Sunnier skies in the Ex Libris Cloud: Predictive checkin in Alma Siôn Romaine ELUNA May 8, 2015

Presentation Outline  How it works  How to set it up (with a template)  How to create/customize prediction patterns  Clouds and drizzle.  Questions? Answers?

How it works  Subscription interval field from POL +  853 field from holdings record +  Next predicted item’s information box from holdings record =  Predicted items Three parts for one result

Set up POL  Step 1: Verify the POL subscription interval field and last received item Holdings Record MD Editor  Step 2: Select (or create) the correct prediction pattern  Step 3: Start the pattern with the next predicted item’s information box Holdings Record MD Editor or Repository List of Items  Step 4: Add the predicted items

Step 1: Verify subscription interval  Verify Subscription interval field  (Optionally) verify Claiming grace period  Note latest issue received In Purchase Order Line:

Step 2: Select prediction pattern  Edit  Expand from Template  Pick pattern (optionally, duplicate template to create new pattern)  Modify 853 as needed  Pattern may overwrite existing 853 In Holdings Record MD Editor:

Step 3: Complete Predicted Item’s Info  Tools  MARC 21 Holdings  Next predicted item’s info or:  Add enumeration/chronology for first issue  Optionally, add calendar change $$x, regularity pattern $$y  Add issue date Issue date = Expected receipt date, less value in Subscription interval field Example: Quarterly publication, subscription interval = 90 January 2015 issue expected on February 1, 2015 Issue date = 2014-11-02 (Feb 1, 2015 – 90 days = Nov. 2, 2014) In Holdings Record MD Editor:

Step 4: Add predicted items  Tools  MARC 21 Holdings  Open predicted items  Review Expected Arrival Date  Save to add item records; Discard to cancel or In Holdings Record MD Editor: In Repository List of Items  Open predicted items  Review Expected Arrival Date  Save to add item records; Discard to cancel

Demo  Using a template to add a pattern & add predicted items –Journal of sport behavior –Quarterly publication

Creating/customizing prediction patterns  $$a-h: Enumeration fields v. no. pt. (or year month day)  $$i-m: Chronology fields year month season day  $$u: Parts per higher level # of issues in a volume  $$v: Numbering continuity does numbering continue or restart?  $$w: Frequency code w = weekly  $$x: Calendar change when does volume increment?  $$y: Specific pattern info allows refinement of regular patterns Captions/Prediction pattern subfields:

Creating/customizing prediction patterns  Journal of school leadership –Bimonthly, with Jan and March 2015 already received –$$a v. $$b no. $$i (year) $$j (month) –$$u 6 6 issues per volume –$$v r Issue numbering restarts with each new volume –$$w b Bimonthly –$$x 01 Volume increments in January Example:

Demo  Modify pattern & add predicted items –Journal of School Leadership –Bimonthly, calendar change in January

Creating/customizing prediction patterns  Journal of social, political and economic studies –Quarterly, with combined Spring/Summer issue –$$a v. $$b no. $$i (year) $$j (season) –$$u 4 4 issues per volume –$$v r Issue numbering restarts with each new volume –$$w q Quarterly –$$x 21/22 Volume increments in Spring/Summer –$$y ce21/2 Combined: 2nd level enumeration for 1st 2 issues –$$y cs21/22 Combined: 2nd level chronology for Spring/Summer Example:

Clouds and drizzle  Display of predicted items in Discovery –Unwieldy for weekly or daily publications –Status is same for all ACQ items

Clouds and drizzle  Must create predicted items, then edit/delete

Clouds and drizzle  Data in item chronology fields – can’t regenerate  Can’t delete default templates  Requires understanding MARC21

Resources  MARC 21 Holdings – 85X subfields –http://www.loc.gov/marc/holdings/hd853855.html  MARC 21 Holdings – Code patterns for $$y –http://www.loc.gov/marc/chrono_patterns.html  Alma OLH –http://customercenter.exlibrisgroup.com/DocumentationCenter/E x%20Libris%20Documentation/Alma/OLH/index.html#page/Res ource%2520Management%2FALM_res_inventory.5.54.html
