3. 33 ASN Overview An ASN (Advanced Ship Notice), is an Electronic Data Interchage (EDI) document that supports our receiving team when bringing in goods, and is transmitted prior to the goods arriving in our warehouse. Operationally, this document provides receipt visibility to the distribution center, and assists in the efficiency of moving product throughout TRU DC’s and stores. Without a proper, error free ASN, the Toys R’ Us receipt process is negatively impacted, leading to a delays in the goods being received as well as getting to our stores.

4. 44 ASN Basics There are two formats in which an ASN can be sent- Standard Pack ASN-0002 Pick Pack ASN-0001 The format of your ASN can be located in BSN-05 segment 01 02 030405 SEGMENT

8. 8 Receiving notifications Ens ure subscriptions are checked in Vendor profile. Who will receive these messages? The message will be distributed to those identified on the Vendor Extranet who are subscribed to receive ASN Error Notifications

9. 9 Accessing your ASN Error Notifications sent via e-mail. Link to error at bottom of communication. MUST be actively logged in to Vendor Extranet to view error. Link may need to be “cut and paste” into browser if link is broken. Dear Vendor, Your company recently transmitted at least one EDI 856 (ASN) containing errors to Toys "R" Us-Delaware, Inc. The EDI 856 (ASN) and all critical errors are accessible through the link below; please make sure you log in to the Extranet prior to clicking the link. Failure to log in will result in an error message. Toys "R" Us-Delaware, Inc. requires an error-free ASN for each shipment, prior to receipt. 11. 11 Warning vs. Critical Error Warning error- Indicates that TRU has received an ASN. However, issues still exist within the ASN that was received. Critical error- Indicates that TRU has no record of an ASN in our system. Regardless of the severity of the error, any generated error should be fixed and retransmitted, in order to avoid generating infractions.

13. 13 ASN CARTONS <> ROUTED CARTONS The value in the parentheses of the error notification notes the carton quantity transmitted in the ASN which is not the same quantity routed in FOM for that SKN. In the example above, if 30 cartons of an item is routed, then 30 cartons must be included in the ASN indicating that is what is being shipped. Issue- The Number of cartons stated in the ASN does not match the Number listed in (FOM) Freight Order Management.

16. 16 MISSING GS1-128 CARTON ID'S This error indicates that the GS1-128 carton IDs are either not included in the MAN05 field (required field) of the ASN or the values sent in the ASN do not represent the correct amount of unique carton ids. In the example above, if a total of 30 cartons on PO 6001765434 were expected but only 20 carton ids were included on the ASN for this PO, then the CARTON ID VARIANCE would be 10 (000000010). Issue- The number of labels found in the ASN is not equal to the number of cartons listed in the ASN. Each carton must have its own unique label

17. 17 MISSING GS1-128 CARTON ID'S - Detail Each MAN segment represents 1 individualized carton ID (label). This example indicates that 4 cartons should be expected for this item.

18. 18 MISSING GS1-128 CARTON ID'S Steps to Correct Review the number of MAN segments to ensure the Total number of segments reflects the Total number of Cartons on the ASN sent. o Update your ASN transmission with the corrected MAN Segments Re-transmit the document, in its entirety, under the original ASN ID (the new transmission will overlay After re-transmission, continue to monitor your email messages for any additional error notifications that may generate.

19. 19 REF02(RU) INVALID / MISSING This error identifies that the routing id (for collect shipments only) sent in the RU element of the ASN for that Location/PO was invalid. A valid and accurate routing id provided in the TRU Freight Tender Summary must be included in the REF02 field of the transmitted ASN. Routing ID’s are case sensitive and must include all characters provided in the TRU Freight Tender Summary (i.e. dsp000123456). Issue- The Routing ID listed in the ASN does not match both the Routing ID in the Freight Tender Summary and what is stated in FOM

20. 20 REF02(RU) INVALID / MISSING Location on ASN All 3 fields should match*

21. 21 REF02(RU) INVALID & REF02 (RU) MISSING Steps to Fix To Correct: Review the freight tender summary provided by TRU Transportation. Within the summary, locate the Routing ID approved for this order and update the ASN to include this reference. Identify the correct approved Routing ID Update your ASN transmission with the corrected value Re-transmit the document, in its entirety, under the original ASN ID (the new transmission will overlay and replace the previous version to address the error). NOTE: Routing IDs are case & character sensitive – please ensure that this information matches exactly to what you received from the freight tender summary. After re-transmission, continue to monitor your email messages for any additional error notifications that may generate.

22. 22 The ASN matches FOM, but still getting error… Occasionally, this error may generate if an ASN is transmitted the same day that routing is tendered. In these instances, our ASN logic will edit the EDI transmission and confirm the entered routing ID against our routing verification table which hasn’t been updated yet. To Correct: Please review the freight tender summary provided by TRU Transportation. Within the summary, locate the Routing ID approved for this order and update the ASN to include this reference. Identify the correct approved Routing ID Update your ASN transmission with the corrected value OR if you have already entered the accurate routing ID NO CORRECTIVE ACTION IS NECESSARY (However, please communicate with Vendor Compliance analyst to alert them to the situation) If an invalid ID has been entered, re-transmit the document, in its entirety, under the original ASN ID (the new transmission will overlay and replace the previous version to address the error). NOTE: Routing IDs are case & character sensitive – please ensure that this information matches exactly to what you received from the freight tender summary. After re-transmission, continue to monitor your email messages for any additional error notifications that may generate.

23. 23 UPC ITEM NOT = ASN ITEM Issue- The UPC provided in the ASN is NOT the lead UPC for that item specified on the ASN. The lead UPC on file with TRU was originally transmitted on the PO and should be reflected on the ASN. The information in the Data Received column is the UPC that was included in the ASN that caused the error to generate.

24. 24 UPC ITEM NOT = ASN ITEM Location on ASN

25. 25 UPC ITEM NOT = ASN ITEM Best Practices If the UPC is incorrect, update the ASN to reflect the UPC associated with the item in EDQ. If the UPC is correct, it will need to be added and approved in EDQ. NOTE- If UPC is changed after original PO creation, the PO MUST be cancelled and a new PO written in order to change the UPC attached. Update your ASN transmission with the corrected value Re-transmit the document, in its entirety, under the original ASN ID (the new transmission will overlay and replace the previous version to address the error). After re-transmission, continue to monitor your email messages for any additional error notifications that may generate. TIP- Always ensure your item attributes are up to date and accurate on the item master report found on Green Lion Digital Reporting.

26. 26 UPC NOT ON UPC MASTER Issue- The UPC included on the ASN does not exist on the TRU Item Master for any item. The information in the Data Received column is the UPC that was included in the ASN that caused the error to generate

28. 28 UPC NOT ON UPC MASTER Steps to Fix To correct, review the UPC information on the PO for that specified item and correct the ASN to reflect the valid item number and the lead UPC. Update your ASN transmission with the corrected value Re-transmit the document, in its entirety, under the original ASN ID (the new transmission will overlay and replace the previous version to address the error). After re-transmission, continue to monitor your email messages for any additional error notifications that may generate. TIP- Always ensure your item attributes are up to date and accurate on the item master report found on Green Lion Digital Reporting.

29. 29 PO4-01<>PO PO4-01 Issue- The pack value in the ASN does not match the pack value transmitted on the PO for that item noted next to SKN. The value in the parentheses of the error notification states the pack value transmitted in the ASN which does not match the pack value sent in the PO. The pack value must be corrected to match the pack value in the PO.

30. 30 PO4-01<>PO PO4-01 Location on ASN PO4 Line provides package set-up Information NOTE- If your PO4-14 segment is blank, your PO4-01 will reflect the number of sellable units in the master carton. If PO4-14 is populated, the PO4-01 reflects the number of inners in the master carton. EDQ Master Pack Quantity = Total # of sellable units in a master carton Inner Pack Qty = # of sellable units in an inner pack Should Match TIP: If No Inner pack exists, the PO4-14 segment should be left blank. NOT “0” or “1”

31. 31 PO4-01<>PO PO4-01 Steps to Fix Update your ASN transmission with the corrected value. Update EDQ if item pack set-up is incorrect. – If a change to EDQ is necessary, the PO associated with error along with any open PO with that item will also need to be update to reflect the change. Re-transmit the document, in its entirety, under the original ASN ID (the new transmission will overlay and replace the previous version to address the error). After re-transmission, continue to monitor your email messages for any additional error notifications that may generate.

32. 32 PO4-14<>PO PO4-14 Issue - The inner pack value in the ASN does not match the inner pack value transmitted on the PO for that item noted next to SKN. The value in the parentheses of the error notification notes the inner pack value transmitted in the ASN which is incorrect and does not match the inner pack value sent in the PO. The inner pack value must be corrected to match the inner pack value in the PO.

33. 33 PO4-14<>PO PO4-14 Location on ASN PO4 Line provides package set-up Information NOTE- If your PO4-14 segment is blank, your PO4-01 will reflect the number of sellable units in the master carton. If PO4-14 is populated, the PO4-01 reflects the number of inners in the master carton. EDQ Master Pack Quantity = Total # of sellable units in a master carton Inner Pack Qty = # of sellable units in an inner pack TIP: If No Inner pack exists, the PO4-14 segment should be left blank or Null. NOT 0

34. 34 PO4-14<>PO PO4-14 Steps to Fix Update your ASN transmission with the corrected value. Update EDQ if item pack set-up is incorrect. – If a change to EDQ is necessary, the PO associated with error along with any open PO with that item will also need to be update to reflect the change. 35. 35 LIN05: ITEM NUMBER NOT FOUND This segment is mandatory in the ASN and must contain a valid TRU Item Number that was sent in the PO transmission. All TRU Item Numbers are to be sent as 6 digit codes. If the LIN05 contains less than a 6 digits in the ASN, then a critical error notification (LIN05: ITEM NUMBER NOT FOUND) will generate. The information in the Data Received column is the TRU item number that was included in the ASN. The error message (UPC ITEM NOT = ASN ITEM) will be associated with the LIN05 error message which means that the UPC provided in the ASN must be the lead UPC for the transmitted item. Since the item number is not found then the UPC included in the ASN will not be linked to the item number causing this error message to generate. Issue- The LIN05 segment contains less than 6 digits in the ASN.

36. 36 LIN05: ITEM NUMBER NOT FOUND Location on ASN If this is a 5 digit number a leading 0 will need to be included on the ASN. Ensure item listed on ASN is set-up in EDQ

37. 37 LIN05: ITEM NUMBER NOT FOUND Steps to Fix Ensure item indicated in “data received” column is in EDQ. Update your ASN transmission with the corrected value Re-transmit the document, in its entirety, under the original ASN ID (the new transmission will overlay and replace the previous version to address the error). After re-transmission, continue to monitor your email messages for any additional error notifications that may generate.

38. 38 N104: TRU Location Missing/Not Found Issue- The ASN indicates an invalid Ship-to or Ship-from location. The “data received” column represents the location stated on the ASN. Both the Ship-to and Ship- from location should be reviewed.

39. 39 N104: TRU Location Missing/Not Found Location on ASN Ship-from location, this should be the D-U-N-S Number followed by 4- character suffix. (if 4-character suffix is not available, simply sending the D-U-N-S will be acceptable) Ship-to location, this must be the TRU D-U-N-S Number followed by the 4- digit TRU location number. **TRU D-U-N-S # = 064336472 Ship- From Info Ship- To Info

40. 40 N104: TRU Location Missing/Not Found Steps to Fix Review the ASN and ensure the Ship-from location is represented as the Vendor D-U-N-S number followed by the 4 character suffix if available. Review the ASN and ensure the Ship-to location is represented as the Toys R Us D-U-N-S number followed by the 4 digit TRU Location Number (i.e 5601,5801..etc.) – **TRU D-U-N-S # = 064336472 Update your ASN transmission with the corrected value Re-transmit the document, in its entirety, under the original ASN ID (the new transmission will overlay and replace the previous version to address the error). After re-transmission, continue to monitor your email messages for any additional error notifications that may generate.

41. 41 FOB01: Ship Method is Missing/Invalid Issue- The Shipping method on the PO does not match the data provided in the ASN. CC= Collect Shipping Method PP=Pre Paid Shipping Method The “data received” column represents the shipping method stated on the ASN.
