4 Pack Committee Basics Pack Committee Chair –Oversees all administrative and support functions of Pack program –Leads Pack Committee Meetings –Recruits new leaders to fill vacancies with Charter Org Rep approval –Helps to develop and approve annual Pack program and budget –Approves expenditures –Supports the Cubmaster and Den leaders –Supports unit rechartering 4

5 Pack Committee Basics Secretary –Records meeting minutes and distributes agendas for all Committee meetings. –Assists Chair with administrative duties –Helps process applications –Assists with pack communication: e-mails, letters of thanks, etc –Distributes pack calendar and provides event reminders –May keep inventory of Pack equipment if there is no Quartermaster 5

6 Pack Committee Basics Treasurer –Keeps track of pack finances: income, expenditures –Helps to establish annual pack budget –Works with Committee on coordinating fundraisers –Provides monthly report at Committee meetings –Collect dues and works with Membership Coordinator on renewals and Boy’s Life subscription tracking –Provides reimbursement of expenses and Petty Cash as needed 6

11 Pack Program Planning Don’t let your unit fall into confusion! Committee Meeting tips: –Keep meetings brief –Be well-organized –Try not to get off track –Meet regularly, at least once per month –Use an agenda format that works! (See Dashboard example) 11

12 Pack Program Planning Pack Program and Calendar – What FUN are you going to have this year? How often will you meet? Consider: –School District calendars –Holidays –Council and District events, fundraisers, and service projects –Boy Scout events 12

13 Pack Program Planning Plan Ahead for events and activities – Communicate volunteer needs to your Pack early Remember to reserve event spaces and entertainment 13

14 Pack Program Planning Pack Budget – How will you fund your FUN? Define your costs: –Rechartering –Events and outings –Den allowances –Gear purchases –Pack ‘swag’ 14

15 Pack Program Planning Pack Budget – Define your income: –Dues –Fundraisers and donations Fundraiser rules and limitations –Council approved/endorsed fundraisers –All other fundraisers must be approved by Council (see handout) –Units cannot accept direct monetary donations 15
