12 Activity Setup and Logon Demo 1 – Setup Each team gets 2 PTAs (1 sponsored & 1 non-sponsored) PTAs are masked Assigned logons and passwords are on your handout Work in teams of 2, on one computer – taking turns Logon to CMS URL = https://of2trn.stanford.edu:8058/OA_HTML/AppsLocalLogin.jsp Resource: Use How-To screen on CMS website, if needed

14 Creating PTA Nicknames & My Favorites Demo 2: 1. Search (simple or advanced) for your assigned PTAs in the setup tab 2. Set up 2 Nicknames (Consider naming conventions in your department) 3. Set up a Favorite (Cluster in meaningful names for reports) 4. Resource: Use Step-by-Step if needed

15 Creating a Soft Budget Demo 3: 1. Search (simple or advanced) for your assigned PTAs in the account tab 2. Select your PTA 3. Add a soft budget 4. Create or increase your soft budget for travel (using expenditure type 52410) by $50,000.00 5. Create or increase your soft budget for professional services (using budget category 5420B) by $20,000.00 Consider: How would you use this with custom periods?

16 Creating a Soft Commitment – Goods and Services Demo 4: 1. Create a soft commitment for office supplies (using expenditure type 55110) by $5,000.00 One half the class creates a recurring commitment The other half of the class creates a one-time commitment 2. Search your PTA, review and increase the soft commitment by $1,000.00 3. Extra : Search (simple or advanced) for your assigned PTAs in the Goods and Services tab, locate a hard commitment and decommit or suppress Consider: Why would you decommit? Why would you suppress? What are the potential/risk issues using this?

17 Creating a Soft Commitment - People Tab Demo 5: 1. Create a soft commitment for a forecasted hire of a new research assistant for $2000.00 on your sponsored PTA (using expenditure type 51460) Try the other option: Recurring commitment One-time commitment Consider: When would you use a recurring vs. a one time?

18 Forecast Change to Employee Distribution of Effort Demo 6: 1. Search (simple or advanced) for your assigned PTAs in the People tab 2. Select your Employee Assignment No. 3. Create a modified hard commitment for distribution of effort between your sponsored PTA (50%) and non-sponsored PTA (50%) through December 31, 2011 Consider: When would you forecast a change to employee distribution of effort?

19 Forecasting Other Compensation – People Tab Demo 7: 1. Search (simple or advanced) for your assigned PTAs in the People tab 2. Select your Employee Assignment No. 3. Create a recurring forecasted other supplemental for $5000.00 for your employee from 01-Aug-2011 through 15-Aug-2011 (using expenditure type 51910) Consider: What types of other compensation might you forecast? When would you forecast these amounts?

20 Forecasting Leave Demo 8: 1. Search (simple or advanced) for your assigned PTAs in the People tab 2. Select your Employee Assignment No. 3. Create a vacation forecasted from June 6 st thru June 20 th 4. View the leave credit calculated Consider: Will leave credit be calculated for all PTAs to which employee’s effort is distributed? What is the benefit of forecasting leave?

21 Forecasting Change in Salary – People Tab Demo 9: 1. Search (simple or advanced) for your assigned PTAs in the People tab 2. Select your Employee Assignment No. 3. Modify hard commitment data by adding a line and increasing the employee’s salary by $10,000.00 effective September 1, 2011 Consider: What is the benefit of forecasting change in salary or FTE?

22 Generating Reports Demo 10 – Each team: 1. Using advanced Search, enter Favorite grouping and select both your assigned PTAs 2. Select period to run and soft budget version 3. Run the 730: xxx, 800: Month By Month Burn Rate, 810: Multiple PTA Listing Consider: How would custom periods facilitate your reporting needs? When would you use them?
