Overview Spreadsheets organize and calculate data Expenses Budgets Sales projections Other accounting matters Spreadsheets can use values in other cells to calculate data in the current cell © 2010 Pearson Education, Inc. | Publishing as Prentice Hall.4

5 The Worksheet Like puzzle pieces work together to make a puzzle complete, cells work together to make a worksheet—a finished product that explains data. © 2010 Pearson Education, Inc. | Publishing as Prentice Hall.

The Excel Screen Cell Column Row Worksheet tabs Formula toolbar Name box Formula bar © 2010 Pearson Education, Inc. | Publishing as Prentice Hall.6

Cell References Locating a cell is like locating a ship at sea. The location of the ship is determined by the longitude and latitude of its position. Likewise, a cell is known by the row and column in which it is found. © 2010 Pearson Education, Inc. | Publishing as Prentice Hall.7

Navigating Workbooks and Worksheets Some methods to navigate in worksheets are: Use horizontal and vertical scroll bars Click a specific cell to place insertion point Enter desired cell reference in Name Box To navigate between worksheets Click the appropriate worksheet tab © 2010 Pearson Education, Inc. | Publishing as Prentice Hall.8

Labels Labels define or describe the data Labels are not normally used in calculations Labels are normally placed: To the left of data in columns At the top of data in rows © 2010 Pearson Education, Inc. | Publishing as Prentice Hall.9

Correcting Errors 1.Select the cell with the error 2.Do one of the following: Press F2 then edit the entry directly in the cell Click in the formula bar then edit the data Double-click the cell then edit the entry directly in the cell 3.Press Enter or click the Enter button on the formula bar © 2010 Pearson Education, Inc. | Publishing as Prentice Hall.10

Shift Values to Other Cells Shift cells downward when inserting new cells in a column of data Shift cells left or right when inserting new cells in a row of data Be on the look out for alignment issues caused by the shift © 2010 Pearson Education, Inc. | Publishing as Prentice Hall.11

Adjusting Column Widths Text in a cell Just like your fingers are not gone when covered by the other hand, text is not gone that is covered by text in another cell. Just widen the column to reveal the text as you would widen the space between your hands. © 2010 Pearson Education, Inc. | Publishing as Prentice Hall.12

Inserting a New Row or Column Select the location where you want to place the new row or column, even if data is in that location Insert Select location then choose Insert, Cells Delete Select location then choose Edit, Delete © 2010 Pearson Education, Inc. | Publishing as Prentice Hall.13
