REFLECTIONS ON INFORMATION TECHNOLOGY FOR THE COMMONWEALTH CAMPUSES Dr. John D. Hoh Senior Director of IT for the OVPCC (interim) Kari WilliamsonIT Director, OVPCC Lisa GlassIT Director, Berks Ted FroatsIT Director, Beaver November 30, 2015 1

INITIATIVES THAT WILL CREATE OPPORTUNITIES TO TRANSFORM IT  Security changes as the result of the incident at the CoE  One Forest  University wide email and calendaring service (based on Exchange)  Virtualization of desktops/vLearning  University Wide Scheduling/Event Management system  Enterprise applications to replace ANGEL/IBIS/ISIS/Data Warehouse  Self Service Video Conferencing  Transition to VoIP and eventually, Unified Communications  ServiceNow  Data Center/BOX/Amazon Web Services (AWS) 2

WHAT WILL LIKELY NEED TO CHANGE  A shift needs to occur to the existing “free paradigm.” Supplying a service – whether local or sourced – does involve the expenditure of resources and some level of associated risk.  Our classrooms and the Student/Faculty experience (as well as those units that impact the experience) need to be our focus.  Our infrastructure is important but not the reason we exist. 3

SIMPLE GAME PLAN  We need to concentrate on doing fewer things better so that we optimize our limited resources.  We need to run “lean” and use the new found capacity to innovate.  We need to Transform IT.  Why? So that we can impact the Student/Faculty Experience in a more meaningful manner. 4 Teaching &Learning Services Infrastructure

SUGGESTIONS...  Instituting a replacement cycle for all IT related devices.  Framing a comprehensive budget that addresses operational needs.  Contracting out break/fix work.  Getting Printing Costs under control.  Using the services of University Park (or others – like AWS) to supplement our local resources when appropriate.  Engaging the faculty in the creation of digital learning spaces. 5

FUTURE CHALLENGES AND OPPORTUNITIES  Find additional ways to leverage ServiceNow.  Find the funds that will be needed to cycle out the infrastructure in our communications closets/server rooms or to find alternative service providers.  Determine how desktop virtualization will enable us to deliver enhanced services while mitigating risk. This will shift funding - not reduce it - from hardware procurement to services and licenses.  Find a middle ground between security/risk and agility/innovation.  Determine what our labs/classrooms will look like in a few years.  Educate new senior leadership and IT Leaders. 6

WHAT WILL MAKE US SUCCESSFUL?  Having a clear mission – we exist to enhance the learning experience.  Having the support of Senior Leadership.  Developing/enhancing relationships with our colleagues in M&O, the Library and TLT.  Volunteering, collaborating, and a willingness to share costs.  Maximizing the effectiveness of our IT capacity.  Continuing the good work of the Campus IT Leaders group. 7

WHAT ARE OUR DESIRED OUTCOMES?  Creating a Common Classroom Experience across the Campuses.  Creating Effective and Agile IT Service Units that are seen as partners.  Transforming IT from a Commodity source to a Solutions provider. 8

9 WHAT WILL SLOW US DOWN Each campus will have a slightly different “report card.” Obstacles to IT Transformation at the Commonwealth Campuses Doing/ Managing/ Leading Skill Sets/ Professional Development Lack of Incentives to Change Not About Teaching/ Learning Local Leadership Involvement Distrust of Centralized Services Funding Model Burden of non-IT Services Collaboration with Library/ M&O/ ID Shared Courses/ VLN/ Video Services

WHAT ARE THE NEXT STEPS?  Simple, if you haven’t already, invite us to your campus for a conversation. 10
