1 TIPS FOR ATTENDING OR HOSTING A LYNC MEETING By Gary Palmer

2 SETTING UP A LYNC INVITATION Assumption: You have the newest version of Skype for Business installed This is actually, under UK’s system, Lync You have a microphone plugged in If you plug a mic in after joining a meeting you may have sound issues You have or will get a video camera (with built in mic) Logitech Orbit recommended for desktop Logitech BCC950 Web Cam recommended for conference or meeting room

17 GOT SOUND ISSUES (NO SOUND) Realize that if you plug anything in after joining the session, you chances of having no sound goes up dramatically. Getting out of the Lync session and back in may be your best option for fixing no sound issues However, Lync Audio for resolving sound issues is now located at the bottom of the main page It also can be found under tools if you have your menu bar checked.

18 If others can hear you, you should be able to see the bar out from the Microphone jump with a blue bar as you speak If you can’t hear, click on the down arrow, under the Audio device and try different options If that doesn’t work, you can try Check Call Quality This will put you on hold, but may fix the problem. Remember that getting out of the Lync session and logging back in may be you best option.

19 PRESENTING OR ASSISTING A PRESENTER – MONITORING A PRESENTATION Why monitor? A monitor can be a great asset to a meeting Presenters are too busy and preoccupied to monitor their own presentation Speakers may not be proficient enough to take care of arising issues nor should they be expected to do this. No one should IM the speaker directly, but can IM the monitor. Ask your IT person for a separate log in for your conference room Ex. ukanrdesk@uky.edu If you are hosting, the conference computer should be hard wired to internet Logitech BCC950 Web Cam is recommended due to sound and video quality. For remote speakers, lay the lavalier mic on the BCC950 speaker to broadcast to the hosting site’s live audience. Monitor from a laptop or other computer separate from the conference computer The laptop can connect by Wi-Fi Laptops in the room must be muted and sound turned off to prevent feedback Monitor can be from a remote location and doesn’t have to be in the same location Video should not be engaged on the monitoring laptop or any remote participating computers Things a monitor may do Load presentation for speaker Do sound checks Introduce the speakers Look for unmuted mics Relay questions to the speaker Assist participants that are having connectivity or sound issues Invite a participant in that is unable to connect

20 PRESENTING OR ASSISTING A PRESENTER – SOUND CHECKS & MUTING Monitors or hosts should do a sound check periodically prior to the start of the meeting Monitors should mute people who are unmuted to prevent distractions for participants and the speaker Right click on unmuted participant and click mute Do not mute the speaker! Monitors can make Attendees a Presenter or may need to Admit someone to the meeting

21 PRESENTING OR ASSISTING A PRESENTER – DOWNLOAD A POWER POINT Power Points download to each remote site Therefore load presentations in advance by 10 to 15 minutes to allow time for it to fully load Starting a presentation that has not fully loaded will cause a delay in response for slide advancement If you have the opportunity, optimize the presentation by optimizing pictures. Click on any picture Click on a new item on the tool bar called Picture Tools Click on Compress Pictures and unselected apply only to this picture Select OK
