1 Workshop Leave Payroll Duties HR Duties SUB RECORD “GOD” Approved Workshop builds an approved leave SO also builds Sub Record Approved Leave builds a Sub Rec (nightly report POS.216) but does not overwrite – If Sub rec is already found it does not update or overwrite AESOP/Smartfind entry does overwrite the Sub Rec AND may delete the Sub Rec (if cancelled in Sub Call system)… which will also cancel the Leave or add XSUB record ‘D’elete a Sub Record …. What will happen automatically -If single day and same abs code will cancel the leave automatically -If multi-day will add an XSUB code to leave so you are aware part of that leave has been deleted in Sub -NEW: On SUB.001/2 potential to ‘E’mail emp on delete to remind them that their absence “and sub if applicable” for date XX has been cancelled. Sub-Call System Date, Abs, Amount, Loc, Sub Req info Delete Sub Rec is Not updating W/S

2 Workshop date changes … what steps to take? 1.Use POS.564 to list who has registered and what status they are at and whether Sub entries exist 2.Cancel this workshop – cannot just Change the date because leave and Sub Records may have already occurred 3.Use POS.568 to copy/create the new workshop and then edit for dates etc. 4.Use POS.565 to move all the registrants over **CAREFUL to change status to R (which will be R* if approval necessary) 5.Deal with the mess of the cancelled workshop re: Leaves and Subs -POS.564 to indicate what Sub records have already been built so that you can hand this to Sub Desk for handling and ‘Deleting -For those who’s sub records have not been created – look on POS.564 for all that are ‘R’ and cancel those leaves

3 Person requests 2 weeks.. Does a leave.. Hands in a medical note (attach to leave).. THEN needs another week … then another week How best to handle – New leaves or Extend Date? Does admin/locations need acknowledgement? Do you need to know that you have received another note? We think multiple/consecutive leaves are necessary … is it necessary to conjoin/view in summary? ** Long Term Medical/personal leaves … Must utilize the 999 or the magic number is 200 for Sub records to not get built!

4 New ‘A’ in PAY.114 for approve … great new feature that if leave is today or tomorrow (sick) and in PAY.114 code is ‘A’ the leave upon SAVE will be automatically approved and will generate a Sub Record IMMEDIATELY. ** Huge impact for Sub Desk as this could hugely reduce calls! Let those entries get in their and just ‘I’ndex !! ** Sub-Call Systems: For groups that do not need a Sub they can use Leaves only.. And rely on CIMS sub reporting even same day to get reliable who is not here listings.

6 EIS.564 run by who (Payroll or H/R) and when (weekly, at time of pay) ???.. Do you run always with a start date of beginning of year? Will show missing and differences New feature to exclude Sub Recs marked with Adj Type __ so that you can use the email feature for staff not completing leaves and NOT be emailing those you do not wish to include. IMPORTANCE/OR NOT of the accuracy of the Leave Req. If EIS.564 shows the problems.. How do you resolve, which entry do you trust? - absence code difference - employee returned earlier back to work (look for XSUB!) - time/day mismatch between absence and leave - location code difference

7 Is there ANYTHING else we can do to help with more accurate and user-friendly input by staff Fantastic new feature in multi-day leaves to see the hours/days visually so they will know what will happen as it explodes.. Will this do it and lead users to make multiple leaves when necessary? Continued cosmetic changes to reduce confusion Is there anything we can do to make approval more meaningful to Administrators so that they are appropriately approving and/or asking more questions so that leave is correct?
