6 Why to start the project
Need to have integrated system Existing system doesn't support current business operation. Need to have a computerized system / a tool for Financial and Accounting and other supporting tools to assure company data consistency, integrity, correctness, real time & transparence to enable faster and better decision making Concern of future business growing

7 Project Goals To have Integrated Enterprise Resource Planning (IERP) system which include application modules to support our business process. To improve the efficiency and co-ordination among business units. To provide management with up-to-date information for better decision making To Improve on the internal control of the company To enhanced computerization of daily work from 40% up to 90% Improved automation and limit the manual data entry Input source data from the H/W devices (weighting scale, fingerprint…) automatically import for all of process and reports Provide reports at each unit of the business process timely To enable closing of monthly financial accounts on timely manner.

Survey and Diagnosis Purpose: Data System Consultants Get Actual Business Model & Data Process Flow Participants: All Project Team Documents Required: Current Business Process Flow Chart All Currently Used Documents, Forms, Receipts, etc. Currently Used Statistical & Management Reports Deliverables: Report of Initial Survey Results Initial Variance Analysis Report Some Parts of Modules Will Require Assistance from e-Learning Staff for Set Up (in Coordination with PM) IFRS In this step the conslutant will interview every KM KM can share their status. They can point out the Dilemma they encounter Conslutant Files the report the KM will check and reply wether the report is correct Additionally, Send preliminary analysis report. This report will list which programs need to be modified. KM will double check the report These are what we have to do in this step. 25

26 4. Application Training Purpose: Rapid Training Through e-Learning
Consultant Introduces TIPTOP SOPs & Functions Focus on Specific Processes as Needed Provided: Mapping of Standard Business Processes User Handbooks for Every Module e-Learning Online Training Material (According to Module & Modifications Needed) Deliverables: Gap Analysis Report Participant Training Test Results Statistics on Participant Online e-Learning Progress The step we suggest KM KU to do e-Learning Online Training. It will give you the basic knowledge of the system before the Consultant give the lesson In our experernce, the more you achieve the online training, the more cost you can save PM Arrange the learning schdule website Statistics on Participant Online e-Learning Progress to minitor their Learning 26

27 5. Operation Training Purpose:
System Planner Gets Clear Understanding How System Actually Works System Discrepancies in Detail Participants: Project Team and KUs Provided: Mapping of Standard Business Processes User Handbooks for Every Module Deliverables: Gap Analysis Report Participant Training Test Results The step KM KU must ioin the training given by con Participant Training Test Results The Results point out who need to be trained again. PM have to supervise their learning progress. no matter what It would be better to review the lesson by yourself. 27

28 6. SOP Modeling Purpose: Establish the New SOPs for the Company
Participants: Project Team, Key Users or Designated Leader for Each Module Provided: SOPs Internal ISO/Key Audit Points Deliverables SOP Flow Chart for Each Module Process Owner Sign Off on Completed Modules First con provide the standard SOP and discuss it with the KMs After the discussion we will decide the computerize process and check point within process And then KU have to draw the SOP and note remark in process After finishing the document , the heads of related Department will verify and sign the document signed 28

Purpose: Process & System Differences Review with Solutions Development Participants: Project Team Consultant Preparation: Internal Discussions Conducted about Process Differences of New System Consultants Formulate Reports & Variance Analyses to Adjust Project Direction Deliverables: Specifications Confirmation Gap Analysis Report After the SOP Modeling Con well make sure the final busniess management procedure And he offer the Gap Analysis Report Analysis Report tells the diffrernce between your procedure and our TT system At the same time theReport will give suggestion about Customization or modification of procedure If its not necessary, modification of procedure will be our suggestion Bec Customization needs extre time and expense. 29

Purpose: Preparation of Old System Data Files Data Entry of Basic Info into New System Required: Data Migration & Archiving Recommendations Table Method of Execution: Makes Schedule According to Archiving Table to be Done After Training Review Progress of Implementation There are three things necessary to support system. One is the practical sop as we mentioned Another one is the correct and complete Basic Data In our experience it takes long time to build the Basic Data and cherk the correctness Therefore we will give you reasonable schedule The MIS have to complete this step acccording to schedule PM have to minitor the progress Of couse Con team will assist PM. Basic Data Preparation is critical element in using the system Ple make sure this step will be completed on time 31
