3 What is Shopping List? Integrated food ordering system Excel based – need to be willing to learn to use excel Uses standard recipe format Flexible Create weekly lesson sheets Create total weekly shopping list Standardises food orders Efficient digital record keeping Saves time

4 The basic steps 1. Set up Food order master that details your faculty: subjects, classes, teachers, times, days, number of students, etc. 2. Create recipe card (using standard recipe card master) 3. Copy recipes into weekly food order (created from master) on separate pages according to your classes 4. Nominate the number of quantities of each recipe 5. Copy the ingredients and the total ingredients required to the totals page 6. Sort and collate the totals page 7. Print the shopping list 8. Print the class pages

5 Set up food order master Open the generic master Save as (your school, S1, 2011) Right click on tabs at bottom to rename Put teacher and class information at top of each sheet Put lesson times in at bottom of dem and prac column This becomes your master to ‘save as’ each week

6 Create recipe card Use standard recipe card master – save as recipe name Use recipe from book, internet etc See shortcuts for internet recipes Format recipe correctly – category, ingredients, units, qty – uniformity is important to save time Use mls or grams – not cups or spoons Use decimals not fractions

7 Copy recipe into food order Highlight category, ingredients, unit, qty columns Copy Paste into class sheet Change class # and dem from 0 to number required Only work in white squares Don’t change blue squares Don’t go below bottom line To add more ingredients, add another page

8 Copy to totals page Copy category, ingredients and unit columns (NOT QTY) Paste into totals page Click = and go back to the class page Click in top YELLOW square (TOTAL) column and press enter Now on totals page again, click in square and find small black + Drag column down until all totals have been transferred Repeat for each class - use different columns to assist Colour tabs as you go to help keep track

9 Sort and collate Total Order Ctrl A to select all the data on the Total order page Sort by category, then ingredients – has headers Cut and paste all like quantities into one row to add Take care with units – they need to match Delete unused rows – zero in the total column Trace unusual quantities by clicking on cell Changes on class page will change on total page Highlight coloured columns and hide to create shopping list. Print shopping list, print class lists. Voila!
