Workload Assignment Module Get up to speed

WAM Objectives Upon completion of this session, you will have: Understanding of how WAM interface works, and learn to use it with confidence. Knowledge of how to do the things you typically do prior to creating a WAM output file to EASIVi. Awareness of the new WAM enhancements

First Step Understanding the WAM Dashboard

Get up to speed Shifting to first gear —what’s WAM WAM is a CHCS subsystem that interfaces with the Expense Account System (EAS) and Standard Accounting and Reporting System/Field Level (STARS/FL) systems to provide a means for automated workload reporting. Benefits: Saves MTF time and labor. Provides more accurate workload data. Provides data to DOD in a more timely manner.

Get up to speed Shifting to first gear —what’s WAM WAM initialization process collects and processes CHCS system system-generated and manual data for 3 month period. WAM Information contains: WAM Core Table DMIS ID Table DoD MEPRS Code Table (3 rd Level) STARS/FL Master File May Prior Month June Reporting Month July Current Month

Get up to speed Shifting to second gear —Reviewing the WAM dashboard Edit Workload Functionality

Get up to speed Shifting to second gear —Reviewing the WAM dashboard Manage Workload Templates Functionality

Get up to speed Shifting to second gear —Reviewing the WAM dashboard System Definition Parameters Functionality

Get up to speed Shifting to second gear —Reviewing the WAM dashboard Create Monthly Workload ASCII File to EAS Functionality

Get up to speed Shifting to third gear —Reviewing the DWAM dashboard Data Set IDs Functionality Data Set Exclusion by DMIS ID Enter/Edit Data Set IDs Create Data Set IDs Create Status Data Set IDs Enter/Edit Data Set IDs Batch Inactive Requesting FCC Data Set IDs Inactive Unused Requesting FCC Data Set IDs Inquiry Data Set IDs Print Highlight: Identify all DSI specific to your MEPRS reporting facility. Provide the option to create Manual or inactive DSIs for Cost Pools and non- system generated DSI. Provide the option to batch inactive/reactivate Requesting FCC within one DSI.

Get up to speed Shifting to third gear —Reviewing the DWAM dashboard CAC/JON Functionality – Navy specific CAC/JON –MEPRS Compare CAC/JON Enter/Edit CAC/JON Inquiry CAC/JON Print Highlights: The CAC/JON contains all CAC/JON specific to each MEPRS reporting facility. Identify any mismatches between FCC code on CHCS and Master Data Element File

Get up to speed Shifting to third gear —Reviewing the DWAM dashboard Additional DWAM functionality Site Definable MEPRS Table Maintenance Edit MEPRS Replacement Table Highlights: The MEPRS Coordinator/Manager may inactivate or reactivate a FCC code based on the division. The MEPRS Replacement Table is used to designate a replacement MEPRS code for an inactive code for pharmacy refills and laboratory quality control specimen.

Next Step Get your bearings—what’s changed and why

Get up to speed Get your bearings—what’s changed and why WAM Radiology Enhancements:  Remote Radiologist  Circuit Rider Radiologist 1.New fields to identify both Remote and Circuit Rider Radiologist. Highlights:

Get up to speed WAM Radiology Enhancements Remote Radiologist: When a radiologist assigned to MTF-A logged into MTF-B (on another platform) to enter/verify reports. Now, the RAD module will capture workload and credited to the correct MTF when Radiologist read exams remotely on another platform. End Result: This will allow radiologists to:  Select one or multiple divisions for workload reporting [based on borrowed labor agreement (s)] on their home and external CHCS platform.  This remote workload at the reporting/crediting MTF will be collected during the WAM process at the same time the local workload is collected.

Get up to speed WAM Radiology Enhancements Circuit-Rider Radiologist: When a radiologist has a borrowed labor agreement to read/verify exams for another Group on the same platform as their Home Division. The Radiologist’s Provider Profile has expanded for the CHCS DBA can define a Radiologist as Circuit Rider Radiologist when appropriate (when there is a borrowed labor agreement in place and the radiologist is physically located at the MTF). End Result:  This will allow the Circuit-Rider radiologist to select from one, or multiple divisions for workload reporting based on their borrowed labor agreement.  Each time the Circuit-Rider radiologist accesses a CHCS RAD menu option, the prompt will verify the reporting division.

Get up to speed Get your bearings—what’s changed and why WAM Laboratory Enhancements:  MEPRS/CPT Screening  Lab Workload Reporting  Lab Workload Exception Report 1.Laboratory workload reporting will include credit for non-human specimens 2.Quality Control (QC) tests will not roll up into WAM 3.User-friendly Lab Workload Exception Reports Highlights:

Get up to speed WAM Laboratory Enhancements MEPRS/CPT Screening: CHCS will limited MEPRS codes that be entered for QC testing to DB** at the Division Non-Human Tests Count as Workload: Non-Human testing will counted and display on the LAB workload and reported to WAM. QC and Repeats Count will not be submitted to WAM: QC and Repeats is not included in the LAB MEPRS Reports and WAM data. User-Friendly Laboratory Workload Exception Report: End Result:  Prevent Lab personnel form selecting inappropriate FCC code and enhance on-screen user instruction of MEPRS/CPT screening in Laboratory module.  Collect workload for non-human testing.  Remove QC and repeat workload count from WAM  Laboratory Workload Exception Report has expanded exception descriptions message

Get up to speed Get your bearings—what’s changed and why WAM MEPRS Inactivate/Reactivate Option:  Inactive MEPRS  Reactive MEPRS  Discrepancy Report  MEPRS Realignment Utility 1.New menu option SMIA – MEPRS Inactive/Reactive in DWAM menu 2.Inactivate or Reactive a MEPRS code and Discrepancy Report 3.Secondary menu option MEPRS Realignment Utility Highlights:

Get up to speed WAM MEPRS Enhancements Menu Path: CA  DWAM  SMIA (Site-Definable MEPRS Inactivate/Reactivate) The primary focus:  (I)nactivate actions is used to inactivate one MEPRS/DMIS pair. If there are no inactivation issues, then CHCS will display the inactivation date prompt.  (R)eactivate action is used to reactivate a currently inactivated MEPRS/DMIS pair  (D)iscrepancy Report action is used to print the Inactivation Discrepancy Report. This report lists those active MEPRS codes that a user cannot inactivate due to associated hospital locations, providers, or assigned enrollees. End Result: Inactivate/Reactivate MEPRS/DMIS by division

Get up to speed WAM MEPRS Enhancements Menu Path: Secondary Menu  MREA  (MEPRS Realignment) The primary focus:  Replace/substitute a MEPRS code with another designated MEPRS for hospital location. End Result: The replacement MEPRS code must have the same DMIS ID as the original MEPR code. The default date is the beginning of the current month. You may enter a date as far back as the beginning of the fiscal year (i.e., 01 October) Appointments and workload after the realignment will utilize the new MEPRS/DMIS pair for the associated clinics. Any Provider that has defined that location as a Primary Location or Clinic ID will now have the new MEPRS/DMIS pair for that location

Get up to speed Get your bearings—what’s changed and why WAM Enhancements:  WAM ASCII File to EAS  WAM ASCII File to STARS/FL  Workload Initialization Prompt  Inpatient Cost Pool Code 1.WAM EAS Monthly Workload ASCII file re-transmittals can include one, multiple or all Data Set Identifiers (DSIs) (projected for EASIVi v 5.0). 2.WAM STARS/FL Monthly Workload ASCII file re-transmittals will include subsystems 3.New notification if ancillaries have exceptions 4.Expansion of inpatient DSI to the Group for all Requesting FCC Highlights:

Get up to speed WAM Enhancements WAM EAS Monthly Workload ASCII file: Generate and re-transmit one, multiple, or all DSIs STARS/FL Monthly Workload ASCII file: All subsystem will be re- transmittals Workload Initialization Prompt: New Prompt: There are outstanding ancillary workload for previous month Inpatient Cost Pool Data Set: The A*X DSI will be expanded to all sites to report at the group level End Result:  WAM EAS ASCII file is flexible for sites to re-transmit correct data  All subsystems will populated the initial/re-transmittal STARS/FL ASCII file  Reduce ancillary workload from prior month  A*XI DSI will reported Minutes of Service to EAS IV system

Get up to speed Conclusion: WAM streamlines the MTF workload reporting. WAM reduces manual entry WAM new enhancements will improve the quality of MEPRS reporting data within CHCS sub-system.
