5 Process Enhanced - Signatory Things to note:- Signatory will only be able to view their own ‘work queue’ in NI Direct Lead Signatories can view all queues for RB Cases are removed from Signatory’s work queue once submitted to AccessNI Automatic log out after 15 minutes of inactivity Pages are saved each time ‘Next’ is selected

14 Case Tracking - Signatory Things to note:- CSV file contains details of cases displayed on the Signatories Case Tracking screen Cases will remain on Case Tracking queue for 90 days after the date the certificate was issued AccessNI Helpline not available to track cases If ‘Certificate Issued (N)’ displayed on status within the Case Tracking screen, then no criminal history information has been disclosed on certificate If there is no ‘N’ then information has been disclosed and you will need to request sight of the certificate

19 Add Countersignatory Process will only be available on-line from 1 April, using the NI Direct website Guidance on this process will be available on the website Click on appropriate web links Select the link Add Countersignatory to a Registered Body Create Account as citizen Lead Signatory PIN required Fields / process is as per Application process

20 Add Countersignatory (cont’d) Application forwarded to Lead Signatory for approval Application forwarded to AccessNI for completion No certificate issued Case Tracking facility available Once complete, confirmation details of Signatory number and PIN issued by email – copied to Lead Signatory CS needs to create the Signatory Account on NI Direct. Email (above) incorporates web links and instructions Once confirmed, Signatory can approve and submit applications

22 Account Management Accessed from the RB Homepage Menu option ‘Edit Personal Details’ - signatories can change a range of personal information on their account Menu Option ‘Manage AccessNI Account’ – signatories can change details about the RB, including:- RB Name RB Address RB phone number RB website details RB Account changes will be forwarded to Lead Signatory for approval – AccessNI also notified by email

25 Points to Note New and unique PIN for each Signatory Signatory system access from 13 March – will commence with an email to the Lead Signatory in each RB Signatories may require separate accounts on NI Direct  1 for Signatory role  1 for citizen role (if you need to get a disclosure) Check e-mail addresses are correct Enhanced role of Lead Signatory Reduced Helpline from 1 April – use on-line services

26 Next Steps AccessNI currently verifying Lead Signatory Accounts 13 March : email to all Lead Signatories Accounts available in live environment for verification Lead Signatories will invite Countersignatories to check their details and e-mail addresses are correct Enhanced role of Lead Signatory Full go-live 1 April 2015
