3 Importance and Benefits of effective Communication… The ability to communicate well has always provided advantages to those who possess it. If you can Communicate effectively in speaking and writing, you have highly valued skill. Communication has a rich history, and its traditions can still be seen in modern day Communication concept.

4 Types of Business Communication… There are two types of Business Communication… ( 1 )…Internal Communication ( 2 )… External Communication

5 (1) Internal Communication…. Internal Communication means inside an (Organization). It plays very important role in Business. It provide job Security, job satisfaction, improve productivity and profits and also decrease absenteeism, grievances, and turnover. When there is an effective internal Communication inside an Organization, we can find every body present and happy. There are Downwards, upwards and Horizontal internal Communication.

6 (a) Downward internal Communication… When Employees receive appropriate downward Communication from Management, they can be better motivated and more efficient. They get clear job direction, Rules and regulations and express their new points on important controversial issues, products and strategy. Besides downward Communication gives employees benefits, health, insurance, promotions, pensions, training and retirement.

8 (b) Upward Internal Communication.. Many executives sincerely seek frank comments from employees in addition to the usual periodic reports. Successful Managers listen closely to opinions, Complains, problems and suggestions, from the lower staff. As a response to increase Global competition, some companies are developing new management styles, which make input from employs an essential part of important decision effecting the company. Because they know that employees are an integral part of any Organization.

10 (c) Horizontal Communication… We have effective horizontal internal Communication between the directors which can also solves problems, perform job duties, prepare for meetings, cooperate on important projects and arrange meetings inside an Organization. There are various ways of Communicating with in companies are memo, reports, meetings, face-to-face discussion, teleconferences, video conferences and electronic mail.

12 (2) External Communication… When we share and exchange our ideas, emotions, feelings and thoughts outside an organization to create good reputation, which is called External Communication. So we can use right letter, proposal, report, telephone call and personal conversation to get a successful response from the Customers and Business Organizations can improve public image of a company. For external communication, we need public speeches, free informative pamphlets and annual reports to have a good image out side the organization.

13 Benefits of Effective Communication in your Career… Your job, promotion, and professional reputation often depend on doing well in written and oral Communication. These two skills are very important for your job promotion and professional reputation in your personal life.

14 (1) A valuable Job Requirement… If you can Communicate your knowledge effectively, you can easily get a valuable job and your progress will be strongly influenced by how effectively you communicate your knowledge, proposals, and ideas to others who need or should receive them. According to Francis W, the executive director of ( Association for Business Communication ) found that most people can get promotion that have high skills of speaking and writing. Strong Communication skills were found in the job descriptions listed by numerous company advertising positions(e.g.).

These two qualities will help you to be effective in dealing with international business people out side your organization.

19 (4) Developing the Right Attitude… “To the customer, you are the company.” This good advice comes from public relations experts. You attitude when dealing with customers, and the public reflect on the company you represent. When you deal with international business people, your attitude will reflect your country and your culture. Your ability to communicate orally and in writing effects your company’s public image.

20 (5) Preparing Adequately… Most people can learn to communicate effectively for business if they are willing to devote whatever effort is necessary to prepare themselves adequately. In addition to the proper goodwill-building attitude, the following qualities are desirable.

21 1.. Careful, sound judgment when choosing ideas and facts for each message. 2.. Patience and understanding, even with unjustly insulting person. 3.. Applied knowledge of the communication process and principals and of successful methods for sending and receiving messages.

22 What are the Objectives of Communication….? Information Suggestion Order Motivation Persuasion Warning Negotiating Education

23 1… Information. One objective of Communication is enquiring, supplying, or receiving information because without it we remain ignorant what happens around us. Every where we need information whither we want to start business, get admission or supply a product we need information.

24 2… Suggestion. It is also very important objective of communication. It can be given to subordinate and dominate person. The manager comes to know about the problems and grievances of the lower staff through suggestion and think over them before they protest. We can improve our business and other dealing with the help of positive suggestion.

25 3… Order. It means to issue a directive by the higher authorities to the lower staff to do or do not something. It is always an internal and downward communication because it flows from the management to the subordinates.

26 4… Motivation. It inspires and urges a man to do for the highest goal of the organization. While motivating others, we give various instructions and narrate the qualities to persuade the listener. It is not easy to convince others. If we have good position, then we can motivate and convince other very well.

27 5… Warning It means to inform others about the unpleasant consequences if the action is not changed. The purpose of warning is to ask others to mend his way and abide by the rules regulations well. But harsh and abusive language should be avoided.
