1 Welcome to the City of Virginia Beach Online Employment System Applicant Tutorial

2 Section 1: Getting Started After reviewing this tutorial, you will be able to use the system to: 1)Learn about opportunities at City of Virginia Beach 2)Complete an application for employment 3)Apply for specific position(s) 4)Attach a resume or other document to your application for each position 5)Log in to the site to view your status for each position to which you have applied

3 Items To Gather Before Beginning Your Application: 1.Your complete education, reference, and employment information 2.An electronic (either Microsoft Word or PDF) copy of any document (such as a resume) you wish to attach to your application. Helpful Hints: 1.Using the back button while completing your profile will cause you to lose all your information. If you receive an error message, simply scroll down to correct the error. DO NOT USE THE BACK BUTTON. After entering information in a field, use the TAB button to move to the next field. Do NOT use the ENTER/Return key to move to the next field, as error messages will occur, advising you that your application is incomplete. 2.To protect the security of your data, the system will log you out if it detects no activity for 2 hours. Please do not leave your computer for more than 2 hours while completing your application for employment. 3.Please note that older versions of Internet Explorer are not compatible with this application and may result in difficulties. Please use an updated browser like the current version of Internet Explorer, Google Chrome, Safari, etc.

4 Q) Where do I begin? A) To begin the application process, please select an email address and password that you will easily remember. You should write down your email address and password, as you will need it to apply for other positions or check the status of your application the next time you visit the site. Q) What information will I be asked to provide? A) You will be asked to provide personal information such as name, address, phone number, etc. You will also be asked to provide information about your education and previous employment, as well as contact information regarding your employment history and references. Please gather this information before beginning the application. Q) What if I want to submit a resume, cover letter, or other document? A) You will be able to submit a unique resume, cover letter or other document each time you apply for a position, if you choose. You may attach a different resume for each position you apply for. Simply go to the Resume Attachment section and click “Add Resume & Attachments” to browse and select the document you want to attach. Frequently Asked Questions

5 STEP 1 – Creating Your Account/Application Click the “click here” link to fill out a general application profile.

6 ORGANIZATIONAL VALUES OF THE CITY OF VIRGINIA BEACH Please read the Organizational Values before starting completing profile. If you can live by these values, a position with the City of Virginia Beach may be a good match for you. Now, You’re Ready To Begin The Tutorial!

7 Creating Your application Application Shortcuts Click the “upload resume” link to have the system automatically place the information into the appropriate information fields. This will also attach the resume to your application. Click the “LinkedIn Profile” link to allow the system to automatically place the information Next click “choose file” link browse for your resume. Once selected click “Attach.” Enter your LinkedIn email and password and click allow access.

9 Questions with asterisks next to them are required questions and must be answered to submit the application. Creating Your Application The next section is Personal Information, where you enter your name, address, and other similar information.

10 Additional Information Section At minimum, you will have to complete the asterisked items to continue, but please enter as much information as possible.

11 Education History Information and History Section Please indicate highest education level completed by using the drop down box provided. Click “+ Add Another Education” to add additional education Click “-Remove Previous Education” to remove education row Include Vocational School, College, and Graduate School if applicable.

12 In this section, you will list any related license/certification information. Creating Your Application – Licenses/Certifications To add another license and/or certification, click “+ Add Another Certificate/License.

13 Driver’s License Information Please indicate whether you have a driver’s license by using the drop down box to select “yes” or “no.” If yes, please complete the other questions on this section.

14 In this section, you will list you work experience. Creating Your Application – Employment History Section To add another position, click “+Add Another Work History” and a new entry box will appear. To remove a position, click “- Remove Previous Work History” and the entry box will disappear.

15 Volunteer History Section In this section, you will list any volunteer experience you would like to add. To add another position, click “+Add Another Volunteer History” and a new entry box will appear. To remove a position, click “- Remove Previous Volunteer History” and the entry box will disappear.

16 Computer Skills This section allows you to list the computer skills you possess.

17 How did you hear about us? Please let us know how you heard about us by selecting an option from the drop down box. Use the “Other (Specify Source),” if you select “None” in the Source drop down. If you select “City of Virginia Beach Employee” please list the person that referred you in the “Referred By” box.

18 Resume Attachment To add resume, click “Choose File.” Locate the your resume document that you have saved on your hard drive or flash drive and double left click to add. To add a cover letter, you can either copy and paste in this space or type the letter in this field. You can also use this link to add your resume and other documents. See next slide. Some positions will require that you attach a resume, cover letter, and/or other document. In order to attach a document, you will need to have saved it in an electronic format such as a Word document or a PDF file.

19 Double left click on your mouse to choose file. Resume Attachment (Cont.) A pop-up screen will open and you can search for your resume or attach other documents. Enter description of document attached.

20 Click “Submit” button to save the application. If all asterisked items are not completed, you will receive an error message/s. You must complete these items in order for your application to be saved. Save Application

21 If you’ve forgotten to complete any “required fields,” you will get an error message at the top of the page. The “required fields” that you need to complete will be indicated in red. Once completed, scroll down and click the “Submit” button. Error Messages

22 Now that you have completed your application, it’s time to begin applying for position(s). Section 2: Applying for a Position Step-by-step instructions on how to apply for positions

23 Applying for a Position You begin the process by searching for a posting. Click “SEARCH” to bring up a list of all currently posted positions. To filter according to interest, fill out these fields. Only postings that met your selection/s will appear once searched is clicked.

24 Click on the title of the position in which you would like to apply to see details on the posting. Applying for a Position (Cont.) Once the title is clicked, you will be rerouted to a page with information on the position.

25 If you are a new applicant, once you’re ready to apply for the position, click “Apply for this position.” Applying for a Position (Cont.) Once account is created, you will be able to apply for positions by entering email and password and then clicking “Add to My Jobs.” This feature allows you to email a job posting to a friend. Simply, click “Send to a Friend” and the system will give you the option of changing the email subject line and comments prior to the email being sent. Once you are ready to send it, click “Send.” your email software will be opened automatically and you can forward the posting information from your personal email.

26 Answering Supplemental Questions Answer any supplemental questions here. Note: not every position will have supplemental questions.

27 Agreement Please read the agreement before proceeding.

28 Candidate Sign Off You will electronically “sign” your application by entering your name in this box. The system is actually looking for the format MM/DD/YYYY. For ease of use, please use the calendar icon to select the current date.

29 Voluntary Equal Opportunity Questionnaire The information in this section is voluntary, but is greatly appreciated – your information will remain anonymous and is used to comply with government regulations and reporting purposes only. The information you enter on this screen will have absolutely no bearing on any employment-related decision.

30 Print Application If you would like to print a copy of your application, you must do so before submitting your application. Click submit to apply to the position.

31 Applying for a Position CONGRATULATIONS! This page is confirmation that you’ve just applied for a position! You will also receive a confirmation email.

32 From this screen you can select any of these options. Managing Your Positions

33 You can view the status of all applications by clicking the “View Status” link any time you login. Managing Your Positions (cont.) If you are no longer interested in the position, click “Remove me” to take yourself out of consideration for the position.

34 Managing Your Positions (cont.) To apply for additional positions, click Search Openings and follow the exact same process as before. You will NOT have to reenter your entire application information. You will only need to answer any questions associated with that position, and/or attach another document (resume, cover letter, etc.).

38 Whenever you return to the Online Employment System, just login using your Email and Password. If you forget your PASSWORD, click here. You will be asked to enter your email associated with your account. If you forget your USER NAME or need additional assistance, please contact the Employment Office.
