Materials:  3 ½ floppy disk Note: All exercises should be saved in your data disk and must be submitted to your instructor after every laboratory session. Files to be used:  Activity7xxx.ppt Basic Information: PowerPoint Slide Show Effects To run your presentation in a simple slide show would be the best way to see the overall effect. These effects are displaying slides in sequence, moving from one slide to another, transition from one slide to the next with a special effect, but in timing that you as the presenter can control. Slide show effects are useful when creating presentations in a self-running demonstrations, product presentation, and conference information distribution. To start with the basic, though every detail in slide show effects is very self-explanatory, would be advantageous to you to control the amount of time your slide will be displayed. Using the Slide Show First of all, you can view your presentation electronically through the Slide Show view. The Slide Show view is the most preferred method in delivering a presentation. The reason is because, Slide Show lets you use multimedia (complete with sounds and videos) and animation and allows you to control your own pacing. While in the Slide Show view, all the elements of the PowerPoint screen won’t be visible. However, the Slide Show menu button and some Slide Show keystrokes will help you run your presentation smoothly. To display a list of Slide Show commands, right-click anywhere on the slide or click the Slide Show Menu button. The table below shows a list of keystroke shortcuts that will help you in navigating through your presentation.

2 Laboratory Exercise 5 – Applying Slide Show Effects Office Productivity Tools 2 Using On-Screen Navigation Tools Aside from the pen, as previously discussed, you may be surprised to know that even during a Slide Show, you have tools to help you as you go through your presentation. Since a Slide Show is continuous and in sequence, the Slide Navigator is one way to jump from one slide to another. To use the Slide Navigator: 1. On the Slide Show, right-click to show the shortcut menu. 2. Point to Go to Slide option and click the slide you are to switch to which are specified by a number and the title of the slide. You will notice a check symbol beside a slide which you are currently in. Using Annotations during a Slide Show Obviously, you must in the slide show mode. To write or draw (annotate) during a slide show, follow these steps: 1. Right-click on the slide. 2. Point to Pointer options and choose which pen to use. There are three pens to choose from: Ballpoint pen, Felt tip pen, and highlighter which you can use in emphasizing terms when discussing. Moreover, it provides you different ink colors, just repeat the two steps. Again, right-click on the slide then point to Ink color and choose the desired color. The pointer remains a pen until you choose one of the other commands on the Pointer Options submenu. Slide Show Design Guidelines When showing a presentation, there are certain guidelines you need to keep in mind: 1. When you give a slide show, the content should be center stage. This is to emphasize your points, not draw the audience’s attention to special effects. 2. If your audience reads from left to right, you might design your animated slides just like how they read, so, your points fly in from the left. 3. When working with sounds, an occasional burst of music or sound during a transition or animation will focus the audience on the slide show.However, frequent use of sound effects can draw attention away from your main points. 4. The pace of your presentation also affects audience response. You can use PowerPoint features to rehearse your pace before you give a presentation. 5. Too many words or pictures can distract the audience. If you find yourself using too much text, try turning one slide into two or three, and then increase the font size.

3 Laboratory Exercise 5 – Applying Slide Show Effects Office Productivity Tools 2 Using Slide Transitions Slide Transitions are the very first animation that you will be able to use in PowerPoint. A transition means the way slides advance from one to the next during a slide show presentation. This PowerPoint feature provides effects on how an old slide is replaced by the new one. There are several special effects available, which you can access from the Slide Transition task pane. Study the Slide Transition task pane with its various options. Note also that this task pane has the Apply to All Slides button, which you can use to apply the transition to all the slides in the presentation. Transition effects may be added to slides in all view modes. However, it would be easier to add transitions through the Slide Sorter view. Setting Up Transitions in Slide Sorter View When setting up transitions, Slide Sorter is the best view to use. This is because transitions are often applied to multiple slides. Transitions are applied to entire slide(s), not to individual objects within slides. Another reason for using Slide Sorter view when setting up transitions is that the Slide Sorter toolbar contains a button and drop-down list to help you apply transitions. Selecting Multiple Slides in Slide Sorter View Transitions and other effects are applied to the selected slide(s) in Slide Sorter view.  Select a single slide by simply clicking the desired slide.  Select multiple slides by pressing and holding the key while clicking the desired slides.  Select a range of slides by clicking the first slide, pressing, and clicking the last slide. All slides in between will be selected. Custom Animation The Custom Animation dialog box lets you create animation effects for individual objects within slides. You can animate clip art, text, and other types of objects. You can also add sound effects to animated objects and control the order and timing of the animation sequence. You must be in Slide view or Tri-pane view before you can display the custom animation dialog box. This view let you select individual objects on slides. The easiest ways to display the Custom Animation dialog box is to right-click the selected object(s) and choose Custom Animation from the shortcut menu. The Custom Animation is a bit more detailed than the animation scheme. With custom animation, you can personally choose which animation effects you want to add to your slide’s text and objects. The Custom Animation task pane (or dialog box) lets you select from over sixty animation effects, which gives you greater control and flexibility. The custom animation’s Add Effect button provides entrance, emphasis, and exit effects to the selected text or object. You can modify the speed, direction, and order of the animation. Animation Schemes If you have used several slide layouts for the content of your presentation (instead of inserting text boxes manually), you could easily apply animation schemes to add visual effects to the text on a slide. Select an animation scheme from the task pane. These are classified from subtle to exciting schemes. Each scheme usually includes an effect for the slide title and the bulleted lists or paragraphs in a slide. Animating Text Objects Text and other objects can be animated in a presentation. Animating text objects allow you to show sequence of topics one at a time. For example, applying text effect lets you introduce a bulleted paragraph each time you click the mouse button. This allows you to deliver your presentation bullet-by-bullet but you also have the option of having every single letter in a word, animated.

4 Laboratory Exercise 5 – Applying Slide Show Effects Office Productivity Tools 2 Dimming and Hiding Objects It is important to keep the audience focused on the current topic as it is being discussed. The After animation section gives you the option to dim bulleted paragraphs as new bullets are introduced. Rehearsing Slide Show Timings Before delivering your presentation, it would be helpful to rehearse the timings to give ample time for each slide to be displayed -- not too brief because your audience may not have enough time to read the contents of a slide; and not too long so that your audience would not get bored not unless you would want to emphasize a topic. The Rehearse Timings feature lets you run through your presentation so that you will know how long it takes to display each slide. You can access the Rehearse Timings command from the Slide Show menu. The Set Up Show command is also opened through the Slide Show menu. Use this dialog box to apply options such as how slides would advance to the next. This dialog box also gives you the option to run your presentation on a continuous loop. If you have chosen this option, your presentation would stop playing only if you press the button or if you select End Show from the Slide Show shortcut menu. Activity #8 Applying Slide Show Effects 1. Open the file Activity7xxx.ppt. 2. Switch to Slide Sorter view. 3. Access the Slide Transition pane. Either from the Slide Show menu or from the visible task pane. Let us only apply a single transition so your audience will not get confused on where the next slide will be coming from. 4. Explore on the transitions available, say, choose Strips Right-Down transition. 5. Change the Speed to Slow and use the sound of a Camera. Click on the Apply to All Slides button. 6. Save this exercise as Activity8xxx.ppt. Let us first leave the control of the presentation to mouse click so we will just leave this option. Let us proceed to animating the elements. 7. Switch to Normal view so you can select each element on the slide. 8. Switch the task pane to Custom Animation or access the Slide Show menu > Custom Animation. Notice that all options in the custom animation task pane are disabled because you did not select any object to animate. 9. On your first slide, select the image. Click Add Effect button > Entrance > More Effects. From the More Effect dialog box, browse on the available effects. 10. Choose the Swivel effect from the Exciting section; you have to scroll downwards to view more effects. Click OK. Note that the first element you added an effect will be the first element to appear when the presentation starts. 11. Since this is your first slide and no topic needs to emphasize, you may control the effects by making the Start option set to After previous. 12. Also, set the Speed to Very Slow so your audience would read it clearly while the animation is running. 13. Now, click on the WordArt. Add the Grow and Turn effect for the Entrance and Grow/Shrink effect for the Emphasis. 14. You must now have three animations on your first slide just as like the Custom Animation pane shown on the next page.

Click on the Play button from the custom animation pane to have a preview of the animation. 16. Save your work. 17. Switch to your second slide and click on the title placeholder. Apply the Peek In effect for the Entrance. 18. Change the Direction to From left and the Speed to Fast. 19. Highlight the first level of bullet: Package to CD. Apply the Faded Zoom effect for the Entrance and make the Speed, Fast. 20. Add the Grow/Shrink effect for the Emphasis. 21. Click on the image and add the Swivel effect for the Entrance. Set the Direction to Horizontal and the Speed to Medium. 22. Now, highlight the second level bullet, which is the paragraph. Add Peek in effect for the Entrance. 23. Modify the Direction to From left and the Speed to Fast. 24. Your custom animation pane should look like the pane below. 25. Let us modify the Start of all the elements in the second slide. Set the Start of the title placeholder to After previous. 26. For the first bullet, set it to After previous, then click on the powerpoint which is your image. Click the arrow pointing upward once to re-order your image. 27. Set its Start to With previous and then, set the First bullet Start to After previous. You will notice that there will be numbers beside the elements that you animate. These are the sequence of the presentation for the slide.

Your custom animation should now look like the image below. Let us explore more on the animation effects. 29. Say on your third slide, you want to dim the image after it was introduced. To do this, select the image, apply an effect, say, the blinds effect. 30. Now, double-click the animation from custom animation pane to access the Blinds effect dialog box. 31. From the Enhancements section, change the After animation option to color white or any color you desire instead of Don’t dim. Then click OK.

7 Laboratory Exercise 5 – Applying Slide Show Effects Office Productivity Tools 2 There are still other options in the After animation, like hide after animation and hide on next mouse click. Choose the option that best fit your presentation. In addition, the dim effect can also be applied to texts, just do the same procedure. This dialog box also gives you several options to modify like its direction and sound, timing, etc. However, these options are also available from the custom animation pane. 32. Now for the succeeding slide, apply the options, just like animation from your second slide. The difference will be, the Start option must be set On Click. You may opt to animate your presentation with your desired effects to apply. 33. Delete your last slide, which contains the different objects. To delete a slide, from the Slides tab, select the last slide, access Edit menu > Delete slide or simply press the key. 34. You must first rehearse the animation before proceeding to your presentation. To do so, access the Slide Show menu and choose Rehearse Timing. Your presentation will run in a slide show mode and the Rehearsal dialog box appears showing you how much time your presentation will consume. On the other hand, the Set Up show is convenient to use in an audio video presentation which you will also be creating on your next exercise. 35. Now, run your presentation and explore the use of the slide show keystrokes especially the annotation pen. 36. Say you used an annotation pen, when the slide show ended, PowerPoint will ask you if you will saved the changes made on the presentation. Simply click Discard button. 37. Save your presentation and close the application. Note: For the next exercise, you will be creating an audio video presentation of an event. Say, you’ll create an AVP for your birthday. So, you have to bring soft copies of images you want your audience to see, minimum of 15 images. Also, bring an audio supported by PowerPoint 2003. These can be in WAV, MP3, MID, RMI, AIF, AIFC, AU, WMA, and AFS format.
