5 “How to Increase Member Participation” by The University of Adelaide Chapter @2002 What are the Obstacles?  Golden Key is founded upon the principle of “voluntary participation” so members are not required to attend meetings or events  Other obstacles: ineffective publicity and not enough interest/benefits  Further obstacles: type and number of activities organized

9 “How to Increase Member Participation” by The University of Adelaide Chapter @2002 What is KPRS?  One of the best tools to attract people to the various activities is implementing an Incentive Program  Reward active members in a well-defined manner according to the KPRS we developed with some reference from the Golden Key US Chapter Planning Guide  It can be easily customised to suit your chapter

10 “How to Increase Member Participation” by The University of Adelaide Chapter @2002 Important Features of KPRS  Let members accumulate points easily as they participate in chapter’s activities  Encourage short/long term involvement  Fair for everyone  Targets a wide audience, eg. FROG  Generating funds through the selling of chapter merchandise  Provide members the opportunity to become active and get rewarded accordingly

15 “How to Increase Member Participation” by The University of Adelaide Chapter @2002 Tips on Chapter Merchandise  Survey members for the items which they are interested in purchasing  Acquire items quotes from different suppliers and then bargain for better offer  Set a reasonable margin between the selling price and actual cost in a way that the chapter would not be compromised when rewarding members  Selling prices must be affordable for students and competitive with market prices

17 Publicising the Key Point Reward System  Use email, primarily your chapter email alias.  Put posters around your university advertising KPRS, and the rewards associated with attending chapter events.  Put posters around your university advertising each specific event, and the KPRS reward associated with attending.

18 “How to Increase Member Participation” by The University of Adelaide Chapter @2002 Publicising the KPRS  Perhaps gain sponsorship from other organizations, who can contribute rewards for the scheme, or add points to it.  Advertise events on your chapter website, and have links to the appropriate KPRS information.

Other incentives such as gift vouchers etc. can add value to the KPRS.  Remind members about events and the points associated with participating in them.

A reward may consist of a voucher to an on campus or general retail store.  Members could be recognized at the induction ceremony or a special ceremony (perhaps a morning/afternoon tea). Perhaps involve honorary members and other university dignitaries.

22 “How to Increase Member Participation” by The University of Adelaide Chapter @2002 Keep a Spreadsheet  A spreadsheet of all members and non-members involved in the KPRS must be kept  The spreadsheet must be updated after every meeting and event  The spreadsheet will only need to include ongoing information that will be added up at the end of the year  All other points will be stamped on their card at the time of achieving them

23 “How to Increase Member Participation” by The University of Adelaide Chapter @2002 Why keeping a record?  The spreadsheet will be an ongoing record kept throughout the year  At the end of the year you can use this information to calculate the relevant points that members have achieved  The member’s card will need to be stamped accordingly

24 “How to Increase Member Participation” by The University of Adelaide Chapter @2002 What information must we include in the spreadsheet?  The spreadsheet should only contain the following: - Name - Attendance at Exec Committee meetings - Attendance at Chapter activities - Assistance at Campus Awareness events - Points rewarded

26 “How to Increase Member Participation” by The University of Adelaide Chapter @2002 Feedback  Feedback is an essential part in –continuing a chapter’ success –Improving some areas  Need to design a survey form that is quick and easy to complete

27 “How to Increase Member Participation” by The University of Adelaide Chapter @2002 The Survey Form  This form should be distributed to all members at the end of the year via e-mail  It should be sent back electronically to the person in charge of KPRS for further ACTIONS (do not just read them!)  A conscious effort must be made to take the feedback on board and make use of it to improve the Scheme for the following year.
