5 5 Role Module 6 - Publisher The Publisher role – The Publisher has oversight of the care maps being worked on by the local healthcare community – The Publisher’s key responsibility is the publication of the local healthcare community’s release each month. This involves: – understanding which local care maps will be included in each month’s release – ensuring that they, and the release, are ready for publication – requesting the publication of the release – As part of this process, the Publisher should ensure that the local healthcare community’s localised pages and care maps do not expire and should help co-ordinate and plan annual reviews of care maps

Role Module 6 - Publisher Glossary View – Your local view of the Map – Example: Central Sussex care maps have been localised to reflect services in this area – In Map Display, users can switch between views of the Map – Example: switching between the London view and the Gwent view to see how a care map differs Release – All content in your view of the Map – When requesting publication, your release is packaged up and displayed in your view of Map Display – Example: you might publish a release which contains – one updated care map – 335 unchanged care maps – five care maps that you’re currently working on (only approved care maps are displayed)

8 8 Role Module 6 - Publisher Recalling a care map – As a Publisher, you may be asked by an Editor to recall an approved care map in order that they can make further edits – This moves a care map from Approved status back to Not ready for approval – Any comments you add are included on the care map’s approval history – Following this, the Editor can recall pages for editing

Role Module 6 - Publisher Information about your release – Your release has the following properties that a Publisher can modify: – Name – Manager – Description – Expected publication date – Estimated publication date for the following release (allows Map Manager to calculate the release’s lifespan) – It also has some features that are useful for publishers: – view a history of publication requests (discussed later) – create a spreadsheet of your published and in-progress care maps in this release

Role Module 6 - Publisher Inherited changes – You can view inherited changes in MMS when a parent care map is updated and published – Your options are to: – manually incorporate some/all the updated changes into your care map; or – manually incorporate your localised elements into the newly published parent care map; or – accept the updated care map by reverting the localised care map to the parent care map (Unless you save your localised care map to an alternative location, you will lose your localised care map); or – Ignore the inherited changes

Role Module 6 - Publisher Planned care map changes In addition to viewing inherited changes, you can keep informed of planned care map updates as follows: – In Map Display, where all care maps have expiry dates which can be used for guidance – From the MoM team, who will communicate all care map updates – One month prior to the quarterly publication; via the ‘Provisional New and Updated’ overview – Two days prior to the quarterly publication; via the ‘Confirmed New and Updated’ overview – Through your IC, by requesting planned updates for specific care maps

Role Module 6 - Publisher How to publish your release – Publication takes place once a month – The publication deadline is the third Friday of each month – To publish your release of the Map of Medicine, you will need to follow this process: – It is recommended that you begin the process well in advance of the publication date in ensure you have enough time to resolve outstanding questions and issues Prepare release for publication Prepare New & Updated info Request publication in MMS Publication

As early as possible – How? – Use the “View release report & publish” option to check for issues – All issues have to be resolved before the system will allow you to Request Publication this month – Your Implementation Consultant will work with you and your care map Editors to resolve any issues that you identify Prepare release for publication Prepare New & Updated info Request publication in MMS Publication

By 12pm UK time on third Friday of each month – Request publication of your release in MMS – This locks your release to prevent further editing until the publication takes place, so do this only when all care maps to be included this month are ready Prepare release for publication Prepare New & Updated info Request publication in MMS Publication

Starts 12pm UK time on third Friday of each month – The Map of Medicine team will process publications requested in MMS – Publication will be completed over the weekend and a new working release will be available for you to continue editing by Monday morning – The published release will be sent to your local service provider and available on Map Display within five to ten working days Prepare release for publication Prepare New & Updated info Request publication in MMS Publication

Role Module 6 - Publisher Managing expiry dates – It is recommended that you put in place a process to ensure that care maps that have been localised by your healthcare community do not expire – Map Manager provides the ability to filter on care maps localised from national and care maps locally created that are due to expire or expired – About the different filters: – Expired means the expiry date has already passed. – Due to expire means it will expire during the lifetime of this release (which is determined by the dates that you set in the release properties)

Role Module 6 - Publisher Requesting publication in MMS – When you are ready to publish your working release onto the Map of Medicine, you should request publication in MMS – Until your release is published, your new and updated care maps will not be available on Map Display or seen by users – Remember that requesting publication in MMS is just one step in the publication process and that requesting publication in MMS alone will not result in your release being published – To request publication in MMS, select ‘View release report & publish’ from the Release menu:
