3 Separation / Retirement HR Process change – communicated 1/4/11 Positions with pre-disposed end dates (grant) - positions must be ended Ending a position does not term an employee or end their benefits Dept must submit notification prior to the position’s end date for any extension of assignment employee’s separation Dept must immediately submit notification (clearance e- mail) when an employee gives notice Reasons for the change Improve accuracy of pay and benefits Sound business practice Meet intent of newly created federal health care reform bill. Effective 1/1/11 HR legally can no longer retro activating an end date for benefits.

4 Separation / Retirement What happens if process not followed: HR will no longer put in the last day paid – but date requested to remove from payroll If an employee is overpaid – dept will be responsible to recoup the funds Dept will be charged for the total (employee & employer) health care contribution for any month employee didn’t work and not removed from payroll Dept may also be charged for any health care claims that may have been paid during that same time period. Retirement Policy – changes Eligibility for additional UT programs & services at retirement Continuously employed at UT10 years or more at time of retirement Retire through the system per rules or according to the terms of the plan doc. 5 Employment / Comp Update Established employment process timeline Allow managers to receive bid (non-union) / applicants immediately when posting comes down OR have HR pre-screen for min. qualifications. OID will only review for diverse interview pool Currently with Dr. Jacobs for review Established compensation guidelines Designates required approvals for promotions – lateral transfer’s – increased responsibility – etc. Provides new hire salary guidelines Guidelines have been approved by Sr. Leadership Increased use of website – New hire forms Orientation

6 PeopleAdmin Update MC & HSC are both using the same system Added an applicant tutorial Added a user group – payroll to view approved actions Additional enhancements coming – Personnel Action Form / Post Select Tab Abolishment action Source of funds change action Extra compensation action
