2 This settings are crucial to calculate attendance accurately. Every settings and rules will affect the outcome of time attendance as well as the reports. Ingress offers only one type of clocking schedule which is the Weekly Schedule as it is the most common schedule used around the world.

3 Attendance > Add Clocking Schedule Click Edit and configure your first weekly clocking schedule. Clocking Schedule can also be added by right clicking on the Clocking Schedule on the left panel > Add Clocking Schedule

4 Clocking time refers to the time you clock in and out from a device. Ingress software offers 6 attendance columns in pairs of 3. More about clocking pairs are explained below.

5 In-Out: Time when an employee clocks in for work (IN) and out after work (OUT). Any clocking time which exceeds the OUT time will be considered as overtime (OT). IN-OUT is a compulsory pair. Break-Resume: Break time such as lunch or dinner starts (BREAK) and ends (RESUME). You can choose to deduct the break time from the total working time or you can include this time into total working time. This pair is optional. OT-Done: This pair refers to the time that overtime (OT) starts and the time it finishes (DONE). It is recommended to use this pair if your company decides not to include dinner time into total OT time. Allow grace period in minutes: Grace period for any clocking in and out. For example, if the grace period for IN is set at 15 minutes, any clocking in after 9.15am will be considered as late-in. Flexible break time in minutes: Time in minutes the company allows the staffs to have flexible lunch time. If the staff exceeds the time allowed, the extra minutes will be deducted from the total work time. Exclude break time from working hour: If you want to deduct lunch time from the total worktime, tick the checkbox between OT and Done.

6 Minimum minutes must work to qualify for overtime: Define the minimum minutes required for an employee to work in order to qualify for an OT Claim. Maximum number of hours allowed to claim overtime: Put a limit to number of hours a staff could claim for overtime. Default is 24 hours. Early time for work before in time: Sometimes employees arrived early for overtime, you can allow them to log in the early hours as overtime by ticking the checkbox. Do not deduct any lunch time if the employee works half day only: If you do not want to deduct any lunch time from work time, leave the checkbox unticked. Work time recorded into OT and Done column considered as: You can either consider the time recorded in OT and Done columns as overtime or normal working hours.

7 Group Duty Roster refers to an annual working calendar for all groups of staff in your company. Ingress software provides the Weekly Duty Roster, a roster applicable to working hours that are based on a weekly basis. To Add a New Duty Roster: Attendance > Add Duty Roster

8 Click Edit to configure the duty roster. Click on Auto schedule. You can assign one or more clocking schedules to be applied for the group within a week or a month by selecting the schedule from the drop down menu. Define the date range to take effect. Click OK and then click Apply to save settings.

9 The Group Duty Roster is presented like a yearly calendar. This is how the Group Duty Roster looks like. The numbers indicates which schedule are used for each day. LEGENDS: Rest Holiday Day

10 Each user needs to be assigned into the group duty roster for attendance records/reports to be reflected by the Ingress software. At User Tab > Click Edit > Add > Select the users to be added > Click on the right arrow to add users > Ok > Save Once users have been assigned, the same roster is applicable to the user unless you change the user’s roster.

11 In event that there is one employee in the group using a different work schedule, you will need to assign the said employee to another clocking schedule. This can be done manually in his/her duty roster by using duty planner. At User Duty Planner on the Left panel > Double click on the employee you wished to assign different clocking schedule > Edit

12 Double click on the day you wish to make the changes. Choose the clocking schedule from the available list > OK > Save for changes to take effect.

13 In each company, there are a few type of off-days that employees are entitled to take. Types of leave varies from organization to organization. LEAVE TYPE Go to Leave type at left panel > Edit > Add Key in the Leave type and description > Save for changes to take effect. ADD A LEAVE TYPE

14 Click Edit > Tick on the specific check box > Update. Click save for changes to take effect. EDIT LEAVE TYPE Click Edit >Tick on the specific check box > Remove Click save to save the changes. ADD A LEAVE TYPE

15 A remark is a tag explaining employees clocking activities. It is in combination with the work codes used by a device. Clocking time will be displayed with the work code in Ingress and published in Attendance Sheet. REMARK Go to Remark on the left panel > Edit > Add > Save ADDING A REMARK Examples of Work Code:

16 Click Edit > Tick on the specific check box > Update. Click save for changes to take effect. EDIT REMARK Click Edit > Tick on the specific check box > Remove Click save to save the changes. REMOVE REMARK

17 Attendance Sheet will display the processed transaction data for the user’s viewing and editing before proceeding to the Report section. ATTENDANCE SHEET You can view the employees IN and Out activity in the attendance sheet to get an overall picture of the user’s attendance information. DATA VIEWING IN ATTENDANCE SHEET To Generate: Select the date range > Click Generate

18 User’s attendance can be edited for report purposes. For example; an employee left the office early for meeting elsewhere; you can edit the data so the employee will not be considered as Early Out. DATA EDITING IN ATTENDANCE SHEET Click Edit to start editing > Click once at the time slot and insert the desired time > Input a new value and click Apply > Save for the changes to take effect. All changes made will be displayed in bold font to indicate amendments has been done to the records.

19 You can insert the leave taken by the employee (under Leave taken column) or put a remark to his/her records (under Remark column). Click Edit > Go to Leave Type Column > Select leave type from the drop down menu > Click Save. Repeat the same steps for Remarks column (if necessary).

20 To Undo the changes, you will need to generate the attendance sheet and untick the “Keep User Changed Data” and the attendance sheet will restore back to the original data.

21 You must download the transaction data from terminals at Attendance Sheet page. Click Download > Select the devices > click OK to initiate the download process.

22 In an event that TCP/IP or RS485 connection is not available, you can download transaction logs from the device by using USB flash disk. Click Import Transaction Logs > Specify the drive of the USB > Click From USB > Define the date range > Select user ID > Click Download

23 Attendance data must be generated at the at attendance sheet if you have: Changed settings in the Clocking Schedule Changed settings in the Group Duty Roster Assigned users to the Group Duty Roster The reason for doing this is because the above settings will affect the time attendance format and calculations in the Ingress. To Generate the Attendance Sheet: Click Generate > Select the users by ticking the checkbox > Define the date range > Select the clocking schedule at the Schedule ID dropdown list > Click OK NOTE: In an event that you have previously edited the data manually and you wished to preserved it, please make sure you have tick the “Keep user changed data”.

24 Ingress allows attendance data to be exported to payroll software or HR system integration. You can export either details (day to day) or summary report from the attendance data into either.XLS or.TXT output file. It is required to set up export template before executing the export process. Multiple templates can be set to cater to different software's’ requirement. At the Attendance Sheet, click Export > Select type of data you wish to export > Click on the Details or Summary tab > Click Template Configuration.

25 To add a Detail template, click on Template Details and click Add Template. Likewise for Summary template. Click Edit to start editing the new template. Insert the template name. Select the Output Target File by clicking Browse. Ingress supports 4 types of format. Text Document (.txt) Excel file 1997 – 2003 (.xls) Excel file 2007 (.xlsx) Commo separated value (.csv) Once you have selected the location, insert a file name and click Save.

26 You can export the user’s attendance data into 3rd party software once the export template has been configured. Summary of attendance data can also be exported using the same steps as above. This is useful when payroll software requires a summary of attendance instead of a detailed one. Select the previously generated template at the Template drop down box > Select the concerned user data that you wish to export > Select the data range > Click Export.

27 This is the database where all transaction data is kept. Filtering of data can be done by user, date and time range, work code, check type and verify type to look for a particular clocking activity. No: Number of transactions Description: The door from where the transaction data is collected. UserID: User ID of the users that had been verified successfully at the terminal. Name: Full name of the users that was verified at the terminal. Clocking: Date and time of the clocking activity at the terminal. Check Type: The type of clocking activity downloaded into the software. Verify Code: The type of verification method used during verification. Work Code: The work code is a predefined code inserted during verification at the terminal.

28 Search: To search for the data after you have selected the data fi Purge: To delete the transaction data in the Ingress software. Export: To export the raw transaction data to.txt file for 3rd party software to access the data.

29 You might need to delete the data in the Audit List in some cases. However, it is strongly recommended that you do not delete any contents in the Data Audit List as there is no way to retrieve the transaction data once it is deleted unless you have a backup database. To delete the data, click ‘Purge’. Select the users and define the data range > Click OK to start the process.

30 Raw transaction data can be exported into.txt file and imported into any 3rd party software for further analysis. The data field can be rearrange and the length of the field can be edited of the to suit the 3rd party software’s requirement. To export data: Select the specific user data that you wish to export > Select the required field for data export > Browse to assign Output target file location > Save to proceed. Select the date range of the data that you wish to export > OK.
