ADMIN Training Course Taking Control of FAST

STEP 1: ACCESS Among the most common questions we get is: “why can’t Bill see this report?” – and “can we fix the problem?”... Answer: It’s not a problem! You have the ultimate control over who sees what  we just need to do some set-up!

Access is divided into 4 main functions: Define Roles Menu Access User/Role Assignment Role Transfer The first 3 are required steps

Define Roles – things to consider What Roles do you have/need? How are they divided and managed? Which Roles should also be “Groups” (more to follow on this!)

Menu Access – which Roles see which Reports? As an administrator you have the ultimate level of fine-grain control over who sees what. You get to decide which roles see which menu options and which reports under each menu You decide who gets “view only” access versus “data entry” access You even get to decide if any columns should be restricted within a report!

Menu Access for Custom Reporting Pages

User/Role Assignment Once you have defined your Roles, decided which role gets to see which report pages, you get to decide which staff members should be in each Role. Remember staff can be in more than one Role to give them access to more reports! You can also use the Role Transfer feature to make it easy to move access from one user to another or move users from one role to another!

What you need to know about GROUPS Groups are just “Roles” where you have enabled the “group” indicator. Every member of that Role is now a part of a group where they will have access to the same data such as group Pinned Reports or Group Dashboards.

Group Pinned Reports and Group Dashboards Not everyone in the group can create these items – the ability to create Group Pinned Reports and manage group Dashboards are also FAST Roles.

Menu Layout Here’s another really common question: “I don’t love the layout of our FAST application – how do I change the menus?” Answer: “Easy Breezy…” Caveat: If you change the Menu Layout, you are changing it for all end users within the application – make sure everyone is onboard and aware of the changes!

New Administration Reports! Because everyone loves a good audit log!!

Report-Level Admin Another common question: “We don’t even use 6 of the columns in this report – can you remove them?” OR “Can we change some column titles so that they make more sense for our staff?” OR “Can we only have ONE group of people see the Date of Birth column in this report?” The answer….as always, is Yes It’s time to talk about Report-Level Administration

Report Level Administration - Intro Don’t like the look of a report for your institution?? – Change it !! Couple things you need to remember: Every report has an Administration Tab Only those with the Master Role will see this tab Modifying these settings will have a global impact …in other words these changes will apply to everyone using the report!

What can you modify? – everything!!

You can even change the Title Bar!

Don’t Forget your Page Notes!

Admin Wrap-up Once your FAST Application is set-up properly and is well managed, it will be so much easier for you to maintain control. You decide: Role Set-up and Configuration including Groups Which Roles see which reports? Who belongs to each Role? How FAST is displayed for your end users How each report is displayed by default

Questions and Discussion  Any Questions?  Talk to me about Training any time over the two day conference www.mcsl.com nadiamunro@mcsl.com training@mcsl.com
