1 Adding an Address To avoid adding duplicate addresses, Always use Find first. If you cannot find an address then add it. A warning should display if an address already exists. To add an address, follow the procedure below: Step 1. Click on the Address icon

2 Step 2 Step 2. Enter information in the fields of the Address tab. (Tab through the whole section typing information where needed.) Then Click Okay

3 Step 3 After the address has been accepted, it will appear in the Name and Address section.

4 Additional Information You can enter delivery directions for this address tab by clicking on the DIRECTIONS button in the Options box. Addresses may require these special directions (such as “third house on the left”) if the address is not easily found. Delivery directions will print on bundle tops if you are also keying a complaint, start, stop, move, etc…. If you are not keying another transaction for the next day, you must send a message to the carrier stating the new delivery instructions. Be sure to print this message to the Bundle Top & DM Report. In addition, delivery directions display during the dispatching process, but this does not mean you have to dispatch the message. The CLEANSE ADDRESS box should always be checked, PostalSoft’s Address Correction and Encoding software (ACE) would compare the address to postal directories and attempt to find a match. A window will open listing the address you originally entered and the official address or address range matched by ACE. This “working address” will typically contain additional information, such as the ZIP + 4 and PO number. –You should always accept the working address.

5 Continued Information You can also view complaints associated with the address and view the route linked to the address. Usually, when an address is added, a route is assigned to the address by the router. However, sometimes the router may not be able to assign a route, this would be a Does Not Route (DNR). When an address includes a box number on a rural or contract route, you can enter the box number in the UNIT fields; as an example, for Rural Route 2 Box 59A: enter “RR 2” in STREET NAME, “Box” in UNIT TYPE and “59A” in UNIT. Post office boxes, general delivery, county roads and/or state roads should be entered in STREET NAME; for example, for a Post Office Box 29 address, you would enter “PO Box 29” in STREET NAME and not in the UNIT fields. The United States and Canada are divided into census tracts for census- taking purposes. Each tract is divided into blocks. Each block may contain one or more households. Each household is given both a tract and block ID.

6 Example—Adding an Address Suppose a customer calls and wants to begin a subscription. You use FIND and enter the customer’s street address as the search criteria. If the customers address is not in the database (you use FIND again to make sure). The address will need to be added to the database. To add the new address, you click on the ADDRESS icon and enter the following information in the address fields: Customer (Nancy Jones) now lives in a house at 8324 Adams St. You enter this information in the HOUSE #, STREET NAME, TYPE, and UNIT NUMBER fields, respectively. –In ZIP, you will enter the 5 digit ZIP Code (91945) for the address. –In county you enter “San Diego”. This should default. –You enter the city name (Lemon Grove), the state (CA), and country (US). All should default from the ZIP CODE. –There is no dual address, building or complex. –Use the default for ROUTE ACCESSIBLE, MAIL ACCESSIBLE, SPECIAL ADDRESS, & CLEANSE ADDRESS. –PO ROUTE is left blank. ACE will supply this. –Because this ZIP is inside the newspaper market area, a Town of 25 defaults. You leave the default of “Lemon Grove”. If the address were outside the newspaper market area, you would use “OTHER” in the Town of 25. Other is used for all subscriptions outside of the market area. –Nancy Jones occupies a house, so in DWELLING TYPE you keep the default “HOUSE” and in DWELLING STATUS you keep the default (“OCCUPIED”). Leave the current date as the dwelling status date. After you enter this information, you click OK to enter the address into the database. ACE displays the address you entered and its cleansed version - you accept the cleansed (working) address. Now you can add the customers’ personal information by clicking the OCCUPANT button and adding the occupant.

7 Adding a Address Continued.. From time to time you will receive calls from customers who are not in the database (you cannot locate them using FIND). When this happens you must add the occupant to the address. See Table 3 for an explanation of each field.

12 Adding a Occupant Part 5 Click “OK” and the Occupants Name & Phone Number will be attached to the Address.

13 Modifying Occupant Information Click on the Occupant Tab –Then Click Modify in the Options Sub Window

14 Click on the Phone Tab –Click on Add in lower left corner. Adding Additional Phone Info Select the appropriate phone number type

15 Part 2 Tab from field to field entering appropriate information. When finished click “OK”.
