Introduction to the Cloud November 21, 2013

Agenda  Introductions  Overview from Community Foundation Capacity Building Path  Current State  What is the Cloud in laymen’s terms  What do we have now- review of “ready state” requirements  Future State  Benefits and Security  What are the opportunities to consider with migrating to the cloud  The Grant Application and Committee Review Process  What costs will we cover  What expectations do we have for the application content  Timeline  Q/A, Hands-on time to explore

Overview From Community Foundation “Strong communities rely on nonprofit organizations that effectively serve and inspire community members in a way that enhances everyone's quality of life.”

What is the Current State?  What does “Cloud Based” actually mean?  No Servers on premises  No Server maintenance by organization Staff Updates and Patches Backup of data Flexible storage – pay for what you use  Flexible use Connect anywhere on the Internet

Characteristics of the Cloud 1.All files/information are stored off-site on multiple servers 2.All web applications are accessed through the internet 3.Nothing is installed on your computer

Ready State Requirements  WAN Connection  2-5 People required a minimum of 1.5Mb (Standard T-1)  6-15 People require a minimum of 5Mb (Standard Home User Connection)  16+ People require a minimum of 8-15Mb (Standard SMB Connection)  Personal Computers  No installed Applications P5 Processor and above 2Gb RAM 40Mb Hard Drive  Installed Applications (i.e. Quick Books, MS Office) Dual Core 1.5Mhz and above 4Gb RAM 160Mb Hard Drive  Operating Systems Windows 7 or above  Browsers MS Internet Explorer 10 or above FireFox Version 2012 or above

Future State  Benefits  No expensive servers required for the services we are migrating  Server Maintenance is performed by the vendor  Ease of use  Availability  Applications to your daily operations?

Highest Security Standards

Cloud Applications  What do they look like?  Many Cloud type applications have the same interfaces you are used to  How are they best used?  They can be used the same way your server based applications are used  They provide greater security by allowing layered security  They can be used from different locations  What opportunities are available/should be considered?  No charges for upgrades This is folded into the usage licenses Changes are performed by the provider – no need to hunt up a volunteer  Security is provided by large “Fortune 500” companies Robust systems Full time professional security teams  Able to outsource the organization’s management Utilize a “shared services” style offering to manage the day to day management

Application and Review Process Plan Review internal needs/strategic direction Assessment of “current state” Apply Narrative of need Proposal from vendor with specifics Respond Team of Reviewers Funding will correspond to needs (not 100%)

Next steps: best practices  Get 2-3 estimates from different vendors  Talk with staff & board members: what questions remain  Continue to ask us questions to feed our process: FAQ living document  Expectations: We will be flexible and patient if you do the same.

Hands On Demo  Time to look and see  Ask questions  Watch how it works
