3 3 NTC/TCS Training Dallas 2010 Disposal and Replacement  Repair costs up to $200 should result in an expected 3 more years of use.  If attempts to repair locally fail (or exceed $200), ship the AARP purchased laptop to the AARP Tax-Aide National Office. Replaced during tax season.  Laptop will be repaired or deemed un-repairable.  AARP Tax-Aide National Technology Mgr is the final decision authority for AARP Tax-Aide purchased equipment availability/replacement if equipment is deemed un-repairable.  If un-repairable, the laptop will be removed from local inventory.

4 4 NTC/TCS Training Dallas 2010 Disposal and Replacement continued  After April 15, items that are not repairable locally:  AARP-purchased laptops are returned to the National Office  Donated/Other equipment disposed of locally  At low or no cost to program  With state officials (IRS, TCS, SC) instruction and approval  http://reconnectpartnership.com/items.php - Reconnect accepts any brand of computer equipment in any condition. They also accept just about anything that can be connected to a computer. Mostly take to Goodwill locations. http://reconnectpartnership.com/items.php  Noted on inventory

6 6 NTC/TCS Training Dallas 2010 PRINTERS AND MONITORS  Always make sure toner cartridge is properly functioning and does not need to be replaced  GraceWorkz printer repair  Printers can be repaired locally, if not eligible for GraceWorkz Max repair cost is $50 (TMG) CRT Monitors should not be repaired locally and should be properly disposed of within guidelines of the local community

7 7 NTC/TCS Training Dallas 2010 S and R Code Reimbursements  “R” Code expenses:  Equipment maintenance services  Equipment repairs and upgrades  “S” Code expenses:  Components  Flash drives, routers, switches, cables, etc.  E-filing Supplies  Paper and printer cartridges NOT on the Consumables List

8 8 NTC/TCS Training Dallas 2010 S and R Code Reimbursements  Only leadership positions can be reimbursed for these expenses  EROs and Counselors are not eligible  Expendables - Paper and print cartridges that are NOT on the Consumables List require no special authorization

9 9 NTC/TCS Training Dallas 2010 S and R Code Reimbursements  All other S and R code expenses are called Non-Expendables  UNDER $25 per unit  No special approvals required  OVER $25 per unit  must be pre-approved in writing by TCS or the SC – attach email approval to expense report

13 13 NTC/TCS Training Dallas 2010 Consumables – the Basics  Certain Listed Consumables, specifically some print cartridges and projector bulbs, must be obtained directly from the AARP National vendor without out-of-pocket expense.  NO REIMBURSEMENT FOR LISTED ITEMS!  NY3 has two representatives that may order directly from the vendor. They are Kaye Curry and Barbara Kaiser.

14 14 NTC/TCS Training Dallas 2010 Consumables – New Items  Flash drives are no longer available on the Consumables List.  Printer repair/replacement is part of the new contract.

15 15 NTC/TCS Training Dallas 2010 Consumables - Schedule  Ordering process is closed from May until some time in October each year.  An updated Consumables List and instructions are sent out before the process is open.
