1 Screen Name: ICMB Screen Use: The ICMB screen is used ONLY to transfer, destroy, archive or store a case. You may also use the comment section for comments about the family. All other transactions must be completed in FACIS. ICMB Screen Description: Basic Case Information Update Scenario: As a support staff, you received a case from a Case Worker that is ready to be transferred to the Permanency Unit. Scenario: As a support staff, you received a case from a Case Worker that is ready to be transferred to another district.

2 This section of the IIS screens training will teach you how to transfer a case from one branch to another using the ICMB screen.

3 Your first data entry will be in the Case Action Code field. The next slide will list the definitions of each Case Action Code used within DHS.

4 Case Action Code TRANSFER (T): CW files are sent to various locations based on requests such as case transfer between divisions and/or a transfer between counties. Each County may have different arrangements for files based on location, space availability and procedures. Case Action Code DESTROY (D): CW Files may have different destruction dates. Founded case files, Unable to Determine (UTD) and Unfounded files are currently stored for 30 years. Closed at Screening, No Disposition, etc., are kept based on state procedure and policy. Each County may have different arrangements for files based on location, space availability and procedures. Case Action Code ARCHIVE (A): CW files are sent to the "Records Center" for archival storage in Salem. Files with no activity for 5 years are sent to "Archives“. If an archived file is needed thereafter, the Support Staff person sends a fax requesting the file be returned to the branch. Each County may have different arrangements for files based on location, space availability and procedures. Case Action Code STORE (S): In some Counties a case file with recent activity (within 5 years) is stored at the division. In these divisions the case file is kept until eligible for archiving. Each County may have different arrangements for files based on location, space availability and procedures.

5 ICMB,FT49468 Open a blank DHR screen and Type ICMB, case number and then press Enter. You will find the case number in the case file.

6 The Basic Case Information Update screen is displayed.

7 Press Tab key to the Case Action Code field and Type ‘T’ for transfer. t

8 Type the date of case transfer. 080106

9 080106 Type the division number in which the case is to be transferred. 24

10 You may add comments about the case transfer or any additional information about the case in the COMMENTS section. 080106 24

11 Press Enter to update the case. 080106

12 When all data entries have been completed in the ICMB screen, press the Pause Break key. A blank DHR screen will appear so that you can complete work for other screens.
