1 HPHConnect New User Registration Tutorial A Guide for Harvard Pilgrim Providers August 2005

2 Registration Reminders  To register, you must be an office manager (or above)  It is only necessary to complete the New User Registration online once  Every user within a provider organization must complete and sign a User Agreement

3 New User Registration Steps  Download the HPHConnect Registration Packet from the Harvard Pilgrim web site Read and complete the Registration Instruction Sheet  Register online via the HPHConnect New Users Provider Icon link  Submit all required documents to Harvard Pilgrim Harvard Pilgrim will notify you via email when the New User(s) have been confirmed and may access HPHConnect

4 4 Screen 1 To register to use the HPHConnect provider portal, click on the Providers icon in the New Users section.

5 5 Registration Screen Formats SymbolBy clicking on this, you can... Access helpful information as you register. Question Mark iconsappear on most of the screens. Return to the previous screen. Advance to the next screen. Cancel all action. Registration will not be completed at this time.

6 6 Screen 2 Click on No User ID to proceed.

7 7 Screen 3 Select Harvard Pilgrim Health Care from the drop-down list. Click on Next to proceed.

8 8 Screen 4 Complete all required fields in the Main Office Contact User Information Section and...

9 9 Screen 4... Complete the Security Information Security Information Tips:   The Password must contain a minimum of 8 characters and include letter(s) and number(s). (The Password is case sensitive.)   The Password Reminder Question, should be a phrase that will help you to remember your password. It can not contain your password.   The Security Question is used by the Help Desk to confirm your identity when you call. Select a question from the drop-down list and type your answer in the Security Answer text box.

10 10 Screen 4 When all required fields have been completed, click on Next to proceed.

11 11 Screen 5 * If you do not want to add users at this time, you can continue the registration process by clicking on Next to proceed to Screen 6. To add User(s) at your provider office, complete all required fields for the new User. This screen is optional.*

12 12 Screen 5 When all required information for this User has been completed, click Add.

13 13 Screen 5 A blank form is returned and the new User has been added to the Office User List.

14 14 Screen 5 To add additional Users, complete all the required fields and click Add. Repeat this action until all Users have been added.

15 15 Screen 5 When your User List is complete, click Next to proceed.

16 16 Screen 6 *If you are unable to identify your provider Entity List, i.e. you cannot find your provider name or names, you may bypass this screen and continue to register online. Harvard Pilgrim will identify your Entity List when completing your authorization. To bypass this screen, click Next to proceed to Screen 7. The Entity List determines which providers’ information you and all other Users in your office may access. This screen is optional.*

17 17 Screen 6 1. 1.Select the type of provider to look for from the drop- down list. 2. 2.Type the provider name, or a portion of the name, in the text box. 3. 3.Click Search. 4. 4.The Search Results displays a list of providers that match the criteria. 1 4 32

18 18 Screen 6 1. 1.To select a provider from the Search Results, click the Add button next to the provider's name. 2. 2.Review the Current Entity List for accuracy. 3. 3.Click the Next button to proceed. 1 3 2

19 19 Screen 7 Review the Registration Summary. If information is... Then, Incorrect or incomplete Update the Summary using the Modify, Remove or Add User button CorrectUnder Next Steps, select “I would like to” Complete the registration process and click Continue

20 20 Screen 8   Your User ID, and the User ID for each additional User you registered is displayed.   Click Print All Agreements to print the User Agreements for all Users in your office.

21 21 Screen 8   You will be presented with a File Download window for each User Agreement.   There will be a separate “.pdf” file for each User Agreement to be downloaded.   Select Save and follow the prompts to designate where the file should be saved.   Open and print each User Agreement.

22 22 Screen 8 The Adobe Acrobat Reader opens a 3-page document containing:   a summary of the registered User’s information – User ID, password* and office security   the User Agreement To print the User Agreement(s), click the Adobe Acrobat Reader print button. To return to HPHConnect and complete the registration process, close the window. *Temporary passwords are generated automatically for all Users except the Main Office Contact. Users will be prompted to change password during sign on once confirmed by HPHC.

23 23 Screen 8   When you have printed the User Agreement and returned to this screen, click Finish to complete the registration process.

24 24 Online Registration Completed The message below will be displayed. You can click on the “Return to Sign In Page”.

25 25 Online Registration Completed If you sign in to HPHConnect before your registration has been confirmed by Harvard Pilgrim Health Care, you will not have access to HPHConnect functionality but...... you will be able to view a summary of the Users that you registered who are pending confirmation.
