5 Organsiational Process of an EWC Course – the ideal case company reps & management BD/MV MG/CB trainers request for training preparation of course and materials approval of proposal translation of materials find venue prepare contracts inform / involve ETUF, coordinator, TU price and programme proposal find trainers, perhaps experts report back to ETUI delivery of the training send materials preparation of folders payments and billing company pays the bill report back to ETUF, coordinator, MO file closed day Y Y -4 weeks Y -4 working days day X Y +1 month Y +1 week X +2 weeks Y -6 weeks mandatory optional Y -10 days when? 7 Some Details to be discussed, checked role of ETUF / coordinator history of the EWC current situation last training? objective of the training make recommendations re the programme compose a programme of different training modules according to the needs and framework conditions criteria topic language availability price compose an ideal training team: from different countries, backgrounds, gender, age & complementary skills and topics; different characters must be a good working team discuss & propose programme, methods, materials (& changes) give background information price and programme proposal inform / involve ETUF, coordinator, TU find trainers, perhaps experts report back to ETUF, coordinator, MO COORDINATION Education Officer

8 Some Details receive the programme and other information agree on dates for preparation, draft a training road map inform the office if reservation of accomodation or tickets differs from usual procedure prepare the course in detail inform the office of their training materials and translation needs if possible avoid translation costs and work contact experts are responsible for the coherence of a course in particular if experts / other speakers are involved send back signature lists and evaluation sheets short report: incidents? results / steps agreed criticism & praise Y -6 weeks preparation of course and materials immediately report back to ETUI Trainers

9 Some Details if full service find and propose venues to the client contracts with company trainers experts if so: venue, interpreters, technicians and participant lists for signature collects information from client gets clear information which materials will be used gets list of participants and languages, countries takes care for translation of docs if necessary prepares folders for each participant sends training materials to the venue prepares name plates, labels PDFs of documents (if necessary for interpreters or participants) translation of materials find venue prepare contracts send materials preparation of folders payments and billing + MONITOR the whole orga process contact to client contact to trainers re materials contact to trainers re fees, costs Administrative Staff
