I-S UITE VERSIONS 10, 11, AND 12 C HANGES 2012 IIBM & Procurement Workshop Yakima, WA May 2-4, 2012

I-Suite Version 10 Released June 2010

Database Admin Updating Database from MSDE 2000 to SQL Server Express 2005. Backup events will be logged in an audit table. Number of failed login attempts is increased from three to five. Separation of Duties will be enforced. Privileged accounts can only have access to DBAdmin and the Data Admin modules. Other module access will require a separate account. Automated “Rules of Behavior” will be implemented. (Must accept electronic version of End User Agreement) Selecting cancel during a ROSS import will no longer cause data corruption.

Plans The following data elements are available for subordinate resources: Mob date, First Day Worked, Length of assignment, Demob Date, Other 1, Other 2, Other 3, Vehicle ID The Plans remarks field will expand to function like the Demob remarks field. Data from the Parent resource will correctly update Subordinate resource on Add or Edit. (Bug Fix) 209 Report will subtotal without the “Other” column included in the calculation.

Demob Picture ID field for Air Travel will not revert back to default name when resource is edited. (Bug Fix) Estimated Date of Arrival will flow to subordinate resource from parent record. Resources with a status of “D” will be included on the Actual Demob Report. Tentative Release Poster will now sort by Date and Time. Sort parameters are improved on the Mob/Demob report.

IAP Users will receive a notification when opening a form already in use by another user. The 204 template resource display options will apply when selecting resources with the line overhead radio button selected The message that identifies a resource as “already assigned for this operational period” will include the 204 where the resource is assigned. The Tree View will default to the top of the list when navigating between modules.

Time Entering a “9” digit SSN will be enforced. Posting an addition on the adjustment screen will no longer require the user to enter a negative sign. There will be a radial button indicating addition or subtraction. The City name in Admin Office for Payment will now allow an apostrophe. Refresh issue when deleting contract postings has been resolved. (Bug Fix) Tab order on the Contract Post Screen is functioning correctly. (Bug Fix) Crewmember default accounting code is working correctly when managing multiple incidents. (Bug Fix) Running reports in Manage As One will display and sort correctly. (Bug Fix) Additional sort options are available on the missing days report.

Cost Daily flag for State Crews will set correctly. Previously there was a bug that set generate costs to both the parent record and subordinates records. (Bug Fix) Graph totals display correctly when managing multiple incidents. (Bug Fix) Parent rollup will calculate correctly when posting to a non-default accounting code. (Bug Fix) Estimated Date of Arrival from the Demob module will flow to subordinate resource from parent record for better Cost estimating. Aircraft costs will no longer flow down to the next day’s record. (Bug Fix)

Injury Illness Incident default data now displays correctly when adding a resource Security is added to the Sub-Section drop-down list

Supply Update In 2009 the I-Suite Barcode Pilot Team successfully deployed barcode technology in the Supply Unit on three incidents in California In 2010 the Barcode Pilot Project will expand to support the following Geographic Areas Southwest Pacific Northwest Northern Rockies Rocky Mountain (limited pilot team support) California (limited to 2009 pilot teams)

Supply Update Cont. Both processes were run concurrently Manual Process Automated Process

Barcode Pilot Findings Successes Limitations/Considerations Value of Importable Packing List via ICBS-R Identifying and Validating Resources using the I-Suite database Improved Business Processes Waybills Ease of Use Reports Acceptance Power to Supply Unit Location of Supply Unit Environment Dust Rain Contingency Plans – Paper Process IMT Buy in Computer Support for Setup I-Suite Knowledge in Supply Unit Barcode Trip Report is Posted on I-Suite Web Page under Documents Library http://isuite.nwcg.gov

Supply Changes Several fixes and enhancements to the Supply module will be included in the 2010 release of I-Suite. The Supply module can be used successfully without barcode technology. The I-Suite team would like to encourage all teams to become familiar with the Supply Module and its benefits. Contact the I-Suite helpdesk for any assistance or questions.

2010 Change Board Process Meetings occurred virtually Phone calls Emails Spreadsheets 14 new items were reviewed 75+ carryover items were either closed or moved to e-ISuite Based priorities on e-ISuite timelines and projected I-Suite decommission date

Focused On Installation Support I-Suite on Windows 7 and Windows Server 2008 operating systems Performance Fine tune SQL 2005 express to improve performance Evaluate new file encryption tool Custom Reports Improve database views Correct the “show” checkbox function on report designer screen

DB Admin Financial Export Enforce one export per database per day Database Functions Provide users with a friendly message when attempting to do functions that require a database to be attached (i.e., you must first have a database attached before adding users) ROSS Import A 14 character incident number will import correctly After notification of a ’…Too long resource name’, the default name will remain for the user to edit vs. re- typing the name

Resources Other Qualifications Duplicate validation of an other qualification will occur on “Save Qual” event not “Save” resource event Ability to delete incorrectly added qualification Add/Edit Resources Ability to multi-select and perform a group status change to “Checked-in” (will perform similar to the group status change in Demob) After editing a subordinate resource, selecting the parent record in the grid will correctly display the parent record in edit mode Reports Removed the status “Unfilled” as a filter option “New” crew roster report

Demob Demob Resource Option available to demob all components of a Strike Team/Task Force components when the parent record is demobed (also available in Resources module) Reports Customize Check-out Form (ICS-221) without generating errors Reports will run correctly when using the system logic (not using the resources selected in grid checkbox option) Closing Demob reports will no longer cause the system to hang

IAP Default incident name can be edited on all IAP ICS forms Option available to set the default IAP view to Plan view Option available to allow “Filled” resources to display in dropdown lists Researching ability to auto fill ST/TF leader name on ICS-204

IAP Continued The form name/plan date and shift will be used as the default export name

Time Posting time Provide message if time posting is more than two days prior to check-in date Add/Edit If a Contractor is added to a resource, an agreement number will be required Reports Eliminate error that occurs after printing OF-288 for ST/TF components Allow faxing to a single resource that is part of a group that shares a common fax number

Cost Ability to identify resources to report actual Time postings only (no post no cost) Intermittent Resources Weekly – Monthly Resources Correct Projection Module calculations Update Rate Table Report label changes

Cost Continued Move Flow Down feature to Daily Cost record grid

Cost Continued Correctly identify Resource Sum Totals

Supply 2010 Pilot Year In 2010, the barcode pilot was expanded to the Southwest, Northern Rockies, Pacific Northwest, Rocky Mountain Geographic Areas Pilot was successfully deployed at three incidents: Rooster Rock, Scott Mountain and Harris Complex Two concurrent deployments 2011 Pilot year Barcode pilot will be available to all IMT’s in all Geographic Areas Six barcode kits are prepositioned at National Caches Work with Cache Managers and IMTs to Recruit Partners

Injury Illness No updates or changes in Version 11.0 Addressed concerns with Risk Management Committee in November Minimal use Not mandated No benefit to IMT Medical Unit Requires network connectivity and equipment Committee Findings Believes data has potential value and will pursue mandated use Will establish a representative to address and respond to issues/questions from the field More info to come in April

Patch 2011-1 Released 11/28/2011 Addressed several items found during the Supply Pilot Corrects two major Cost items discovered during Beta testing in Texas Several minor defects impacting the field were addressed

Cost Correct Rollup Issues Assign Date for Parent Resource will update from the subordinate correctly. Changes to subordinate record (check-in/assign date)will recalculate the rollup cost when appropriate.

Database Admin Added the ability to re-index database records to improve processes that may be timing out. Subordinate resources from a ROSS import will import correctly to a Parent record with a status of "P". Phone and Address information will combine correctly during the Merge process.

Resources Changing the actual release date for a parent record will no longer overwrite existing release date for subordinate resources. Demob City Name will no longer allow typing more data than the database field limit. Changing a person record to a non-person record will no longer leave an orphan record in the person's table. The sort criteria for Name and Request Number are now available in Plans Reports.

Time Corrected tab order on Persons Post screen to prevent another resource from inadvertently being selected. Persons Address field 1 and 2 will no longer allow typing more data than the database field limit.

Released April 30, 2012

Primary Focus Support Windows 7 Operating System Creating Safety Nets for Users Crew swap check-in dates Prompt user if check-in date is more than 5 days prior to system date. Release Date/Estimated Date of Arrival Prompt user if date is more than 5 days past the current system date

DB Admin Make necessary changes to allow I-Suite to run on Windows 7 without Administrative privileges Backups Allow Auto backups to occur without the DB Admin module being open. Auto backups will still occur when other DB Admin screens are open.

Cost Mileage posted as “0” from the Time module will update Cost records correctly. Add the ability to re-estimate a cost record (delete and recreate).

Data Admin New State Agency Group can be added and assigned to resources without errors. Lookup Tables, i.e. Kind Code Table Custom Reports Review and correct all date fields to insure they are identified as “Dates” not “Text”. Resources/Demob Closing Roster on edit, then selecting Parent will no longer displays the wrong resource. Require users to enter a status of Demobed or Reassigned when a Release Date or Estimated Date of Arrival is entered..

Time Resources imported from ROSS without a Kind Code will display in the TIME module. Mileage with a guarantee for equipment transportation will no longer include the equipment posting in the guarantee calculation. “Selecting all” in Crew Post will ignore “Filled” resources to allow users to post time for checked in/Pending resources. Adding Personnel Fax Report Summary that displays data base on the criteria in the Report selection screen. User can now select from a list of available printers for Time reports.

Supply Barcode Project Supply Barcoding has been piloted on 12 incidents 2009 Three Incidents 2010 Three Incidents 2011 Six Incidents 2011 opened up to all geographic areas Provided setup and training Returned for closeout What is the future of barcoding?
