1 Faculty Center for Instructors Roles and Access Faculty Center Features Grade Changes and Approval

2 Faculty Center for Instructors The self-service Faculty Center is for Instructors and Roster Contacts to: –View and download class rosters –Notify students in a class via email –Enter final grades –Change grades

3 Requesting Access As an instructor, you will be able to access all classes for which you are an instructor-of-record automatically. If you don’t see a class that you are teaching in the faculty center – contact your dept’s class scheduler to check if you are listed as an instructor for that class.

4 Instructor Delegates A delegate may be a student (TA), a staff member, or another faculty member. TA’s who enter grades, but don’t submit grade changes or assign delegates to a class should be set-up with an Instructor Role of TA with POST access. If a TA is the primary instructor, and will both enter and change grades, they should be set up as a primary or secondary instructor with POST access. Your department class scheduler can add Instructor Delegates by using the pages under Curriculum Management at: Curriculum Management > Schedule of Classes > Maintain Schedule of Classes In the future, Instructors will be able to add instructor delegates to a class via the faculty center using the Delegate icon on the front page. (coming soon)

5 Access the Faculty Center as an Instructor http://www.asu.edu/interactive For class rosters for Fall 2007, select the Faculty Center.   

6 Faculty center for Instructors Once classes are displayed for a faculty member or a Roster Contact, the operation of the faculty center is the same for all users. Select Term Select Term – The selected term will default to the most current active term that the person using the Faculty Center is scheduled to teach. Click ‘change term’ to select a different term. If the instructor is not teaching during the current term, the next active term that the instructor is teaching will be the default term. If an instructor is teaching consecutive terms, the default term will be the current term until the last day of the term, and will change on the first day of the next term. Note: Terms prior to fall 2006 were not converted as individual sections with instructors, and are therefore not available to instructors via the faculty center. These classes are available to Roster Contacts. Class Detail view details about a class by clicking on the “class” information. Class Roster The class roster icon will take the user to the roster for the selected class. Download list of classes The Download icon will download an excel spreadsheet with a list of classes begin taught that term. Note: Browser settings can affect your ability to successfully perform downloads. Grade Roster The Grade Roster icon will appear beside a classwhen grade rosters have been generated for a class.Grade Rosters are generated nightly by a batchprocess controlled by the Office of the Registrar.Student enrollment activity (adds and drops) will notbe reflected real-time on the grade roster, but will beincluded each time the grade roster is generated. Academic Status Report This replaces midyear grading Options you can display all classes for the selected term (Show all Classes), Only classes with enrollment, or View a weekly schedule of your classes. 7 Class Detail Clicking on the class title will display the course information.

8 Note: This page is best viewed in slide show mode. Class Roster Select the Class Roster icon to display a class roster. This class roster displays all students in the class as defined by the selected enrollment status (default is enrolled). Posting ID Notify Students Function Printer Friendly Version Download Download Class Roster You can download the class roster. Your browser must be set to work with PeopleSoft Printer Friendly Pull up a printer friendly roster Notify Students Email individual, groups of or all students Posting IDs The posting ID is automatically created from the student’s other IDs.

9 Notify Students Send emails to individual, selected or all enrolled students. The email will be sent to you for your records (these emails will not appear in your ‘sent’ mailbox). A blind copy is sent to each student (this prevents students from seeing other student names in the email they receive). To send an email to individual student, click on their name.

10 Printer Friendly Version Select this option to display a class roster best suited for printing.

11 Download The Download feature allows you to download a spreadsheets of your class list, a class roster or a grade roster by clicking on the icon. : Note that you must set your browser to allow downloads from PeopleSoft. 12 Grade Roster The Grade Roster icon will appear beside a class when grade rosters have been generated for a class. Grade Rosters are generated nightly by a batch process controlled by the Office of the Registrar.

13 Note: This page is best viewed in slide show mode. Grade Roster This is the grade roster. Click the mouse for more information about the different parts of the roster. Display Unassigned Checking this box will display only the students who have unassigned grades – useful for large classes. Approval Status The Approval Status will begin as NOT REVIEWED. Once you have entered grades and you want to post them to the student’s record, change the roster status to POST TONIGHT. You cannot change grades on the roster once the status is set to POST TONIGHT, though you can change the status back to NOT REVIEWED any time before the batch posting process runs and change a roster grade. When the batch process runs, it will change the Approval Status of the grade roster. If the roster is still incomplete, the status will be set back to NOT REVIEWED. If the grade roster is complete, the status will be set to COMPLETE. Note: While the status of COMPLETE will appear and be selectable in the Approval Status drop-down, the status is only set by the batch process and will generate an error if it is selected and will not allow a SAVE. Grade Select the grades for each student. Click Save at the bottom of the screen when you are done. Final Grade The Roster Type is always Final Grade Add this grade to all If most of the students have the same grade, you can select a grade and assign it to all students and then change the grades for those students who have different grades.

14 Downloading and Importing Grades It is possible to download the grade roster, type in your grades and import the grades back into the class. 1.Download Grade Roster 2.“Save As…” an Excel or text file 3.Enter your grades into the file 4.Import the grades via the “Import Grades” button. Note: this is optional!

15 Requesting Grade Changes When all of the grades are posted (the roster is complete), the “Request Grade Change” button will appear. You can only request grade changes for classes from Fall 2006 and forward. Roster contacts can change grades for classes prior to Fall 2006.

17 Checking the Status of a Grade Change Check status of Grade changes from the request grade change page – –Requested –L1 Approve –Successfully Changed

18 Grade Change Process What happens after you submit the grade change – –L1 Approver (Department) –L2 Approver (College) –Changes are immediately posted to the student’s record

19 Grade Change for Past Classes Instructor or Roster contact can request changes to classes of Fall of 06 and later Only Roster contacts can request changes for classes prior to Fall 06 – but they must use the grade change component – (not faculty center)
