3 What is effective communication in the institution?
Effective communication is a communication that meets its objectives: to inform the employees and clients easily.

4 Types of communication
The vertical communication: It is communication between employees of different levels of the hierarchical structure Horizontal communication: It is communication between employees at the same level in the hierarchical structure; The intra-personal communication: It is communication within oneself; Interpersonal communication: Exchange between individuals belonging to the organization or not; Communication through the media: Use media for non- human communication (papers, television, radio, posters, newspapers etc

5 Components of Communication
The three components of communication are: Verbal (what we say - 7% of any message is communicated through words Vocal (how we say it)- 38% of a message is communicated by our voice Visual (what our body says)- 55% is conveyed by non-verbal body language

6 Channels of communication in the institution
Telephones s Reports Meetings Memos (Internal & External) bulletin board, billboards, Suggestion boxes or suggestions, internal newsletter Media

7 Communication in institution (1)
Good managers/good leader are good communicators. They are able to stand and communicate to the people they want to communicate with and to understand how the message they are trying to send will be understood by the receiver – through their ears and eyes. They also strive to understand what is being communicated to them. Take a few minutes to consider the following questions: Who communicates? Where does this communication take place? When does it take place? How is a message communicated? What is communicated? Why? What is the point of this communication?

9 Barriers to effective communication in an organization
Organization environment - in any Organization where the environment is the threat or fear, information is often interpreted differently. The physical distance between people. Bias of the sender Lack of trust in others, unfairness (injustices) and personal opinions,

10 How to improve effective communication within the institution (1)
Recognition of the essential nature of communication: an organization should recognize that communication plays an important role in management, because it allows it to discover problems, give instructions, check the results and help employees meet their basic needs 2. Creating a climate of constructive work The work environment promotes constructive communication; communicate the results and will present encountered difficulties in carrying out activities.

3. Constitution of a Working Group Creation of a working group on improving communication. Meet at regular intervals to discuss on communication issues and evaluate the different possibilities to solve them. The working group can learn from experiences of other organizations in communications.

4. Develop a communication plan Based on the identification of communication needs, managers of institution can develop a communication plan involving all stakeholders in the process. The plan will outline the flow of communication to establish strategies: like bulletin board, billboards, suggestion boxes or suggestions, internal newsletter etc
