1 How to Work With SURN Principal Academy Data For data downloaded from onlineobservationtools.com

2 To download data from onlineobservationtools.com: Scroll to the bottom of the onlineobservationtools.com page, and select ‘Student Indicators of Engagement Form’ from the dropdown list, click ‘Export’ and open and/or save the file

3 The following slides will walk you through data ‘cleanup’ and graph production using your downloaded data file(s). Some tasks are spread out across more than one slide to provide step-by-step directions.

4 Step One: Delete Unnecessary Columns: Delete columns highlighted in red (Note: your columns may contain actual data where ##### are used to obscure identities)

7 Step Two: Use Find and Replace Command to Replace ‘checked’ with ‘1’

8 Step Two: Use Find and Replace Command to Replace ‘checked’ with ‘1’ (click ‘Replace All’)

9 Step Three: Manually Standardize Entries For Subject, use the following categories: Math English Science History Other (anything that is not one of the above) For Grade, be sure numbers are used (i.e. 6 instead of 6 th )

12 Step Four: Frequency by Subject Click ‘Insert’ tab across top of page; then click ‘Recommended Charts’, then click ‘OK’

13 Step Four: Frequency by Subject In the new tab with the graph in it, click on the graph, click ‘Design’, then click ‘Change Chart Type’ then select ‘Pie’ from menu

14 Step Four: Frequency by Subject Click on the + sign, click ‘Data Labels’ and click ‘Callout’ This will add labels to your graph Click on the chart, and copy and paste to add to another document (Word, PowerPoint, etc.)

15 Step Five: Frequency by Grade Select column for Grade Level

16 Step Five: Frequency by Grade Click ‘Insert’ tab, then click ‘Recommended Charts’ Use the bar graph that is recommended

17 Step Five: Frequency by Grade Click on the chart, and copy and paste to add to another document (Word, PowerPoint, etc.)

18 Step Six: Frequency by Observation For the following steps use these columns

19 Step Six: Frequency by Observation In the first empty row below the data entered, select the box for the first observation item, and insert the following formula in the formula bar: =SUM(E2:E50) Note: the column letter and second number may be different depending on how much data you have; use the row number directly above the box you are typing in.

20 Step Six: Frequency by Observation Select the box you entered the formula into (there should be a number there now), and click and hold the box, dragging it across all of the rows you have observation data for; unclick when all cells are boxed in

21 Step Six: Frequency by Observation With these cells still highlighted, select the ‘Insert’ tab, then click on ‘Recommended Charts’

23 Step Six: Frequency by Observation To change X axis labels, do the following: Click on the filter button (shown here), then click on the ‘Select Data’ link at the bottom right of the box

24 Step Six: Frequency by Observation To change X axis labels, do the following: In the pop up box, click on the Edit button

25 Step Six: Frequency by Observation To change X axis labels, do the following: In the ‘Axis label range’ box, type your labels, separating each with a comma (We used HY1, HY2, HY3, HY4, HY5, HY6, HY7, HY8, HY9, HY10, HY11, HY12, LY1, LY2, LY3, LY4, LY5). Then click ‘OK’
