PROGRAM BENEFITS Why choose the Original Works Online Gallery Program?

Virtual Gallery Publish your artwork online for all members of you school community to view Provides a great way to share creativity Preview artwork on products before making purchase Example: Main page of the gallery

Program Benefits Schools only send Artwork to OWY once Program requires less volunteer time Total online ordering eliminates the need for the school to handle money – Paper/Manual orders available as an option but not required Coordinator can view order totals online as orders are placed

HOW IT WORKS-THE BIG PICTURE An overview of the program

The Setup There are two phases to the program: – Artwork submission and uploading (Phase E) – On-line ordering (Phase G) Once confirmed, the school submits a class list for creation of a Student Artwork Label. The label will include the student first name, last name, teacher and grade. OWY will then add the School Code, Artwork Title and Student ID to the file before the labels are printed. The labels are sent to the school with the starter kit (or shortly thereafter depending on when the file is submitted). The students create the artwork using our paper template. When the art is completed, the student label is affixed in the space provided on the paper template.

Original Works sets up the school’s personalized online gallery.

Artwork Submission The school sends the artwork to Original Works for scanning and uploading. As part of the image upload, OWY will associate the information on the label to pictures in the gallery.

Gallery Access & Ordering Once the scanning and uploading is complete, the artwork is placed in a poly bag with a DFL & KTP. The DFL will provide: – contact information – pricing – instructions for accessing the Gallery website. The DFL will reference the data on the label affixed to the front of the artwork.

Students/parents will visit their school gallery. Once in the gallery they can review all of the artwork for the school. The screen shot below shows some of the artwork contained in our sample gallery.

To view an individual child’s artwork, enter the child’s name or their artwork number.

Clicking on the artwork takes the user to the product page (shown below) where they can view our entire product line with the student image superimposed on each product.

Clicking on the desired product brings up a large image of the product along with a complete description and pricing (as shown below). It is important to note that parent/DFL pricing for the school is taken directly from the confirmation and displayed with the product. To place an order for the product simply enter the quantity and the student id. The student id will be found on the label affixed to the artwork.

This two tiered system of entering the school access code and then the student id is an important feature of our system, because it prevents unauthorized individuals from ordering products using another student’s artwork. Once Add to Cart is clicked, the product is added to the customer cart and the customer may either continue shopping or proceed directly to the checkout. At checkout the customer enters their name, address, phone, e-mail, etc. Credit card information is then entered to complete the order. Multiple orders may be placed for the same artwork, allowing parents to place additional orders prior to the deadline date. Additionally, friends and relatives are invited to order so long as the parent provides them with the school code and student id for the artwork.

CUSTOMER QUALIFYING Which are the right & wrong schools for this program

Right School? Have they worked with a competitor that has an online style program? – Square 1 & Artsonia Does the school have technologically savvy parents? – ex: Does the school already offer online parent portal Is the free/reduced lunch rate 50% or less?

Right Program? Key statements your current/past customers may have made – “We can’t collect money at our school/we have to give a receipt to all parents and we don’t have the man power for that.” – “Too much work for the money” – “We don’t’ have enough volunteers” – “No one will run the program this year” etc.

The Wrong Schools Schools that are listed as Do Not Call Repeat customers that have had 50% or less in projected sales during prior years Schools with tight schedules Schools that are 50% + free/reduced lunch rate – OP Program may be a better fit

CONFIRMATION DETAILS Where do I start?

Confirmations Now that you have the right school for the program, what’s next?  Creating the confirmation

Questions to ask 1.How much time do you need to complete the art work? Artwork is required to be sent to OWY before the end of October 2.What day would you like the products to arrive at the school? 3.Will you be giving your parents the opportunity to submit an additional order?

This is very important to note if different from the school! Who is profiting, who gets the check?

Tax will be charged in all states listed. Tax will be calculated by the online system.

Confirmations The Gallery Confirmation functions in a similar manner to the SBYB confirmation There will be 2 phases to the program: – Artwork submission and uploading phase (10 days at OWY plus shipping time) – Online order phase (12 days including shipping time)

Remember: AW due to OWY by end of October!

INFORMATION & QUESTIONS

Things to Remember Schedule revisions will only be accepted if there is room in the schedule If a school is unable to meet the art deadline for Phase E, they can be switched to an OP program  This will require sending a new coordinator’s guide, DFL & parent package We are unable to “catch up” or merge any paper order or art after the gallery has been closed & the order process has begun  Orders that arrive and can’t be merged will have the option of either being returned unprocessed or being processed as an additional order at a later date Currently, product test schools cannot utilize the Gallery Program We are required to charge tax in any states listed as taxable on our confirmations All orders are charged a $1.50 handling fee We will not charge any shipping to schools whose orders are less than $300

Misc. Information & Questions How much extra paper will OWY send to each school? What if the school needs more paper than sent? What if a family can’t pay by a credit card or sends in cash? We are unable to accept anything but a credit card payment for the gallery program What will the DFL look like? Please review the email sent to you on April 4 th. There is a link to a sample DFL for you and your customers to view.
