Production URL: Organization ID: MNDOC Username Password Security Release Changing your password Org ID = always going to be MN DOC Best to save/bookmark the URL once you’ve signed in 1 time; as it will save the Org ID in the URL. Once you save the Organization ID that field will disappear and you will not have to enter it again. Talk about Username & Password rules. Talk about White Listing restrictions. Once they have logged in once – they can change the password by clicking on their name (upper right corner) and choosing Account. Once inside the Account section, click on Account Details (at the top) and they can change their Password. The password rules are also displayed on this screen.

To return to the Dashboard – click on the ImageTrend Elite logo in the upper left corner.

Creating a NEW Incident Inmate on Inmate Staff on Inmate Entering an EXISTING Incident Dashboard Widget Incident List page **MUST start the New Incident with the proper form. You CANNOT change the form type after you have started it. You will need to start over. Dashboard Widget or Incident list page – double click anywhere on the line OR single click on the arrow to enter the incident.

Inside an Incident: Section Panel Red vs. Blue colors Validation Score Panel:  All fields for data entry appear in the panels. When selected, panels open in the center of the screen. The selected panel has bold text. In the data entry section, the panel name appears at the top.  Section:  Sections are headers containing panels. Selecting a section expands it to view the panels. Additional sections may appear below the last visible section. Scroll down to see all sections. Upon beginning an incident form, the first section and first panel are visible. The selected section has bold text.  Red vs. Blue: Red Section = something is required for the validation score / Blue Section = nothing required or everything is filled in to satisfy validation score

Date fields “Now” button Power tools Time fields Clicking the clock icon = “now” for date/time Clicking into the field brings up the “Power tool” (mostly for tablet users) Clicking into the field also allows the user to free-type

Multi-Select drop down (green arrow) Single-Select drop down (blue arrow) Required fields (red arrows) Single Select = only select 1 option. You must delete (use X) the selected option in order to select another option. Multi-select = you can select 1 or many. Note, this drop down does not automatically disappear after you choose 1 option. That is because it assumes you may want to choose more than one. Click off of the list for it to disappear. Required fields = required for Validation score. NOT required for incident to save.

Start with Inmate-on-Inmate form Must be at the Minnesota level Choose Incident -> Inmate-on-Inmate Incident: Details panel Location panel Synopsis panel Submit & Lock button – as you are ready Some fields & options are different between the Inmate-on-Inmate vs. the Staff-on-Inmate form. We will start with the Inmate form and come back to the Staff form and point out the differences. I always start at the top of the form. I work top to bottom, left to right. Then I get in the habit of filling in as much information as I can. Details: Unknown Incident Date – defaults to No. If you choose Yes, the field options change. Location: Single-select & Multi-select examples Archibus Lookup button Synopsis: Free-type field. Built-in browser spell check. **Note: This is different than the OSI system.** Sexual Violence – “hover help” i icon (right side)

Victim Entry: Victim Lookup – COMS integration Search Type **Validated fields Perpetrator Entry: Perpetrator Type – defaulted to Offender due to form chosen Perpetrator Lookup – COMS integration **Custody Status Multiple Perpetrators? Submit & Lock? COMS integration – search multiple ways. Pay attention to the Validated fields (ones with red exclamation points). Those are most important. Some are not filled in by COMS. Could be missing data. Perpetrator – note that it defaulted to “Offender” due to the form we chose. When you choose Staff-on-Offender, it will default to Staff. **Note Custody Status – it does not default from COMS. Enter multiple Perpetrators as necessary. Are you ready to Submit & Lock this panel?

Witness: Add a Witness Lookup Add multiple Witnesses, as necessary Submit & Lock? Reporters: Add Reporter Add Multiple Reporters, as necessary Witness: Add a new witness Use the Lookup – COMS integration Pay attention to the Witness Type Add as many Witnesses as necessary. **Note – if you select a Staff member as a Witness, after you save the incident only certain people will be able to see that information. Are you ready to Submit & Lock this panel? Reporters: Add a Reporter Pay attention to the Date Incident was Reported field, Reporting Method and Reporter Type. Add multiple Reporters, as necessary. **Note – if you select a Staff member as a Reporter, after you save the incident only certain people will be able to see that information.

Incident Status: Case In Progress Case Closed Save Close The incident will auto-save for you as you make changes and before you exit. You will need to use the “Close” button to actually exit the incident. You are warned if you try to close the browser tab (not the entire browser, just the tab) that you have un-saved data.

19 Inmate-on-Inmate, Juvenile Incidents AWO, Watch Commander, OSI, Administrator
Juvenile Reporting Notice field/resource value differences Notice the new Juvenile Reporting section under the Victim panel. Notice that once the incident is saved, only users with access to see Juvenile incidents can see that incident. **If you have a user account setup that does NOT have access to see Juvenile incidents, I would log in and show them what it looks like after you’ve saved the incident. There are some fields and resources that are different between Adult and Juvenile cases.

Notice field/resource value differences: On the Perpetrator Detail page – Perpetrator Type = Staff Perpetrator Search Type = Employee On the Synopsis section: Sexual Violence Type Nature of Incident Notice no Perpetrator Medical Health or Behavioral Health tab are available There are differences in fields & resource values between the Inmate-on-Inmate and Staff-on-Inmate forms. There are also permissions wrapped around the Staff related fields. So if you have a Staff member selected as the Perpetrator, Witness, and/or Reporter – only certain people can see those fields. You cannot change the Perpetrator Type. **Make sure you have chosen the correct form BEFORE you enter any detail. You cannot switch forms! Sexual Violence Type & Nature of Incident are different than Inmate-on-Inmate.

Navigate to the Investigation tab on an existing incident ACISS Number Reported to Outside Jurisdiction Internal Investigation Disposition Type – VERY important for reporting! Other fields Discuss differences between Elite Corrections and ACISS. Note that once “Yes” is selected for Reported to Outside Jurisdiction, more fields appear. Discuss Internal Investigations Disposition Type – VERY important field for reporting purposes. This really drives Deb’s report! Walk through each field and note that more options appear once yes/no is chosen. PREA Qualified = Yes/No – only for internal reporting purposes.

23 Retaliation Monitoring AWO, Watch Commander, OSI, Administrator
Under the Retaliation Monitoring section: Victim Monitoring 30, 60, 90 day Witness Monitoring Reporter Monitoring DO NOT Submit & Lock until ALL monitoring entries are made. Add monitoring every 30, 60 and 90 days for the Victim, Witness(es) and Reporter(s). Each monitoring has multiple fields to enter. Report will be ed as a reminder if you have NOT filled out the 30, 60, 90 day monitoring records.

Under the Incident – Review section: These are questions to be answered at the monthly SART meeting. Note the Victim Incarcerated at the bottom: If Yes is chosen – additional Victim Notifications come up. These Victim Notifications are different for Staff vs. Inmate Perpetrators.

Start at the Incident List page or the Dashboard widgets Find an existing Incident Note read-only fields vs. editable fields Navigate to the Medical Health section: **START with the “Everyone” slides above. **NOTE: Have a pre-defined user that has limited permissions already picked out to use for the training. Medical Staff will NOT have the ability to create NEW incidents. They will always start from an existing incident. Because Medical Staff may not know what role the person that is in front of them played in the incident (Victim, Perpetrator, Witness, Reporter, etc.) – it may be easiest to search for that person on the Dashboard Widget. Medical Staff can also search for an incident on the Incident List Page. Note that you can VIEW quite a bit of information within the incident. However, most of the details are locked and you cannot edit them. Remind users that once you choose “Yes” for a field, additional fields may appear. Remind users about required fields.

Perpetrator Medical Health One row for each Perpetrator Note that there is one row for each Perpetrator entered by the AWO, Watch Commander, OSI or Administrator that started the incident. Some fields may have asterisks in them. That means that there is a Staff member in there and you do not have permissions to see that data.
