxes. Return used work folders and CBT Worksheets in the District Assessment Coordinator ONLY boxes. Reference sheets should be securely destroyed at the school. Reading Passage Booklets are secure documents and must be packaged with NOT TO BE SCORED materials using the yellow return labels. 82
