3 Online Entry System Available to; Member Yachting Associations (MYAs) MYA Affiliated Yacht Clubs National and State Affiliated Class Associations Recognised Yachting Australia training centres The system has been in development for the past two years and has been trialed and used by; Sail Sydney Sail Melbourne (Sail World Cup Event) Australian Youth Championships Yachting WA for Perth 2011 Laser and 420 Class Nationals

4 Features The online entry system runs off the MyClub, MyCentre and MyClass database system, accessible via the event calendar function.

5 Key areas The online entry system is broken down into eight key parts; Competition Information Competitor Information Boat Information Additional Information Waiver Confirmation Payment Reports

6 Competition Information Features Organisation defines amongst other parameters: event details entry fee and late entry charges age limits limits on the number of entries closing date

7 Competitor Information

8 Boat Information (Optional) Features Collects key boat information including: Sail Number Boat Name Club

9 Additional Information (Optional) Features event specific information. Any range of questions can be asked of the entrant. ability to factor in extra costs associated with the event that are automatically included in the final event charge.

10 Waiver Feature Standard waiver or ability to create tailored waiver as each event requires

11 Confirmation Features Clear summary of all collected information for end user Automatically calculates extra values

13 Features Use of the system is subject to the completion of ‘Yachting Australia’s Online Registration and Payment System Declaration’ Uses Westpac’s Secure payment gateway Payments are lodged into a separate Yachting Australia account, and then disbursed to the Organiser’s designated account every 10 days

14 Outputs Features Key data is then summarised, allowing the organiser to output all the information into an excel spreadsheet.

15 Benefits The main benefits for an organisation to use the online entry system are; Ease of tracking registrations Reduces cash handling Interfaces with current database Significantly improved event administration and reduces paper work providing an audit trail User friendly and easily accessible for the entrant User manuals available Added features being developed on an on-going basis at no added costs to the organiser using the platform

16 Moving Forward Features Boat information is currently accessible through an individuals MySailor account. The member has the ability to load; Boat Name Sail Number Class IRC Information Crew Details Safety Information (epirb numbers, life raft colours etc)

17 Moving Forward – Under development Features Boat information collected through MySailor can then be used during the online entry process for boats containing multiple crew members.

19 Key Features Features Upload entries direct from online entry system Clear and accurate race results output Option to view race by race or overall series data Results published instantly online, and SMS sent to mobile when registered Event summary and reporting tools Publicises notices/amendments

20 Features Listing of protests, including protest details and jury decisions On water actions by the Jury (Rule 42) Outputs to TV’s/Multimedia devices to constantly rotate through updating results Ease of use

21 Features All race information will be loaded directly to an individuals MySailor account providing an archive of information about past performances.

25 Features Ability to select which of 110 different fields to be used at your club Advanced Search – the ability to choose a search by any combination of all fields, e.g. Find all unfinancial female members under 21 with an email address

27 Features Report Output - Having selected a group of people, the system provides the ability to print, save report, email, SMS the members selected

28 Club Membership System Administrator sets up membership fees Ability to add more of your own club fields Adds in any “extras” – e.g. Rack fees Generates Invoices –Email to those with an email address or print and mail to those without Member pays online with credit card through YA credit card facility –System automatically marks them as paid in MyClub –Automatically receives Yachting Australia card at month end –No additional processing required by club administrator Money is deposited in Club account every 10 days
