33 Project Management Paradigm
Expected Resource Level with EtQ Implementation Process Actual or Unplanned Resource Level Avoid Post Release Problems Traditional Resource Level Time Resource Level So how do we ensure Successful Project Results? We invest time early in the project to gather your customer requirements. We will define the scope of this implementation to ensure all necessary stakeholder are involved and to identify which points in the process each stakeholder’s involvement is needed, so that everyone’s resources are used as efficiently as possible. Taking the proper amount of time up front will eliminate any post release issues. These types of issues typically require additional or prolonged use of resources. We need to deliver a successful solution on time and within budget. So, How does our model align with optimizing the project management process? 33

34 EtQ Design Model Understand the Business Need Business Case
SIPOC Analysis Detailed Process Mapping and Output Success Criteria Translate Business Need into Software Design Detailed Design Specifications Approval of Specifications prior to Configuration First we invest the time early in the project to understand the Business Need to be addressed by the software: Business Case - We begin by developing a solid business case for each module deployment. This is really WHY the business has elected to engage in this project. This statement is the driving “Mission” for the project. All requirements and processes should relate back to this or be evaluated as needs, wants or desires, that are not in the scope of this project. SIPOC Analysis – This tool allows us to define the key stakeholders of the business process to ensure all of the correct parties are involved in the definition of requirements Output Success Criteria – This is the criteria used to measure if the expected outputs have been achieved. Detailed Process Mapping – As a result of the SIPOC, we will identify all of the necessary process inputs and outputs. Detailed Process mapping enables us to see the process for turning inputs into the desired outputs. Detailed Design Specification - The first 3 exercises give us the business information needed to create complete design specifications for software configuration which will ensure that the software design completely addresses all needs of the business process. Approval of Requirements – EtQ requires approval of the requirements prior to the start of configuration. This approval clearly establishes the scope of configuration. Changes the requirements post approval would go through a change request process where impact of the change on the project scope and timeline can be assessed and approved/rejected by project sponsors. EtQ’s Goal: To deliver a successful solution on time and within budget.

35 Project Roles and Responsibilities
EtQ Roles: EtQ Executive Sponsor: Member of the EtQ Executive team. Provides executive-level support to the project, if needed. EtQ Professional Services Manager: Manages all EtQ IC, Technical IC and PSA resources. Responsible for assigning and scheduling those resources. EtQ IC (Implementation Consultant): System analyst assigned to the project. Responsible for translating business requirements into system configurations. Coordinates project activities with other EtQ resources. EtQ Technical IC: System configurator assigned to the project. Responsible for training the customer and implementing the configurations. EtQ Validation IC: Implementation Consultant involved in training and execution of validation services. EtQ PSA (Professional Services Assistant): Project coordinator assigned to the project. Responsible for tracking scheduled activities and project milestones. EtQ Installer: Responsible for installing the hosted and onsite copies of the system. EtQ Development: Responsible for developing custom functionality for the system. EtQ TS (Technical Support): Responsible for providing online technical support for the system. As with any project management initiative, it is critical to identify the roles involved with the project. This helps to define those involved and assign responsibilities to those roles. It also allows the customer to feel comfortable with who will be involved in their project. This slide highlights the various roles within EtQ that will be involved in the project on some level. 35

36 Project Roles and Responsibilities
Customer Roles: Project Sponsor: Customer representative ultimately responsible for the success of the system. Approves significant changes to the project scope. Project Manager: Customer representative responsible for managing the project on the customer's side. Reliance Administrator: Customer representative responsible for leading the implementation of the new system. Performs most of the administration and configurations, in collaboration with the Process Owners. Process Owner: Customer representative responsible for the implementation of a specific module. Provides business requirements and may perform administration and configurations as well. System Administrator: Customer representative responsible for providing IT support to the project. Requires access to the infrastructure hardware and software on which the system is running. Validation Team: Customer representatives responsible for system validation. Technical Team: Customer representatives responsible for supporting advanced configurations, migration or integration. End Users: Responsible for testing the configured system for use in production. In Addition to EtQ’s roles, it is important to understand the roles involved on the customer side. This is both for EtQ’s benefit, and more importantly, for the benefit of the customer. Successful project rely on the strength of the team, and the ability to assign people to roles within the project creates a framework for implementing a successful project. 36

37 SIPOC Overview EtQ uses a valuable tool called the SIPOC diagram to help define the processes. A SIPOC diagram is a tool used by a team to identify all relevant elements of a process improvement project before work begins. It helps define a complex project that may not be well scoped, and is similar and related to other well-known Process Mapping and In/Out of Scope tools, but provides additional detail. The tool name prompts the team to consider the Suppliers (the 'S' in SIPOC) of your process, the Inputs (the 'I') to the process, the Process (the 'P') your team is improving, the Outputs (the 'O') of the process, and the Customers (the 'C') that receive the process outputs. In some cases, Requirements of the Customers can be appended to the end of the SIPOC for further detail. The SIPOC tool is particularly useful when it is not clear: Who supplies Inputs to the process? What specifications are placed on the Inputs? Who are the true Customers of the process? What are the Requirements of the customers? 37

39 Process Mapping As EtQ maps the processes overall, we are going to take each step in the process and create a detailed process map in order to gather your requirements. Detailed Process mapping enables EtQ to see the process for turning inputs into the desired outputs. The flowchart illustrated here is an example of a process map generated as a result of a SIPOC 39

40 Word Form Mock-up The first three steps in EtQ’s Implementation planning and design provide the critical business information needed to create complete design specifications for software configuration which will ensure that the software design completely addresses all needs of the business process. EtQ’s Design Specification includes documentation such as MS Word and Visio mock-ups of the forms and workflows to be built in Reliance to allow the stakeholders to more easily understand how the requirements will appear in the screens within the system. This provides a simple and useful foundation for collaborating on the design of the customer’s requirements. The mock-ups are then translated into much more detailed Excel tabular design specifications with numbered requirements which can be linked to the customer’s traceability matrix for validation.

43 Project Plan Overview The EtQ Implementation Process goal is to Take requirements and produce results. During the planning and design of the implementation project, expectations are set, requirements are clearly defined, and the processes are mapped and detailed. Once this is complete, the process of implementing the solution can begin. EtQ’s Implementation process is designed to leverage those requirements and configure the solution to get the customer’s project completed on time and on budget. The result is a clearly defined and configured solution that meets expectations and provides the highest Return on Investment possible. The next few slides highlight the various phases of EtQ’ Implementation process. We have Planning and Design; Configuration, transfer and testing; then optionally Validation, and finally Go Live…let’s look a little deeper. 43
