6 Project Dvpt/Reporting team within ACTED structure -Coordination team: will assist in defining ACTED strategy and support fundraising towards donors. -Program teams: will be in constant liaison with program teams to identify project progress and potential shortcomings/delays. - FLAT teams: will liaise with FLAT teams in terms of disseminating info to donors - AME teams: will work with AME in terms of defining and following project indicators and defining best practices and lessons learnt and project timeline. - Communications: assist in maintaining a good level of information regarding the mission’s activities worldwide (newsletter and photos mainly).

7 2. The objectives of Reporting 1. At the internal level: -Responsible for ensuring smooth communication and decision making process at all levels (base, country, regional, HQ) through regular organised meetings -Support to coordination (at area and country levels) -Focal point for centralising projects deadline in terms of reports and donor requirements -Capitalising on the experience of previous projects, together with AME -Centralising resource centre

8 2. The objectives of Reporting 2. At the external level: - Supporting external relations with donors and other stakeholders on context (who’s doing what where?) and project related issues -Communicating formally and informally with donors on project implementation and results, -Developing new partnerships and projects, -Explaining the approach ACTED privileges in the implementation of programmes and projects: proposals writing, -Justifying and assessing the impact of our programmes and the use of funding: reports writing, in liaison with AME findings -Sharing encountered difficulties and describing solutions put forward to solve them, -Ensuring the matching of project cycle management with donors’ requirements and procedures in liaison with Finance.

Private Funding: -No fundraising towards the general public -Limited support from private entities but helpful to sustain co-funding requirements -Increasing support from ACTED partners (A2015, CECI, Shelterbox UK) -Current trend to be more visible to the external world

PD / Reporting within Project Cycle Management -Project Design: in liaison with Coordination and other internal stakeholders involved (Program, finance, AME) in the preparation, Reporting is the focal point for drafting project proposals in the light of donors guidelines and project design. -Project Kick-off meeting: discussions regarding project timeline and outputs. Drafting of PMFs. -Project Implementation: Reporting is in charge of preparing / consolidating interim reports that will be later disseminated to our donors as per contractual requirements. -Project Monitoring and Evaluation: Reporting in liaising with Program and AME teams assists in identifying lessons learnt and best practices to feed in our internal resources and disseminate to donors in a transparent manner. -Project End: Reporting participates in the liquidation of the project

Reporting Tools 2 types of tools: Tools related to general internal reporting duties: - Weekly Base / Area Meetings -Monthly Coordination Meetings / Monthly Programming Board -Monthly Management Reports (prepared by country directors) -Monthly Area Reports (prepared by Area coordinators) -Project Management Framework (PMF) Tools dedicated to reporting teams only: Reporting Follow Up per Country

17 6. Presenting ACTED’s Approach Based on LRRD strategy ACTED’s 8 core sectors of intervention are driven by a number of guiding principles of intervention, which transcend and connect them all. Project proposals are also about complying with these guiding principles A step by step and bottom-up approach Community mobilisation and participation, capacity building and ownership ACTED’s methodology aims to sustain longer term objectives even at the stage of emergency response, thus it is essential to include beneficiary communities at all stages of implementation ACTED also puts emphasis on cross cutting issues as follows: Empowerment of women and gender-led approach ACTED does not necessarily conduct gender projects but its methodology promotes the active participation of women in all activities. Particular attention is always given to female-headed households, often amongst the most vulnerable community members. Promotion of gender equality is for ACTED a crosscutting theme Environmental impact of our interventions Increasingly we need to address this issue by notably ensuring that we apprehend the potential impact on the environment.
