11 New Food Service Monthly State Claim Report Click on the PURPLE LINE under the Reporting button to get to the State Claim Report. The National School Lunch and Breakfast Programs – State Claim is now available in Skyward Web Access. This report can be used to complete the School Lunch, Breakfast and Special Milk Program Claim for Reimbursement Form provided by OSPI.

12 New Food Service Monthly State Claim Report Scroll down to find the National School Lunch and Breakfast Programs – State Claim Click on this Report. NOTE: If you do not have this option, contact your District Security Administrator for Skyward.

13 New Food Service Monthly State Claim Report On the Templates Screen Select Add. Enter a Template Description, be sure the Month and Year are correct and select SAVE. NOTE: If you are a Severe Need School, click the Severe Need Schools Button, check the applicable Schools and Save before printing.

14 New Food Service Monthly State Claim Report With your report highlighted, select PRINT. Each month, you will have to Edit the Report template and correct the Month and Year, then save again.

15 New Food Service Monthly Claim Report The report is two pages.  Page one is a breakdown of lunch & breakfast by lunch code.  Page two is a breakdown by K-3 F/P/R and 4-12 F/P/R. You will still have to verify the totals using the Monthly AccuClaim Report and the Monthly Participation Data Report. Please continue to keep the reports you currently are keeping for auditing purposes.

20 State Report Changes: Attendance Truancy Attendance Truancy Report has been updated to look at two new fields on the Discipline Offense record (report updates and new fields released in the August) Cause Number: The number assigned by the court to a Petition. Include in Petition Count: Select for initial Petition filing. Available only when Cause Number has been entered Cause Number + Include in Petition Count = 1 Petition

21 State Report Changes: Attendance Truancy Special Programs or Schools section of the Truancy Report Intended to report on programs that target truancy reduction. Summary counts include only qualifying students based on unexcused absences. Detail includes all students in the Student Special Program regardless of number of unexcused absences Special Program Code “TRU” for truancy reduction has been added to your table. Please code students on the WA/NCLB tab.

22 State Report Changes: OCR Reporting – Gifted & Talented WA/NCLB To be prepared for OCR reporting change the Gifted and Talented field to Yes for applicable students. Although, the data is not used for State Reporting, the Federal OCR Report uses this field. NOTE: Also continue to enter the HC Funding Source in Student Program on the WA/NCLB.

24 Change Password IN Web Access The change password option is no longer on the sign in screen, it has moved to the bottom of the Student Management screen.

25 Change Password IN Web Access For Teachers it is on the upper right. For Family Access and Student Access it is in the Account Info.

26 Web Data Mining - Mailing Labels If you are having problems getting the labels to line up when printing, check your settings in Adobe. Be sure the Page Scaling is set to ‘NONE’ and the Auto-Rotate and Center are unchecked.

28 Washington Transcript 2010-2011 School Year Changes OSPI Revised the WA State Standardized High School Transcript Developer/User Guide with Edition 3.0.1, made available May 12, 2010. Related OSPI bulletin 026-10, published May 17, 2010. Changes will be made to the following sections: Header Course Designation Codes Additional State Requirements State Seal All software changes, unless otherwise stated, were in WSIPC ‟ s September Standard Release.

29 Washington Transcript Header –SSID OSPI requirement: Remove dashes in SSID and replace them with spaces. Example: NNNN-NNN-NNN now NNNN NNN NNN Course Designation Codes OSPI requirement: Changed: “B = HECB” to “B = CADR/HECB Core” Added: “K = Cambridge Program” to Course Designation Key. Skyward made changes to Course Maintenance screen (Current & Future Scheduling), Student Class screens (Grades, Scheduling) and the list of valid codes that can be printed in the CrsDsgcolumn on the WA Transcript.

30 Washington Transcript Additional State Requirements OSPI Requirement: References to WASL have been removed and replaced with references to “the high school assessment”. A high school assessment can be either the WASL assessment or the High School Proficiency Exam (HSPE). Skyward created the ability for users to add and import HSPE Test Scores into a Test Name of THSPE. T= Transcript, HSPE= High School Proficiency Exam The THSPE is now available in Skyward.

31 Washington Transcript Additional State Requirements For student's whose graduating class is 2008-2012, or 2013 or later, the Reading Standard and Writing Standard line = MET will be printed if their level score is 3 or 4 for Test Score “TWASL” or “THSPE”. For student's whose graduating class is 2013 or later, the Mathematics Standard and the Science Standard = MET will be printed if their level score is 3 or 4 for Test Score “TWASL” or “THSPE”. The same logic will apply for Math and Science Standards that applies to the Reading and Writing Standards for Waived status and Educational Milestones.

32 Washington Transcript Additional State Requirements For student's whose graduating class is 2008-2012, the CAA line = EARNED will be printed if level score is 3 or 4 for “TWASL” or “THSPE” Reading, Writing and Math subjects. For student's whose graduating class is 2013 or later, the CAA line = EARNED will print if level score is 3 or 4 for “TWASL” or “THSPE” Reading, Writing, Math and Science subjects.

37 Academic History Report 2010-2011 School Year Changes All software changes were in the September Standard Release. Course Designation Code Same change as for WA Transcript. Graduating Class (now using Grad ReqBase Yr) Same changes as for the WA Transcript, but logic changes were applied to the Course Designation Code area only (since the Additional State Requirements section does not print on the Academic History Report).

It is extremely helpful and contains details about: 1. Student Enrollment and Graduation 2. Student Programs 3. Courses, Student Schedules and Grade History 4. Ethnicity and Race 5. Staff 6. Other Information

40 OSPI September CEDARS VTC Validation Enforcement From the OSPI September CEDARS VTC, validation for the following data elements. In the Grade History file (H01) School Year is the current school year. The term end date (H18) will be used to determine when the student took the class. State Course codes and Content Area codes will all be validated. Files L and M (Race and Ethnicity) will be validated starting October 15, 2010 State Course Codes 02052 Algebra, 02054 Algebra Part I, 02061 Integrated Math, 02071 Geometry, 02072 Formal Geometry and 02062 will be used to determine student who receive an End of Course Test. Students who graduate in 2013 or later won’t take the Math HSPE, they will be required to pass the End of Course Test. If current 10 th graders already took these math courses, they need to arrange to take the math test. If these courses are given in 7 th or 8 th grade, the students will be required to take the test in 7 th or 8 th grade. These course codes will also be listed in SIMON newsletter and on the OSPI EDS website. For more information please see the EDS website.

41 OSPI September VTC New Student Record Exchange From the OSPI September CEDARS VTC: OSPI is developing a new process to assist district to locate information when enrolling a new student. Information includes: Demographic Information Enrollment History Grade History Test Scores The process will include an electronic certification to access the students data. There will also be an email feature to notify the sending district. This is not Skyward, so please contact OSPI for more information.

42 OSPI September CEDARS VTC New Student Record Exchange In the September CEDARS VTC, OSPI referenced that WSIPC was requesting test score information for specific imports. We wanted to clarify that this information is for the WEDSS system, not the Skyward Test Scores templates.

Do both Match and Import in WEB ACCESS Or Do both Match and Import in CITRIX (launching Web from Citrix) Don’t mix or it is very hard to find the files.

49 Cedars Tips 1.Remember the Logical Delete Threshold stops all 13 files from being updated. It is all or nothing, even if you only have one file over the 2% threshold. 2.Remember you are not getting new data in CEDARS when you have a Status of ERROR. Matching students and/or Uploading and Matching students should be done after the Status has changed from ERROR. 3.It will take some time to process the Logical Delete after you choose ‘Yes’. Wait before Matching Students or reviewing the CEDARS errors. 4.Do not Match Students on Friday. Your ‘new’ file from Thursday night will overwrite the match. 5.Downloading SSIDs from Skyward is a two step process.

50 From OSPI Customer Support RE: Updated Enrollment and Program data is now posted on the Washington State Report Card Website The Washington State Report Card Website (http://reportcard.ospi.k12.wa.us) has been updated using CEDARS data available for your district as of June 15, 2010, unless you had contacted Customer Support directly and we had specifically arranged a different “as of date”. The Student Demographics that were updated include: May 2010 Student Count, Special Programs: Free or Reduced-Price Meals, Special Education, Transitional Bilingual, Migrant, Section 504 and Foster Care. http://reportcard.ospi.k12.wa.us The decision to reload this data was announced at the CEDARS Statewide Video Conference on September 9, 2010. 51 Announcement From WSIPC OSPI is currently working on various approaches in managing the CEDARS school year transition. Districts need to be able to correct the 2009-10 data in CEDARS. (Refer to OSPI document sent 9/2/2010 CEDARS School Year Requirements Document) OSPI has announced designing a process to submit a ‘partial’ file for the 2009-10 school year. OSPI is calling this a Delta Load. At this time WSIPC is in conversation. They are discussing concerns about the change in data since the 2009-10 school year, such as the students who withdrew, student schedules for last year no longer exist and others. At this time WSICP is in communication with OSPI and waiting for their final design to be clarified. WSIPC is working in conjunction with OSPI regarding the ‘Delta Load’ option. The Skyward design will be for File C – School Student File and File H – Student Grade History. These files were selected because they have the highest level of activity. The OPSI team is also working on a direct input process where districts can make changes through the CEDARS EDS process for one student or a range of students. The effort by OSPI is in development with a target implementation scheduled for the end of September.

53 Security Clone Utility DO NOT use the Clone Groups to Web Access Utility The menu paths have changed so the utility will remove security from these users.

54 Student Security Reminder In order to make sure that you are benefiting from all of the options in Skyward, please remind your Student Skyward Security Administrator to update the Student Security Groups after each month’s standard release. The security groups need to be updated for the following systems: Student Management System Admin Product Setup Web Student Management Each of the systems will contain *Student Full Access groups for each entity in your district, including entity 000 and entity 999. The full access groups are not updated automatically. When editing one of the security groups, the menu paths that are displayed in blue, are the areas for which that particular group has at least some access. Using the plus sign (+) next to the menu path, drill down as far as you can go (you can’t click the plus sign any more). Check the Assigned vs Available column to determine if security missing. (See next slide for Example). Until further notice, we recommend that the security continue to be maintained in Skyward Citrix.

55 Student Security Reminder Below is an example of a student full access group that has not been kept up to date. Notice that there are 37 available options under Federal-State Reports and this group only has access to 10. The result of not keeping the security groups up to date is that this student full access group appears (based on the name) to have full access to all student options, when it does not.

57 New User Security Boxes To Limit Security Maintenance Allow User to Setup Security Groups In These Systems options have been added so users can maintain security in specific areas of Skyward. If the user has PAC Student and Access to Maintain Security, they may assign Security Groups in their selected Systems.
